PURPOSE
This Standard Operating Procedure (SOP) describes how complaints received are to be handled.

SCOPE
This SOP applies to complaints received against the Machines faults and operational errors.

RESPONSIBILITY
 Feeder Engineer/Feeder Supervisor shall be responsible for notifying the problem/fault to their
line managers.
 Technical Coordinators (Electrical) will be responsible for reviewing and performing necessary
investigation of fault.
 In case of operational errors (mentioned in table), technical coordinators will take the
appropriate measures for rectification of the fault.

PROCEDURE
i. Complaints received from feeder sites are in verbal/written form, verbal complaints received by
telephonically and written complaints received via E-mail/WhatsApp.
ii. All complaints regarding machine faults must be reported to the line managers immediately.
iii. In case of fault technical coordinator will review that whether it is operational or technical fault
and fault will be handled after proper investigation.
iv. If the fault is operational corrective action should be proposed by technical coordinators to
their team by coordination of vendor.
v. If the fault is technical or involves parts replacement, the fault will be forwarded to the vendor
(Vertex Medical).
