SETTINGS

I. OBJECTIVE
 To establish guidelines for timekeeping applicable to all Project personnel,
workers, staff.
II. SCOPE
 This policy Instruction applies to all employees regardless of rank and
category.
III. GUIDELINES
 OFFICIAL WORKING DAYS AND HOURS (FOR MAIN OFFICE
STAFF ONLY)
i. Regular Working Days: Monday to Saturday
ii. Regular Working Hours: 7:00 AM to 5:00 PM

 OFFICIAL WORKING DAYS AND HOURS (TO ALL PROJECT SITE


PERSONNEL)
i. Regular Working Days: Monday to Saturday
ii. Regular Working Hours: 7:00 AM to 4:00 PM

 BREAK PERIOD
i. Morning Break: 10:00 – 10:15 AM
ii. Afternoon Break: 15:00 - 15:15 PM

 ONE HOUR MEAL BREAK


i. LUNCH BREAK: 12:00 – 1:00 PM
ii. DINNER BREAK: 18:00 - 19:00 PM
iii. MIDNIGHT BREAK:12:00 – 1:00 AM

 The Project Managers shall set the regular working days and hours based on job
requirements and project schedules. Working hours at the project sites is set at a
minimum of 48 hours workweek, usually Monday to Saturday.

IV. TARDINESS RULE


 Employees shall follow the regular working time or official time for their shift in
reporting and leaving from work. An Employee, who for no valid reason, arrives

at his workplace on a regular working day later than the official time shall be
considered tardy for that day.
 Tardiness caused by emergencies or circumstances beyond control of the
employee maybe excused only upon validation/approval of his immediate
supervisor.
i. TARDINESS GRACE PERIOD
 OFFICIAL TIME: 07:00 – 4:00 PM
 GRACE PERIOD: 07:00 – 07:15 AM
 TARDY: 7:16 AM Onwards

V. OVERTIME
 Employee must render the standard eight (8) working hours per day before any
overtime pay may be computed and paid for him. Work rendered beyond the
eight (8) hours regular working period by a daily paid employee or those paid
on a daily basis plus rendered overtime shall merit an overtime premium as
prescribed by the law.
 MAXIMUM OVERTIME
i. The maximum continuous work time for an employee shall be sixteen
(16) hours. The maximum regular overtime shall be eight (8) hours
after the employee’s regular working time per day (24 hours)
Sample Illustration

Official Time: 7:00 AM to 4:00 PM


Worked Time: 7:00 AM to 10:00 PM

REGULAR TIME: 8 HOURS


WORKED TIME: 5 HOURS
TOTAL WORKED TIME: 13 HOURS
MAXIMUM OVERTIME: Until 01:00 AM the following day (Continuous 16
hrs)

Only on very special cases, due to operational exigencies and to be approved by no less
than the Project Manager/In Charge, an Employee may be allowed to render an
overtime work beyond the maximum straight time of sixteen (16) hours but not to
exceed twenty four (24) hours, provided that the employee shall be required to observe
an eight (8) hours rest period after rendering the straight time and before resuming
regular work. The eight (8) hours gap/rest period aims to ensure that sufficient rest time
was given for the employee to recover from the long period of work time rendered.

Note: WORK RENDERED BEYOND 16 HOURS SHOULD APPROVED BY THE


IMMEDIATE SUPERVISORS, AND NONE OBSERVATION OF 8 HOURS
GAP/REST WILL BE NOT PAID BY THE HR DEPARTMENT.

VI. OVERTIME FORM
 Employees who will render overtime work are required to accomplish an
Overtime Authorization Form before rendering the actual overtime work.
 the following information shall be reflected in the overtime authorization duly
approved by Project Manager/Project In Charge
i. Date of overtime work is to be rendered
ii. Nature of Work/Task/Activities
iii. Number of Hours to be rendered.
 Note: NO OT APPROVED OT FORM, NO PAY

VII. OFFSETTING RULES


 Work rendered on the following situation should be subject for off-settings
i. Rest day
ii. Regular and Special Non-working holidays
 Procedure for off-settings
o File leave/absence form 2-3 days prior schedule leave or absences.
o It should be approved by the immediate supervisors and the
presidents
Rules of Off-settings
o Late are not subject for off-settings
o Only valid reason such as self-sickness (with medical certificate),
sickness/death of immediate family members and emergencies.
o Any other reason is subject for approval.
