Executive summary
This Assignment is prepared for the subject of Employability and Professional Development
which covers a major area of PEARSON Higher National Diploma in Computing and System
Development. The author has used different sources and accessed different distinct cases to
obtain the knowledge to write this paper.

The case study is about a problem that identify from the environment or community and plan,
organize, lead and control a small-scale project in a nature of a fund-raising event executed
with careful guidance of a supervisory accessor as a collective team effort combining skills of
the entire team. Though, team members must understand the importance of the event and then
must recognize their interdependence in achieving goals of the event.

Author has used this paper to determine skills in the field of Employability and Professional
Development and also apply the theories learned during the lectures to the case project. To
give more comprehensive report, author has followed the task-wise structure as given below
to formulate the answers of the project that team has done.

This project is carried out as a part of the studies in HND semester 3 – Employability and
professional development module. To successfully complete the module the classmates are
grouped in a team and they have decided to conduct the above-mentioned project.

The project team has followed Belbin team dynamics that showed in Appendix 02. According
to that team dynamics, each and every team members tried hard to fulfil their responsibilities
according to their role in the project. Below show the responsibilities that have been done by
team members according to the role.

activity days, selling pens campaign days, practice sessions.

The agreed scope of the project is to donate school bags and stationary to Thissa Central
College. The estimated cost for the Bags of this project is Rs.29400 and with the other
expenses of this project estimated budget is 63,700 and the time duration is within 40days.
The project started date was 1st of November 2018 to 10th of December 2018.

1.1Reflect on own current skills and competencies against professional standards and
organizational objectives of the project to fit in to the abovementioned position.
While developing own career plan will help author to determine the own current skills and
my competencies that achieved in period of time. Understanding personal skills and
competencies will help me to become a best Project Coordinator and a communicator. This
could lead to changing author’s project managing procedures to teamwork with the different
functioning area in different project circumstances. Here are some of personal skills and
competencies,

Still following HND in Computing and Systems Development Course in Esoft Metro
Campus Kurunagala. Successfully completed a Ditec . The good knowledge in following
language English, Sinhala and Thamil. A Western Music Band member at school (2010-
2015). Successfully followed and completed G.C.E.O/L and A/L

To complete this module , need to conduct a charity program for the society. So, the group
members decided to donate to Thissa Central collage. The budget of this project collected by
carrom tournament and selling Pens, Mango as a method of fund raising.

As any experienced project coordinators knows, small or large-scale projects aren't just time-
consuming. They can also be complicated to organize with hundreds of tasks to organize,
record documents and team management, making sure the project is completed as quickly
and efficiently as possible is not an easy career. This is where a Project coordinator comes in.
A project coordinator is the member of a project management team which is responsible for
keeping the project organized and running smoothly.

The Project Coordinator is an integral member of the project team responsible for
coordinating projects of varying size and complexity or its parts. Project Coordinator is
responsible for organizing and controlling project activities and for communicating risks,
opportunities and current state of project to his superior and or other stakeholders. (project-

In this case study , the author has identified that following key set of skills and requirements
were highlighted in most of the job vacancies for the “project cordinators”.

The Project Coordinator role in TDR encompasses numerous responsibilities which are
required to be fulfilled. Management of various project related activities associated with
project plan such as prepare comprehensive action plans, including resources, timeframes,
budgets and document all aspects of the specific project, etc.

1.2 Evaluate own development needs and the activities required to function in the above
position.
As a Project Coordinator for this project, there are various responsibilities which are required
to be fulfilled. Out of these responsibilities there are few for which believe that author has
that skill set and capability to fulfil them. On other hand, there are many responsibilities
which requires dedicated skill development exercise in order to fulfil them. With regard to
author standing for this particular role, there few responsibilities for which author need to
gain experience or get trained to acquire the skill sets.

Own development needs for the personal and professional basis being Project Coordinator
can be given along with activities as follows:

Activities required in order to develop the personal skills for Project Coordinator would

As well as, author hope to attend personal development trainings to achieve areas relating to
self-awareness, stress management, efficiency, creativity, time management and career

After completing the PPD training sessions, author hope to complete personal and
professional development training sessions. This session basically improves skillsets of
professional development of a person. Professional development involves developing their
self in their role to entirely understand the job to do and how can it improve. It involves
enhancing the necessary skills to carry out selected role as effectively as possible and is
something that will continue throughout their working life (Matthews, 2014). So, author has
identified some of professional skills that need to improve. They are,

- Knowing employment rights and employment legislation
- Schedule management
- Quality Assurance
- Documentation management

Professional skills are important. So, Project Coordinator can work in the organization as to
contribute towards the organizational objectives. Also, Project Coordinator can implement
their job role successfully. In order to achieve the professional skills mentioned above a
Project Coordinator need to take part in the case study for decision making, be present on job
training and attending seminar for technical skills development.

Author has identified most of the project coordinator job vacancies mentioned that a degree
in relevant field will help to obtain the job. The author is currently following HND degree
path. Therefore, by attending all subjects in the degree well and scoring good marks will help
to perform better in the job as a project coordinator. As well as, the author has plan to do the

top up degree after the completion of HND. By completing above degree programs, author
will achieve the requirement of Bachelor Degree in Business Administration Certification to
be a project coordinator.

Also, author has planned to attend seminars for technical skills development in future.
According to the Hannah Son, Technical skills are a great way to boost an employer’s
confidence. These skills allow to have deeper-than-average knowledge of modern systems,
and can make infinitely more desirable among recruiters (Son, 2016). Some of technical

strengths and weaknesses and come up with a guide that will optimize and capitalize on

1.4 Reflect on own development against original aims and objectives set in the personal

and professional development plan you have already developed on the above section.

The aims and the objectives are essential for the personal development plan and also these
important factors will accomplish the individual organizational performance as well. Own
development needs that gained from this current project as performing Project Coordinator
include planning, directing, organizing project activities, management of comprehensive
documentation, managing direct and indirect relationship within the project environment,
development of technical skills, are some of them. The interpersonal skills like analytical
thinking and problem solving, development of communication skills, development of
organizing skills, effective leadership skills in teamwork and time management, development
of multi-tasking skills have been deliberated.

At the current phase of author’s own development activities can be achieved through the
original objectives that set in the Personal and Professional Development plan as mentioned
above. In the above PDP, author has mentioned that author going to widen the knowledges of
leadership within 2016 – 2020 years. During this period, author will enhance the
understanding of strategic leadership and advance leadership skills such as, learned to lead
author self and author’s team, clarified author’s communication style and strengths,
understood the use of motivation as a leadership tool, advanced author’s skills in leading and
influencing others and gained confidence in dealing with contentious issues and whole-team
initiatives. By achieving this PDP objective, author also can fulfil most of own development
activities that mentioned.

The next objectives of PDP are to achieve best grade in HND course by becoming more
motivate and also keep up to date, the HND work and not fall behind with any scheduled time

period within the period of 2016 – 2020. Through this objective, author can get Bachelor
Degree which is needs to being a Project Coordinator in future. Also, author can achieve and
gain the practise on own developments like analytical thinking and problem solving which
arises in between HND modules, effective time management in task wise activities of
assignments of HND, ability to work on multi-tasking in throughout the HND pathway,
ability to manage comprehensive documents and assurance the quality of those documents in

professional manner. Also, author will able to assure the quality of the project wise tasks in
some certain projects

The author set on next objective in PDP is to improve the knowledge of time management
while using organizing skills in a professional manner. By means of this objective, author
will able to manage time effectively in assignments or project task wise activities. The time
management is the process which organizing and planning how to divide time between
precise activities. According to Debbie Rosemont, “Time management is the key to success”.

The last two objectives that set on PDP are gain experience in industrial workspace and
achieve core business skills as a Project Coordinator title. Work experience provides many
benefits, giving the skills and experience that will allow author to stand out to potential
employers as well as helping author to choose the right sector to work in. Work experience
can help demonstrate to employers that author is ready for the world of work, and will
provide author with a collection of transferable skills, an understanding and appreciation of
the commercial world and potentially inspire your future career direction. Also, author will
require a number of skills to start and run a business projects. It is important to identify the
skills that author need to develop or improve. Therefore, author can succeed in day-to-day
business project operations.

By achieving above two objectives, author gain more experiences and skills on behalf of
managing direct and indirect relationship within the organization, knowing employment
rights and legislation in an organization, effective quality assurance of projects and
comprehensive documents, improving effective communication skills and teamwork,
multitasking skills, organizing skills and most importantly technical skills will improve in
future studies.

As mentioned above case study, in the future personal development plan is the way that
detailed such as draw up a plan that will benefit in future prospective personally and
professionally. Professional forms try to encourage continuing updating their record for
professional development for the reason of maintaining professional status that organization
prefers for future development. Widen knowledges of leadership, this is author’s first stage of
meaningful where author has to extended in terms of teamwork and skills that need to be
developed more, short-term objective. Author has to set out personal development action plan
with the dates inspecting what author want to attain in five years’ time from now. In future,
the time frame, will be consuming author’s professional development time frame from the
time author will continue own career till the time planning to reach and attending various
learning programs that will help author to develop personally and professionally

2.1 Present on methods you have used to communicate in a variety of styles and
appropriate manner at various levels of stakeholders of the project. (LO 2.1)
Communication is an important activity and responsibility of a managerial role (Gido, 2012).
In case of coordination role in this project, having an effective and successful communication
is equally important. With several stakeholders involved such as suppliers, donors,
beneficiaries, shareholders, competitors it becomes critical to establish an effective
communication practice for the role of coordinator. It is important to understand that
successful communication is dependent on variety of factors such as,

- Style of communication such as verbal, non-verbal, openness and responsiveness.


- Formal or informal nature of communication.
- Target audience of the communication
- Time available for communicating with people transmitting the message to people

The communication officer of this project suggested effective communication methods such
as WhatsApp formal group chat and Official Email chat to communicate and share official,
unofficial project documents among team members.

As the project coordinator, author has used variety of styles in communicating with the team
members. Sometimes, author used strict instructions to inform and make it right the
shortcomings of the project

2.2 Present evidence on how you have demonstrated effective time management
strategies learnt, when carrying out the project.
As a Project Coordinator, it is important to possess the time management skills so that task
assigned to the coordinator are accomplished within the timeframe and overall objectives of
the project are meet within time duration. Time management skills are important for the
project coordinator and in order to make use of the time in effective manner and below
strategies were adopted by the author in the project,

Prioritization of workloads: There are several tasks which need to be accomplished by


coordinator in the project and it is important to decide which tasks are important for the
project management. So that priority for each task can be assigned accordingly. Prioritization
of the workload would help in shifting urgent task ahead while rest of the tasks would be
performed at later stages.

Setting task objectives: Task objectives would be set for each task. Every task would be
containing some objectives which would be accomplished by the team. Every task would be
having certain objectives in terms of the task included in each of the task and for effective
time management it is important that each task is divided into simple steps. So that proper
time estimates are made in the organizational context by the coordinator of the project.

Using time effectively: Time available for each task need to be used effectively. So that
various aspects of the task can be fulfilled without any weakness in completion of task.

Marking and keeping selections: There should be pre-planned meeting schedule which are
been developed by the coordinator and this schedule should be properly followed. Making
and keeping selections would help in order to avoid last minutes problems and overall
planning would remain complete.

Reliable estimate of task time: Each task should be allocated reliable time by making estimate
of the time. Time estimates should be close to the project actual time take for each task. This
would help in order to make proper time plan and this time plan would be similar to the
actual time planning. (Kent.ac.uk, 2018)

By using above time management strategies, author has organized project time in an
effective manner to conduct the project to achieve success.

3.1 Analyse team dynamics, discussing the roles people play in a team and how they can
work together to achieve shared goals expected to achieve through carrying out the
project
The successful projects are usually the result of an excellent planning and the talent and
teamwork of a project's team members. The project can't move forward without each of its
key team members, but it’s not always clear who those members are, or what roles they play.

Usually great teams start with Belbin theory. Belbin team roles is the language of teams,
which is enabling individuals to be able to do project and exchange about their behavioural
strengths in a productive, safe and non-argumentative way. The more explanation of the
Belbin theory shows in Appendix 1.

In the words of Meredith Belbin:

" I think we've always been striving to find a way of helping people to work together. When
people work in effective combinations they achieve so much more than when they're working
alone. But to do that we need a language, and it needs to be a language which is shared and
enables people to communicate with one another...." (Belbin.com, 2018).

By using Belbin theory, individuals have a greater self-understanding of their own strengths,
which leads to more effective communication between team members and executives. Great
teams can be put together, existing teams can be understood and improved, and everyone can
feel that they are making a difference in the workplace. So, Belbin team roles have been
applied to this project team by analysing each team member’s capabilities according to their
straightness and weaknesses.

The estimated time duration for the above project was 40 days and estimated budget was
63,700. The team has completed successfully main outcome of the project and also achieved
several outcomes due to well performed coordination and team management among members
of the project team by identifying each team members capabilities. During the project period,
team has faced numerous issues in many areas of the project but team worked hard and find
best solution for that issues to overcome it.

3.2 Discuss alternative ways to complete tasks and achieve team goals relevant to the
project undertaken
To achieve or complete a task there are fundamentally two ways. One is the conventional
way of doing things, and other one is the unconventional way. This concept is simple,
conventional way of achieving task is simple and straightforward. As a Project Coordinator,
author need to assign the tasks to designated professional role and then set a timeline to
complete it. This approach is followed in majority of many organisations in today world.
However, with fast changing of work culture, and exposure to new ways of doing work has
impacted the way a task is done. The following above approach might be beneficial in short
term projects, but in long term it leaves an employee exhausted, demotivated and
monotonous.

In order to avoid all such issues, the unconventional approach of doing work can be taken up.
In other words, these are the alternative ways that completing tasks. Although, the end result
is same in both cases, but the process of completion of task is more effective and pleasant for
the workers in a certain project task.

In this project, the team has faced numerous issues and overcome those by using alternative
ways that planned at the initial phase of this project. Therefore, the team has able to achieve
the shared goal on time within estimated budget and projected scope.

First of all, the team has checked feasibility of selecting fund raising method and a school for
the projected scope that has been selected. Author and other team members were discussed
and checked feasibility of each and every fund-raising methods and selected the most feasible
method among them. Also, selected most feasible school as Thissa central college.

The team has presented project proposal presentation to accessor to ascertain the project
details such as team dynamics, estimated budget, projected scope, details of fund raising
event, schedule management of the project, etc. which were in a correct formation to initiate
the project successfully. During this day, some certain points were changed according to the
comment that given by the accessor. The one of issue was the team dynamics of Belbin
theory roles which were not distributed among team members according to their capabilities.

At that point, as a Project Coordinator, author has changed Belbin team roles according each
members’ capabilities to achieve shared goal at ease of work.

During the cost management of this project, the team has needed an initial amount of money
for the activities of project initiative phase and also, for the set off the fund-raising event for
this project. Therefore, Resource Investigator recommended to collect LKR 1000.00 amount
of contribution money from each and every team member of this project initial budget.

On that day, three members of this project team didn’t participate to present the project
proposal. It is important that to present project proposal to continue this project as a team.
Therefore, as the Project Coordinator, author has discussed with accessor and the members
who were not presented that day and recommend to do the project proposal presentation
again by given a date. They did it on that day and achieved project shared goal successfully.
Also, author recommend to give pardon letter with valid reasons which were not participated
to the project proposal presentation day. Those letters were given in Appendix 03 as
examples.

In the meantime, of this project the accessor analysed project budget report and gave a
comment to make it right. According to accessor’s comment, the full project expenditures
must cover only using income of fund raising event. This project cannot achieve using team
members’ contributions. Therefore, team has increased no of pens to cover the contribution
amount of money that used in the project and returned that contribution money among team
members to achieve the project assessment criteria which accessor mentioned.

In the execution phase of this project, the selected date has to change due to some team
members cannot participated on that day because of higher educational purposes. Therefore,
as a Project Coordinator, author has to discussed again with principal of that school and
changed the donation date to 15th of December 2018.

The above all consumed alternative ways, overcame the project certain issues and made the
way to success by achieving shared goal within professional manner. Always, as a
Coordinator, author motivates and encouraged team members to achieve the project
milestones within time period. According to these actions, the team has successfully
completed the project objectives.

4.1 Review tools and methods used for developing solutions to problems encountered in
the project.
Being a Project Coordinator, there are various situation where it is required to develop a
proper strategy to achieve a specific issue through various tools and methods.

Problem solving is a basic task for the project management. It is a process for developing and
applying a solution for that occurred problems during the project timescale. The probability
of the success rises, if a particular method is implemented to the project work. The problem
solving can be described in the following steps. First of all, it is necessary to determine the
actual status or problem definition. The next step is the applying of the solution process. And
the last step is the achievement of the wanted actual status. (Inloox.com, 2018)

The Problem-Solving Tools and Techniques presented here can be used to solve problems,
make great decisions, and do a wide array tasks in throughout the project. Tools and method
of problem solving are given following:

Brainstorming Session: A kind of the basically utilized issues explaining apparatus is


conceptualizing. Thusly, a gathering of individuals experiences various sessions to recognize
the innovative arrangement of issues and imaginative thoughts to be actualized to the issue.
Typically, casual meeting is to be utilized to work meeting to generate new ideas.

problem, not just its symptoms. The helpful techniques at this stage include using
flowcharts to identify the predictable steps of a process and the cause-and-effect
diagrams to define and analyse root causes of that issues.

The chart below identifies key steps for defining problems. These steps support the
involvement of interested parties, the use of factual information, comparison of
expectations to reality and a focus on root causes of a problem.
What’s needed is to:
- Review and document how processes currently work which according to these facts,
who does what, with what information, using what tools, communicating with what
organizations and individuals, in what time frame, using what format, etc.
- Evaluate the possible impact of new tools and revised policies in the development of
a model of “what should be.”

2.Generate alternative solutions
The postpone the selection of one solution until several alternatives have been proposed.
Devising a standard with which to compare the characteristics of the final solution is not the
same as defining the desired result. A standard allows them to evaluate the different intended
results offered by alternatives to the project. When team try to build toward desired results,
it’s very difficult to collect good information about the process.

While considering multiple alternatives can significantly enhance the value of team final
solution. Once the team or individual has decided the “what should be” perfect, this target
standard becomes the basis for developing a road map for inspecting alternatives.
Brainstorming and team problem-solving techniques are both useful tools in this stage of
problem solving.

3.Evaluate and select an alternative


The skilled problem solvers use a series of considerations when selecting the best alternative.
They consider the extent to which:

- A particular alternative will solve the problem without causing other unanticipated
problems.
- All the individuals involved will accept the alternative.
- Implementation of the alternative is possible.
- The alternative fits within the organizational or project team constraints

4.Implement and follow up on the solution


The leaders called upon to order the solution to be implemented by other team members,
“sell” the solution to others or facilitate the implementation by involving the efforts of other
team members. The most effective approach, by faraway, has been to involve team members
in the implementation as a way of minimizing resistance to successive changes of the project

The feedback channels must be built into the implementation of the solution which is to
produce continuous monitoring and testing of actual events against the expectations. Problem
solving, and the techniques that used to derive clarification, can only be effective in an
organization or a project team, if that solution remains in place and it is updated to respond to
future changes.

In the meantime of the project, the team has faced numerous shortcomings and overcome that
each and every of them by following the tools and methods that mentioned in the above case
study. The foremost issues that encountered during the project were,

- Belbin team roles which were not distributed among team members according to their
capabilities.

- Achieving the target income for the project only using fund raising event.

- Attendance issue of several team members.

As mentioned these issues were overcame through applying the problem-solving tools and
methods effectively that declared in the above case study.

4.2Explain how you have developed an appropriate strategy for resolving a particular
problem encountered when completing the project.

Strategy which can be implemented in order to complete problems such as achieving the
target income for the project only using fund raising event. This strategy can be broken down
in following stages or phases of the project:

the project within the time period that planned. Author
understood that the above alternatives were not at ease to be
applied to this issue to recover the project full income while
using less amount of fund that collected. Therefore author,
with the help and support of other team members have
selected solution as to increase the no of pens in the current
fundraising event. This alternative solution was more
reliable to achieve the projected income as planned.
Implement and follow up on the Not like other solutions, by means of increasing the no of
solution pens, the team has to spend less amount of fund for their
making cost. As well as, each team member has to sell no of
pens on their own way and returned that funds to resource
investigator within 2 weeks. Also, team has decided to sell
some penss among the students of Esoft Metro Campus
Kurunagala and outside of the institute as a group work. By
means of these actions can overcome the issue that arise in
the income of the project without have an effect on projected
schedule.

4.3 Evaluate the potential impact of implementing the strategy on the project
The major issue of achieve the target income for the project only using fund raising event
that faced in the current project context of bags donation of Thissa central college has been
solved it on time while defining and implementing best strategy for the solution of that issue
and it is important that the desired outcomes of the project achieved due to the result of
implementing best solution for that major issue.

At the initial phase of the project, the team members were planned project activities in
sections of HR management, scope management, time management, budget management,
communication management, event and execution planning. In the budget management of
this project, the team has needed an initial amount of money for the activities of project
initiative phase and also, for the set off the fund-raising event for this project. Therefore,
Resource Investigator recommended to collect LKR 1000.00 amount of contribution money
from each and every team member of this project budget as a solution for initial fund of this
project. After presenting project proposal presentation, the accessor analysed project budget
report and gave a comment to make it right. According to the accessor’s comment, the full
project expenditures must cover only using income of fund raising event. This project cannot
achieve using team members’ contributions.

After that comment, the team has faced to a serious issue which is affect to the project
budget. If the team cannot achieve projected budget on time, the scope of the project will fail.
Therefore, the team has used problem solving strategy to analyse and implement an
alternative solution which is more feasible to cover up the damage of that issue caused to the
project. While, performing the problem-solving strategy, team got a more feasible solution
which is to increase no of pens to cover the contribution amount of money that used in the
project and returned that contribution money among team members to achieve the project
assessment criteria which accessor mentioned. This budget issue caused more troubles for the
project success but applying that problem-solving strategy at right on time and the hard effort
of team members minimize the Impact of the issue that caused.

In the meantime, team has used above defined problem-solving strategy to solve budget issue
that aroused during the project timeframe. The applied strategy solved that issue and selected

feasible solution but the above-mentioned solution potentially impacts to the whole project by
means of positive and negative.

The author has identified some positive impacts that affect to the project success. They were
ability to minimize failures of project plans, ability to execute project as projected budget,
ability to execute on time as scheduled, improve financial management, performed effective
communication among team members and ability to execute quality project donation as
planned.

The good implementation of project procedures and better management always leads to an
effective project execution and lower the rate at which the project can fail. Therefore, as the
project coordinator, author with the support of team members were again motivated to set up
the project strategies, organized and reflecting on some resources that can make the project
successful as planned. By means of this, team has minimized the failures of project plan and
performed it. After the implementation of alternative budget solution, the team has achieved
projected budget while performing their hard effort in fund raising event to sell out all
additionally pens. Meanwhile, as the project coordinator, author with the support of monitor
evaluator monitoring project performance and control normally while give their own time and
professional knowledge to make sure that all the provisional materials that relate to the
success of the project delivery were met and as well be assured that the project finishes
without any overstep budgeted estimates of resources and time. According to that hard effort
and professional knowledge of team members, they achieved the projected budget on time as
scheduled and also team has executed the successful donation with performing quality as
scheduled date which was due to the reason of applying best alternative solution at right on
time. Also, team has improved and performed effective communication to overcome the issue
at that situation. Meanwhile, effective communication also helps all the team members to
come together to discuss about the project progress and as well as help to reduce the material
wastage and save project cost on certain circumstances. These were the positive impacts that
happened to the project success.

Also, author has identified two negative impacts that can affect to project success while
implementing that problem-solving strategy. They were, by overstepping the budgeted
estimated resources and improper manage of risk management.

The most commonly happening negative impact fact was overstepping the budgeted
estimated resources if there was budget issue that aroused during the project schedule.
Therefore, this negative impact affected to that situation of budget issue in this project. The
initial project estimates occasionally known at the beginning of the project, and most of the
team members have discussed the initial strategy part of the project but according to
accessor’s comment, the team members’ contributions have been distributed among team
members and they had to collect that amount of funds through fund raising event. Therefore,
team has applied that alternative solution while spending more funds to take additional set of
pens which to cover full income budget of the project. According to the effort of resource
investigator, he balanced up the full budget while spending less amount of funds to overcome
that situation of budget issue. While recovering from that situation, some resources were
spent and overstepped from the budgeted estimated resource plan but this fact doesn’t cause
troubles to project success according to the well management of that budget issue which was
in that kind of situation.

The next negative impact was improper manage of risk management. At the planning phase
of the project, team has analysed and figure out every possible way which can happen risks
for project and use alternate methods to minimize it. When that budget issue happened, the
impact of the resource-related risk and the other risks of time, cost and quality on the project
outcomes have effect on the project completion. The intelligent respond of team by applying
alternative solution at right time make sure to minimize the above-mentioned risks. Some
team members have doubt that the project cannot achieve on scheduled time, on projected
budget and projected quality. As the project coordinator, author always motivated and guided
team members to achieve project milestones on scheduled date and this effort clear that doubt
step by step to achieve project outcomes successfully while in front of that hard situation.

Hence based on above case study, author concluded that the potential impact of implementing
the strategy of that alternative solution to the project while providing the way of how it
affects and how team has overcome it to achieve project outcomes successfully. Finally, team
has overcame that hard situation as a team and achieved project outcomes successfully such
as achieved on scheduled time, on projected budget and projected quality.

Conclusion
The above case study was trying to explain the potential impact of implementing that
strategy, the positive and negative aspects to the project team of their donation project. The
abovementioned points can see that time management, cost, planning, communication,
project tracking, financial management, and risk assessment are very vital in order to prevent
pre-planned and on-going project from failing. Therefore, the positive and negative aspects
must be critically look into when planning or executing a project as well as in future projects.

Conclusion
The project “Donate school bags and stationary to the school of Thissa Central College” is
successfully organized and implemented to fulfilling the necessary requirements, as identified
in the given scenario, such as the project milestones achieved on time, budget and perfect
quality as projected in project initial phase, improved collective team effort combining skills
of the entire team members while performing very efficiently in the project tasks.

With so much advancements in Management Principals in the project, the role of Project
Coordinator has become very vital. Author has analysed and educated how precise the skills
of a Project Coordinator needs to be. The tricky fact about the profile of a Project
Coordinator is that, the individual not only needs to be good at leadership and management
skills, but also one needs to be up to date with the latest technologies for coordination and
communication strategies of the project. This helps to the Coordinator to guide the team
through at the times of crisis. The team members can take a lesson out of this project report
that, a Project Coordinator needs to be very dynamic and adaptive to be successful in the field
of certain projects with the support of team.

The vitality is one of the essential qualities for the team members who performing in a
project. An individual should be flexible enough to change on the basis of needs and should
know to organize their different tasks in a timely and effective manner. Also, time
management is the property of those leading in a group, so that they can influence others in a

group. In addition, to this, effective coordination within the members of group working in a
team is also a basic factor, which is significant to work in a certain project or an organization.

management skills and personal and professional skills were achieved while performing this
project according to the case study of the Employability and Professional Development

APPENDIX 01
Dr Meredith Belbin studied team-work for many years, and he famously observed that people
in teams tend to assume different "team roles." He defined a team role as "a tendency to
behave, contribute and interrelate with others in a particular way" and named nine such team
roles that underlie team success.

Belbin suggests that, by understanding role within a particular team, can develop strengths
and manage weaknesses as a team member, and so improve how to contribute the team.

Teams can become unbalanced if all team members have similar styles of behaviour or team
roles. If team members have similar weaknesses, the team as a whole may tend to have that
weakness. If team members have similar team-work strengths, they may tend to compete
rather than cooperate for the team tasks and responsibilities that best suit their natural styles.

Knowing this, can use the model with team to help ensure that necessary team roles are
covered, and that potential behavioural tensions or weaknesses among the team member are
addressed.

Belbin identified nine team roles and he categorized those roles into three groups:

Action Oriented

People Oriented

Thought Oriented.

Each team role is associated with typical behavioural and interpersonal strengths.

Belbin also defined characteristic weaknesses that tend to accompany each team role. He
called the characteristic weaknesses of team roles the "allowable" weaknesses; as for any
behavioural weakness, these are areas to be aware of and potentially improve.

The nine team roles are:

Action Oriented Roles

Shaper (SH)

Shapers are people who challenge the team to improve. They are dynamic and usually
extroverted people who enjoy stimulating others, questioning norms, and finding the best
approaches for solving problems. The Shaper is the one who shakes things up to make sure
that all possibilities are considered and that the team does not become complacent. Shapers
often see obstacles as exciting challenges and they tend to have the courage to push on when
others feel like quitting. Their potential weaknesses may be that they're argumentative, and
that they may offend people's feelings.

Implementer (IMP)

Implementers are the people who get things done. They turn the team's ideas and concepts
into practical actions and plans. They are typically conservative, disciplined people who work
systematically and efficiently and are very well organized. These are the people who you can
count on to get the job done. On the downside, Implementers may be inflexible and can be
somewhat resistant to change.

Completer-Finisher (CF)

Completer-Finishers are the people who see that projects are completed thoroughly. They
ensure there have been no errors or omissions and they pay attention to the smallest of
details. They are very concerned with deadlines and will push the team to make sure the job
is completed on time. They are described as perfectionists who are orderly, conscientious and
anxious.

However, a Completer-Finisher may worry unnecessarily, and may find it hard to delegate.

People Oriented Roles

Coordinator (CO)

Coordinators are the ones who take on the traditional team-leader role and have also been
referred to as the chairmen. They guide the team to what they perceive are the objectives.
They are often excellent listeners and they are naturally able to recognize the value that each
team member brings to the table. They are calm and good-natured, and delegate tasks very
effectively.

Their potential weaknesses are that they may delegate away too much personal responsibility,
and may tend to be manipulative.

Team Worker (TW)

Team Workers are the people who provide support and make sure that people within the team
are working together effectively. These people fill the role of negotiators within the team and
they are flexible, diplomatic and perceptive. These tend to be popular people who are very
capable in their own right, but who prioritize team cohesion and helping people get along.
Their weaknesses may be a tendency to be indecisive, and to maintain uncommitted positions
during discussions and decision-making

Resource Investigator (RI)

Resource Investigators are innovative and curious. They explore available options, develop
contacts, and negotiate for resources on behalf of the team. They are enthusiastic team
members, who identify and work with external stakeholders to help the team accomplish its
objective. They are outgoing and are often extroverted, meaning that others are often
receptive to them and their ideas.

On the downside, they may lose enthusiasm quickly, and are often overly optimistic.

Thought Oriented Roles

Plant (PL)

The Plant is the creative innovator who comes up with new ideas and approaches. They thrive
on praise but criticism is especially hard for them to deal with. Plants are often introverted
and prefer to work apart from the team. Because their ideas are so novel, they can be
impractical at times. They may also be poor communicators and can tend to ignore given
parameters and constraints.

Monitor-Evaluator (ME)

Monitor-Evaluators are best at analysing and evaluating ideas that other people (often Plants)
come up with. These people are shrewd and objective, and they carefully weigh the pros and
cons of all the options before coming to a decision.

Monitor-Evaluators are critical thinkers and very strategic in their approach. They are often
perceived as detached or unemotional. Sometimes they are poor motivators who react to
events rather than instigating them

Specialist (SP)

Specialists are people who have specialized knowledge that is needed to get the job done.
They pride themselves on their skills and abilities, and they work to maintain their
professional status. Their job within the team is to be an expert in the area, and they commit
themselves fully to their field of expertise.
