National Convention. The said event will be attended by all interested teachers and educators

company, providing food catering, facility planning and design, program design and
development, and entertainment and production services. We will take care of the booking of all
your accommodations, from guest rooms to the grand convention hall. We have fully trained
professional wait-staff, excellent catering options and our own set-up and break-down staff. We
will book and contract your keynote speakers and any entertainment of your choice. We will also
supply and set-up state-of-the-art audio-visual equipment for both your conference and
entertainment needs. Your event will be flawlessly planned and executed by our experienced and

and Event Specialist, based in
Nabua, Camarines Sur, was
established in 2013. It was the
brainchild of the head owner,
Mr. Fleet Calixto J. Trillanes,
VII. It was diversified Event
Center, we have our main
Event Center at Nabua,
Camarines Sur, and branches at
196 San Jose Street, Goa,
Camarines Sur and in Elias
Angeles, Naga City. It was
founded by four persons
namely: Ryan Kenneth M.
Cornelio, Ar-Jay P. Rodriguez,
Eduardo C. Panciles, Jr and Calixto J.
Trillanes, VII. They are best friends and decided to put up Event Center in order to help others in
managing different events to become meaningful and successful.

Though only three years in business, we are highly regarded and recognized as one of
the finest in the event management industry. At The Event Specialist, we are dedicated to
providing the highest level of professional expertise while maintaining outstanding customer
service. We constantly innovate, imagine and inspire to exceed client expectations in every way.

Our company's vision is to be the top-of-mind events management team in the country

INTRODUCTION OF THE EVENT

Formal education is the hierarchically structured, chronologically graded education


system, running from primary school through the university and including, in addition to general
academic studies, a variety of specialized programs and institutions for full-time technical and
professional training. The K-12 and tertiary education from colleges are characterized as formal
education. This event is a gathering of all teachers and educators from elementary, secondary
and tertiary from all over the country where critical issues, challenges, trends and other
education-related concerns will be discussed.

The format of our event is as follows:

I. Project Proposal: “10th National Convention for Social Sciences and


Management for Teachers (NCSSAMT)”

Theme:"Quality Education Through Service Excellence"

II. Date of Activity: March 20-24, 2017

III. Proposed Budget: Php 6,550,000.00

Objectives of the Event:

 To update teachers with latest educational trends and developments.


 To identify and propose solutions for problems relevant in education.
 To develop teaching strategies that would expand the teachers'
knowledge and skills.
 To motivate teachers to further explore different topics of interest which
are integral part of teachers' continuing professional development.

ALTERNATIVE VENUE

In every event, an alternative venue is required in order to avoid the hassle and the
possibility for interruption. It will help a lot, most especially for the event, to avoid negative
feedback for the company’s reputation and name.

In case that the primary venue is not available for some reason, an alternative venue is
needed in order to not interrupt the flow of planning the event especially during the event itself.
Thus, it will only change the place or the venue of the event to be held at, but still at the same
date and time. The alternative venue is found in a place where it is safe and appropriate to
execute the event planned for.

Being the event planner, predicting problems that might arise during the event is one of
our main concern. As part of the event planning process, we have prepared a contingency plan
to ensure that people know what to do when emergency strikes, and have the system and tools
to respond fast.

We have identified some potential hazards that may occur and sets of specific actions
that will be implemented to reduce these anticipated negative impacts on the event if or when
emergencies arise.

Natural crisis may occur before or during an event like typhoon, earthquake or flood.
These requires more reliance on local resources. To address these possible problems, we will
coordinate with PAGASA for the weather updates. In case of occurrence, we will coordinate and
work with the Bureau of Fire Protection (BFP), Red Cross, Municipal Disaster and Risk Reduction
Management Council (MDRRMC), Search and Rescue Group and the Local Government Unit
(LGU) for a timely and effective response.

Fire is another calamity that might occur during the event. To address this, we will
coordinate with the Bureau of Fire Protection for immediate response and set-up a fire truck to
stand-by for emergency purposes.

Another problem is air travel disruptions. To address such, we will keep close monitoring
of the flight status to track possible delays and make arrangements with the airlines the soonest
possible time to prevent the participants from being late from the convention.

Another potential danger is act of terrorism like bomb threats. We will designate staffs
that will assist the delegates on leaving the venue calmly and avoid stampede. We will provide
alternative but conducive venues and accommodations on a different location. We will coordinate
with the local PNP and LGUs to assure the delegates of their safety and prevent them from
having panic attacks.

Other problems that might arise during the event are power outage, food poisoning, and
equipment failure. We will install a back-up generator in case of electricity failure. To prevent
food poisoning to happen, we will make sure that all the ingredients to be used are fresh and top
grade. We assure you that our catering service is of high standard. A medical team and an
ambulance is on stand-by in cases of other medical emergencies. To prevent equipment failure,
we will check all the equipments before the event and make sure those are ready and in good
condition. A technical personnel will be on stand-by in case of equipment failure during the
event.

The above mentioned problems are just some of the many potential dangers that might
occur before and during the event. As crisis management being part of our organizing and
designing an event, it is important that we build an effective contingency plan that would lead to
timely and effective response. It means anticipating the types of disasters we might face and
knowing practically how to manage emergency situations. We regularly update and test our
contingency plan through simulations. It means rehearsing our procedures and working out
where the gaps are, if there is any, so that we are ready when needed most. We believe that
time spent in contingency planning equals time saved when a disaster occurs.

CONCLUSION

The “10th National Convention for Social Sciences and Management for Teachers
(NCSSAMT)” Formal education is the hierarchically structured, chronologically graded education
system, running from primary school through the university and including, in addition to general
academic studies, a variety of specialized programs and institutions for full-time technical and
professional training. The K-12 and tertiary education from colleges are characterized as formal
education. This event is a gathering of all teachers and educators from elementary, secondary

MEMORANDUM OF AGREEMENT

raijaiduard T. Event Center the Event Specialist, henceforth known as the


"Company," and Ms. Trixie C. Layagan, henceforth known as the "Client," enter into this
agreement freely and willingly on the 7th day of November, 2017.

I. SERVICES

I.a COMPANY agrees to provide:


1. Research, design, planning, coordination and evaluation entitled:
“10th National Convention for Social Sciences and Management for
Teachers (NCSSAMT)”
2. Research that will commence with the joint execution of this agreement.

Teachers (NCSSAMT)” referred to as the "Event", will begin March 20,

on March 24, 2017 at 7:30 PM Philippine time.
3. Inclusive general liability insurance with a Php 15,000.00 limit per occurrence,
naming CLIENT as additional insured for the period of event.

I.b CLIENT agrees to provide the COMPANY:


1. One person as principal contact and decision maker.
2. General liability insurance with a Php 100.00 per occurrence naming CLIENT as
additional insured for the period of event.
3. Decisions in the timely manner as required by the final approved production
schedule.
4. Fifteen volunteers to coordinate registration and guest relations during the event
from 7:00 AM to 10:00 PM central time.

II. INVESTMENT
The COMPANY and CLIENT will be having a Profit Sharing between 75% and 25% of
the Total Net Profit.

III. TERMS
The CLIENT agrees to provide the following payment to the COMPANY as
compensation describe above.

IV. FEES
A non-refundable reservation fee of 20% is required to secure COMPANY for the
event. This amount shall be subtracted from the event planning fee. The remaining
balance of the event planning fee must be paid in full BEFORE the start of the event.
Personal checks are accepted up to 2 weeks before the event. All checks shall be
made payable to Ms. Joanne B. Atis. Any payments received less than 2 weeks before
the event must be by cash.

V. PAYMENTS
The CLIENT agrees to pay the Fees to the COMPANY the full payment upon
completion of the Event. The Company shall invoice the Client for the Services that it
has provided to the Client 2 days after the event. The Client shall pay such invoices
upon receipt from the Company. Any charges payable under this Agreement are
exclusive of any applicable taxes and such shall be payable by the Client to the
Company in addition to all other charges payable hereunder.

VI. WARRANTY
The COMPANY represents and warrants that it will perform the Services with
reasonable skill and care.

VII. LIMITATIONS AND LIABILITIES


The COMPANY assumes no liability due to the quality of items or services purchased
for the Client.

VIII. FORCE MAJUERE


Neither party shall be liable nor deemed to be in default for any delay or failure in
performance under this Agreement or other interruption of service or employment
deemed resulting, directly or indirectly, from acts of God, civil or military authority,
acts of public enemy, war, accidents, fires, explosions, earthquakes, floods, failure of
transportation, strikes or other work interruptions by either parties employees, or any
similar or dissimilar cause beyond the reasonable control of either party; provided,
however, in the event the provision of Covered Services is substantially interrupted,
the Company shall have the right to terminate this Agreement upon ten (10) days
prior written notice to the Client.

IX. ARBITRATION

The Philippine Arbitration Association is designated as the official body for arbitrating
any disputes resulting from this agreement.

X. AUXILLIARY
The agreement had additional services like medical staff/clinic to make sure that the
participants are secured in terms of their safety located at the convention hall.

XI. THE FULL AGREEMENT


The agreement, including any attachments constitute the full agreement. Any
changes, additions or deletions to this agreement must be approved in writing by
both parties.

XII. ACCEPTANCE
The parties whose signature are affixed below agreed to accept the terms and
conditions stated within this agreement.

XIII. RELATIONSHIP
This agreement represents the only relationship between the Company and Client. No
other relationship between the two entities exists, implied or otherwise.

XIV. CONFIDENTIALITY
