ASSESSMENT TASK 2: MANAGE PROJECT QUALITY - PROJECT
Assessment task instructions:
This is the second (2) assessment task which consists of a case study, scenarios, interaction with others, oral communication activity, and a project. You must
complete all 3 activities as specified to gain a "Satisfactory" outcome.
Purpose of the assessment task:
The purpose of the assessment task is to assess your skills in the following:
 manage project quality on two occasions (this task enables students to management project quality for the first time)
 document a quality-management plan
 implement quality control and assurance processes for a defined project using a range of tools and methodologies.

Read the following Case Study - Wilson & Jones, attached Business Case (refer to attachment 1) and the scenario and complete all
activities as instructed.
Case Study - Wilson & Jones
The project to implement a new Client Relationship Management system (CRM) “Salesforce” for use by the Sales, Customer Service
and Marketing departments for the Wilson & Jones has been approved.
As a Project Manager, it is your responsibility to determine the quality objectives and standards with input from stakeholders. To
determine the quality objectives and standards to implement the new Client Relationship Management system (CRM) for use by the
Sales, Customer Service and Marketing departments, it is the responsibility of the Project Manager to establish acceptable quality
standards and objectives with inputs from quality specialist and to ensure compliance with Wilson & Jones’s required quality
standards.
The quality objectives are to be determined considering the project objectives in mind.
Among the quality standards applicable to this project are:
 The Australian Hardware project governance policy dictates that all projects must be delivered in accordance with ISO
9001:2015 or AS/NZS 9001:2016 specifications
 Customer data held within Salesforce is protected by comprehensive physical security, data encryption, user authentication, and
application security to SAS 70 Type II, SOX, ISO27001, and third-party vulnerability and SysTrust certifications standards.

 For Wilson & Jones to be operating on the most up to date CRM available
 Standardise how the employees work with the clients of the company
 Reduce the expenses for some transactions
 Reduce costs associated with re-work due to corrupt or dirty data.

Scenario:
You are required to take on the role of a Project Manager for Wilson & Jones. Before carrying out this assessment task, you must read
through this business case to get a good understanding of the project requirements.
Activities:
2.1. In this task you are required to demonstrate mandatory foundation skills for the unit: Manage project quality, which are (1)
communication and (2) team work.
The activity will require you to determine quality objectives and standards and collaborate with appointed colleagues and
you are required to select and plan for an appropriate communication activity and collaborate with the appointed team.
 You may use your class colleagues, work colleagues or other suitable colleagues to complete this activity.

2.3. Distribute, discuss and support quality requirements - Interactive presentation (IP)
a) To implement the project and ensure that all staff understand all requirements and expectations, prepare a presentation
and distribute and/or presented it to the Business Analyst, Quality Specialist and Project Sponsor, employees and your
project team.
The presentation will explain quality requirements, specifications and objectives.
Explain the development process of the quality requirements, specifications and performance and cover information
on the support process by you as the project manager, the project team employees and other relevant stakeholders. To
assist you with the development of the presentation you are to:
- Collaborate with others to foster shared understanding of quality requirements, and
- Gather details from all impacted work areas, Sales, Marketing and Customer Service and cover information
on;

This is the third (3) assessment task which consists of a scenario and a project. You must complete all 3 activities as specified to gain a "Satisfactory" outcome.

The purpose of the assessment task is to assess your skills in the following:

Read the scenario below, refer to completed activities in Assessment task 2, and complete all following activities.
Scenario:
The implemented CRM system has developed flaws. The foundation of data that was used to build information about your customers
has some storage and retrieval problems.
The data quality problems that have occurred in the CRM system are as follow:
o Duplicated records; customers who are recorded under several names or addresses, for example
o Inaccuracies; data that may once have been true but is no longer true, or has never been true at all
o Incomplete records; data that has been corrupted, mistyped, abandoned or orphaned
o Invalid information; records that your CRM simply cannot work with, and records that crash the software or cause problems
elsewhere
These flaws were introduced in a variety of ways, and the three most common problems that rung true with most people who worked
with a CRM daily. The figures below are based on quality issues that the company has faced.
o Caused 1. 76 per cent of records incompetent due to poor data entry.
o Caused 2. 53 per cent of records incompetent by a change to systems
o 3. 48 per cent contained flawed introduced by data migration or conversion from one format to another
Being the project manager, the company wants you to implement quality processes based on the Quality Management Plan that you
have prepared for the company.
Activities:
3.1. Conduct a quality assurance audit of the project processes based on the problem specified in the scenario given above. You
must ensure that the project processes comply with the quality standards and requirements agreed be the stakeholders.
The outcomes of the quality assurance audit must be documented in the table below.
The outcomes must include whether the project processes complied with the quality standards and requirements or explain if and

This is the forth (4) assessment task which consists of a scenario, and a coaching activity. You must complete all 4 activities as specified to gain a "Satisfactory"
outcome.
Purpose of the assessment task:
The purpose of the assessment task is to assess your skills in the following:
 lead and manage continuous improvement systems and processes for at least one organisation or work area and manage project quality, implement quality
control and assurance processes
 address organisational sustainability requirements and incorporate mentoring, coaching and other support to enable individuals to participate in continuous
improvement processes Task 3 - project
 capture progress, insights and experiences using established knowledge management systems
 encourage participation in decision making processes and ideas for continuous improvement.

Activities:
Read the following scenario and complete as indicated.
Scenario:
As the Project Manager you are required to submit requests for change of any project processes to the Director of Change Control
Board who will determine the proposed changes and decide whether it will be approved based on all submitted information.
The information in the request for change must include all amendments and improvement or changes that you think must be
implemented after reviewing the quality management processes to ensure the project is running well.
Prior to making any proposed changes to processes and considering the modifications that you made in the Quality Management Plan
already you must receive the confirmation of the approval form the Director in writing.
To ensure that you have a speedy response from the Director, you decided to email the Director and request a response.
4.1. In this assessment task, you will be required to implement project quality improvements which includes:
a) Change Request.
To complete this you must select an appropriate communication technique to communicate and collect approval.
You can either, organise a meeting or construct and email with information for the Director.
If you are using an email, you must communicate via SBTA emails for security and privacy reasons. If you are
conducting a meeting you must use the space below to list discussion points you will be discussing with the Director.

b) Collect feedback from your Director. You must either complete Communication Report (if you held a meeting) or
copy and paste the Director’s email with his approval using the space below. (Guide: 50+ words)
Note: if you are conducting a meeting, use the communication report template used in a previous assessment task.

c) Once the approval was received from CCB, prepare a project life cycle document and specify how these changes will
be implemented at all stages of the project life cycle. (Guide: 30+ words for each)

separately) who will then coach and mentor other project team members on your behalf.

b) Contact the team leader and the new team member (your colleagues) and conduct the coaching session/s.
You will be observed by your assessor who will complete a checklist.
You may choose to use MS TEAMS and record your coaching activities and upload as directed by assessor, or you may choose
to organise this coaching at the academy, face to face. To successfully complete this activity, you must:
- Present information to a using appropriate structure and language
- Listen and ensure that you understand information received from your team leader and the new team member
- Ensure that the Team leader and the new team member understand what is expected of them
- Team leader and the new team member must confirm understanding what you have been explaining
- Ensure to ask questions and use active listening to make sure that you have not missed any feedback from the
team leader and the new team member.
4.3. You are now to review the quality management plan for quality management. (refer to assessment task 3) and compare
against the performance requirements specified in the Quality Management Plan. Determine the effectiveness of quality-
management processes and procedures and review:
- Improved Quality of Service
- Reduced Operational Costs
- Improved Decision Making and Communication processes
- Meets sustainability requirements
4.4. Consider all requirements collect feedback and address the table below and explain:
- Whether the quality management plan prepared was effective based on the performance requirements?
- List any quality issues experienced in the project.
- Lessons learnt during the project.
- Recommendations for future projects and other areas of improvement.
