Minutes of the Meeting

I. CALL TO ORDER

The meeting was called to order at 11:05 AM, 27 November 2020, Friday, by Gen
Carlos F Quita (Ret), BAC-G Chairman. He declared a quorum as Mr. Raul G.
Buensalida, BAC-G Secretariat, noted that the following Members were in
attendance:

II. BIDS AND AWARDS COMMITTEE FOR GOODS

Pre-Bid Conference (Rebidding of Procurement of IT Equipment and Software

for 2020)

1. The BAC-G invited the Commission on Audit (COA) and Internal Audit Services
Office (IASO) to observe the Pre-Bid Conference. However, there were no
representatives from COA and IASO who attended.

There were three (3) prospective bidders who attended the Pre-Bid
Conference. They were the following:

a) CIM Technologies
Represented by Ms. Marisol Rio
b) Computer Technologies, Inc.
Represented by Ms. Helen Pasag
 c) Integrated Computer Systems, Inc. (ICS)
Represented by Jonahliz Narajos and Travis Robles

2. Mr. Alexander S. Mijares of the Information and Communications Technology

Department (ICTD) presented the salient points of the Terms of Reference
(TOR) including the technical specifications of the Project to the prospective
bidders.

3. Mr. Travis Robles, representative of ICS clarified the specifications for the
VESA Mount Bracket configuration for Small form factor desktop option. Mr.
Mijares answered that the Small form Factors can be Micro, Mini or tiny form
factor. He added that the VESA mount bracket is needed to mount any of
them. He also asked if the Audio Jack connecitvity is acceptable for the
bundled headset or earphone. Mr. Mijares answered that they will be
checking on it and will include the answer in the bid bulletin. Further, he
inquired if the prospective bidders can provide any brand for the headset
bundle. Mr. Mijares answered that they will answer it in the bid bulletin.

4. After the presentation of TOR, Ms. Almira Clarianes, Head of the BAC-G TWG
presented the bidding requirements and bidding process to the bidders. She
reminded the prospective bidders of the eligibility documents, technical and
financial components required, including the forms, based on the Bidding
Documents, and that the deadline for submission of bids is at 9:00AM, and
the opening of bids is at 10:00AM, on 11 December 2020, Friday.

5. After the presentation of the bidding requirements and bidding process, Mr.
Raul Buensalida of the BAC-G Secretariat presented the procurement
calendar to the bidders.

6. Chairman Quita stressed that the BAC-G will evaluate all the questions and
requests for clarification raised by the prospective bidders during the pre-bid
conference and/or received through email until 04 December 2020. BAC-G
will issue a bid bulletin to officially answer/clarify them on 04 December
2020, in compliance with the RIRR of RA 9184.

Pursuant to Resolution No. 03-2018 issued by the GPPB on 09 March 2018 on

the conduct of the Pre-Bid Conference, the Minutes of today’s proceedings,
once approved, shall be posted in the BCDA website.
III. ADJOURNMENT

The meeting was adjourned at 11:48AM.
