A festival is a gathering of people to celebrate something. It can also refer to a particular day or
group of days when people in a country have a holiday so that they can celebrate
something. Festivals may be religious festivals.

Know- how in Dance Management


( Managing Dance Events)

Managing events is a great experience , regardless of


whether it is simple birthday party , a corporate event
or other informal and formal gathering in the
community. It can make a great difference in another
person’s life and in the community to be able to engage
in dance activities and realize wellness in any dance
form.

But in order to manage dance events one should know


how to organize and be a leader. What makes someone
a leader?
What are
the roles of a good leader and how can one avoid being
a bad leader? What can you do in the community
as a good leader.

Leaders are mostly made and not born. Becoming


aleader takes time , experience and several mistakes.
While libraries are filled with books about leading .,
the only way to truly learn to lead is to engage.

To be a successful leader, you must strive hard to have these essential leadership qualities. Here are the
qualities of good leader.

To organize a dance event or program in the community, you have to consider the following
steps:

1. Choose the type of Event or Program


When you decide on what kind of event or program to organize , assess the needs of the target
community.
2. Plan the Event
Planning any event is complicated process but it is worth exerting your best efforts. Layout your
plan and ideas so you can have a clear picture of what you want to happen.
Consider the following:
 What is the best size for the venue?
 How much is the ideal budget?
 What is the nature of the
performances?
 How many will attend? What type
of audience or participants will be
there?
 What strategies should be employed
in this evet?
3. Assemble your team
Start with the thought “ I cannot do
everything by myself” Whether you are a
professional or an amateur in events
management , it is important to involve
other people in handling different aspects of
your event and make sure that know what
the plan and expected outcomes are.
4. Budget for the Event
Having a solid plan will surely help you in
setting the budget. Consider the following
factors in doing so:
 Rental fees for the venue and
equipment
 Utilities
 Fees for the staff
 Food and drinks
 Publicity and advertising
Like in the most programs and
events , it is very important to have
a stable and sufficient funding.
5. Set the Date
Choose a date that will be the most
convenient for the majority of your target
participants .It should provide you enough
time to promote the event and gather more
participants and guest.
6. Book the Appropriate Venue
When searching for a venue, answer the
following questions:
 What kind of venue do you prefer?
 How will you manage the given
space ? Will the participants or
guest sit on chairs in rows,
benches or mats in the floor?
 Do you need a room for dancing?
A speaker podium ? stage?

 Is the place easily accessible for person with disability?


 Do you need to secure any local government permit?
 Will there be a problem concerning weather, noise, vehicle access, parking space, etc.?
Visit in advance a draw its map . Assign the space for seating as well as the service routes
for suppliers.
7. Check the Utilities and Facilities
The venue should have a safe electrical supply and reliable water supply. Check if there are
enough chairs and tables and know where the light switches, curtain sashes and window openers
located.
8. Promote the Event
More importantly, your promotion poster should have the following characteristics:
 It should indicate the date, time , and the venue, as well as the entrance fee and name of
the notable performers.
 I should mention if the event is in aid of good cause.
 It should be placed in strategic location in the community
 It should be clear enough to be
read a distance of six feet.
9. Ensure the security
Identify all the event and venue-related
hazards and risk and determine how to
prevent them from happening or deal
e=with them they occur.
10. Hire performer, Conductors, and
Instructors
Check their credentials and seek them out
from the legitimate agencies. Unless you
have seen them in action, another way to
find good dance professionals is through
word of mouth recommendation.
