Memorandum

To: All Staff

From: Christopher Miller, Ed.D., Chief of Human Capital
Date: August 18, 2021
Re: Weekly COVID-19 Testing

We are excited to have all of our students and staff returning to our schools to begin a new school year
together. We appreciate and admire the perseverance of our staff, students, and families, and we look
forward to continuing our work together to foster students’ individual talents and abilities in a nurturing
environment of equity. While it has been a long and difficult 16 months since March of 2020, we are
excited at the opportunities for our students in the 2021-2022 school year.

The safety of our students, staff, and school community is one of our highest priorities as we prepare to
begin the new school year. To ensure the safety of all who enter RCSD schools and facilities, we are
requiring all RCSD staff take a weekly COVID test beginning the week of September 6, 2021.

Vaccinated staff who voluntarily present confirmation of their vaccination status by Friday, September
3, 2021, will not be required to participate in the weekly COVID testing. Staff who present confirmation
after this date will continue to test until their status is confirmed by our office.

Submitting Proof of Vaccination

Vaccinated staff can provide confirmation of their vaccination status by one of the following secure
methods:

1. Secure Electronic Submission (Preferred Option)

a. Complete a secure electronic form by visiting the following link or scanning the QR code.
i. https://tinyurl.com/RCSDvaccination

ii.

2. In-Person Submission
a. Visit the Office of Human Capital at 131 W. Broad Street, Monday through Friday from 9
am to 4 pm, and confidentially present the Office of Human Capital desk clerk your CDC
vaccination card. The card will be electronically scanned into the District’s secure
system.
b. Onsite support: Please note that there will be an onsite person at the following
dates/times to help staff in the submission of the information:
i. Hudson location, August 20, 1:00-3:00 and August 24, 8:00 – 10:00
ii. Freddie Thomas High School, August 31 8:00-10:00 and September 1 8:00-11:00
Mandated Testing of Staff
If a vaccinated individual does not provide proof of vaccination for any reason, the individual will be
required to participate in weekly COVID-19 testing.

Weekly testing will need to take place outside the staff member’s work hours, and may be completed at
any local Walgreens Pharmacy without cost to the staff member. Participating at any local Walgreens
will ensure data are submitted directly to the District on completion. If a staff member prefers to test
elsewhere, evidence of testing will need to be submitted to the Office of Human Capital Employee
Benefits Team. Testing results will need to be scanned and emailed to the Office of Human Capital
Employee Benefits Team at Benefits@rcsdk12.org with “COVID Test” on the subject line.

Staff members who submit their vaccination status information after the September 3 deadline will be
required to continue to test until notified by the Office of Human Capital Employee Benefits Team that
their information has been processed.

For full information on the reporting, vaccination, and testing/masking requirements for faculty and
staff, please see the attached FAQ.

Please do not hesitate to contact the Office of Human Capital Employee Benefits Team at
Benefits@rcsdk12.org or by calling 585-262-8206.

Thank you for your assistance in promoting health, wellness, and safety for our students, staff, and
community.
