SCHEDULING AND TEACHER LOADING ASSIGNMENT SYSTEMFOR

LAMBAYONG NATIONAL HIGH SCHOOL

Chapter I

Introduction

Background of the study

Technology had provided an unlimited development in our society. It had been

utilized to provide effective and efficient services especially in educational institutions.

Schools had acquired the use of technology for assistance in handling information more

effectively.

Mariano Marcos Municipal High School was founded in June 1980 by virtue of

Council Resolution No. 809. It was located at Barangay Poblacion, Municipality of

Mariano Marcos.Classes were held in the Rural Improvement Club Balikatan Center,

beside the Municipal Hall, where the present SB Hall now stands.

Mr. Pedro V. Samson, the founder of the school, was then the District Supervisor

of First District of Lambayong. Later, he became a Sangguniang Panlalawigan member

of the Province of Sultan Kudarat.

There were (153) one hundred fifty-three students during its first operation on

1986. They only catered two year levels; two sections in first year and one section in the

second year. It was then pioneered by the following teachers: Mr. Bonifacio Baltazar,

Ms. Annabelle Baldonado, Mrs. FelicitasDela Cruz and Mr. InecitoEstorninos as the

teacher-in-charge.

The years that followed were challenged by a tremendous increase of enrollees.

On August 1986, the municipal government, through the leadership of Mayor Tinio
Abellera, donated a (2) two-hectares lot, vacated by the Emergency Hospital along the

national highway.

By 1988, Madam Corazon C. Aquino, the President of the Philippines, renamed

Mariano Marcos Municipal High School asLambayong National High School. In 1989,

the municipal council filed Resolution No. 89-117, endorsing the change of name from

Mariano Marcos Municipal High School to Lambayong National High School in which it

is known today.

Currently, Mr. Haron M. Kabugatan is the principal. He is the 5th principal of the

Lambayong National High School, They have (65) sixty-five teachers, (2) two utilities

and (3) three security personnel’s.

There are(30) thirty rooms intended for Grade 7 to 10 and (6) six rooms for

Senior High School;(9) nine rooms are for the Grade 7 which is consist of 9 sections

(SILVER,DIGNITY,AGILITY,COURTESY,HONESTY,OBEDIENCE,KINDNESS,LO

YALTY and SOLIDARITY), five hundred seventy eight students(578) andeight (8)

sections for Grade 8(GOLD, PRUDENCE, COURAGE, PATIENCE, DILIGENCE,

INDUSTRY, EMPATHY and SINCERITY) withfour hundred seventy six students (467)

andseven sections (7),for Grade 9(DIAMOND, INTEGRITY, CHARITY, HUMILITY,

TRUSTWORTHY,PERSEVERANCE and PURITY) with four hundred twenty seven

students (467), andsix sections (6), for Grade 10 (PLATINUM, NEWTON, EINSTEIN,

ARISTOTLE, DALTON, and GALILEE) with three hundred thirty-six students (336).

For the Senior High School, they havesix rooms forthree hundred four for Grade 11

studentsthat are taking the following majors tracks GAS, AUTOMOTIVE, ICT,
ELECTRONICS and HE. For a total of two thousand one hundred twenty-one high

school students. Each room has a maximum of 70 students.

Having more than 2,000 students, the school is currently experiencing some problems in

terms of scheduling and making teacher’s loading assignment. There are times when the

registrar encountereda problem in student selection for their designated sections which

also carried the scheduling process. Due to large population of students handling a large

amount of files can be a burden for her. The result of this is the mishandling of data such

as;improper filing, loss of document, damage of documents, and conflict of schedules.

Such problems are expected with the current process that they are using.

This is where the proposed systemcomes in.Scheduling and Teachers Loading

Assignment System is very essential in a school. In the case of Lambayong National

High School it is composed of a manual system. Registrar used manual system in

recording and retrieving student’s information. In terms of retrieving data for the

specified students, she must look for it in the school records. On the other hand, Registrar

Department also used manual system as a way of recording and retrieving information of

student and teacher schedules and loading of classes.

Thus, the proponentsproposed the Scheduling and Teachers Loading System for

Lambayong National High School (LNHS) that aims to lessen the workload and to

provide accurate information needed of the school. It will assign student and advisers to

their sections and classes. As a result, it will be beneficial not only to the students but

also to the administration as a whole.


Through the help of the proposed system, conflicts on schedules will be

minimized on students. On faculty, instead of using manual way of generating schedules

the proposed system will provide easier tabling.

It involves the student filing in forms and going through different offices for

compliance of necessary requirements and documents, and after that is the scheduling of

their subjects.

There were times when the information are inaccurate, and lacking of needed

information and most of it was the assigning of subjects, there were conflicts on the time

of classes or subjects. This has been experienced by the school often times. Sometimes,

verification is needed to correct these errors.

The storage system is also an important part in handling information. In the

current process, the files, those hard copy of the filled-up enrollment forms and scheduled

list, is stored in steel cabinets. These files are prone to loss or damage. The documents

will beprone to damage by rain (or flood), moisture, or even fire.

Managing this information is very important. Manually, the task becomes tedious.

This is especially true in placing each student in their proper sections. Since the school is

using the Grade Point Average (GPA) as basis for the sectioning on their star sections, it

is very time consuming if there are many students. Because of the increasing number of

students, the staff cannot schedule the student in their respective time.

Problem on teachers loading is that, there have too much number of English

teachers which will lead them to teach into other subjects. For the student’s problem, they

were given teachers who are not vertically aligned to their major field. The teachers are
limited only to have eight (8) subject loads and this varies from their major field of

specialization from different year level.

This information is important in the school operation. Handling it properly will

save time and effort. In the introduction of the system, the information will handled and

stored properly. Some of the basic concerns or problems of the school, in terms of

scheduling and assigning of teachers load process, will easily be addressed with just a

click of a button.

Locating Student files is one of the major problems in terms of scheduling their

classes. Time consuming for the staff to find the student files/schedule because the

storage area was not organized. The student files are stacked only in a cabinet. This will

cause to shuffling of files and it can be bitten by the insects.

Statement of the Problems

As the study gets bigger conclusions of problems arises. And problems are un deniable in

once institution or company.

1. Manual System is relatively slow and can make mistakes.

2. Tabling of Schedules is difficult in a human intellect to process.

3. Filing of student information for scheduling the classes may also be a big

problem.

4. Conflicts of subjects and schedule is the problem that always arise.

5. Locating of student files from the cabinets.

Significance of the Study


Socio-economic significance- This study is proposed with the system that will

inspire other people, students, and professionals to develop an effective and efficient

system.

Technological significance- This system proposed will introduce to the said

company but in the whole field of technology in terms of business and industrial

automation of records of deliveries that are now still adapting the manual system in

managing the delivery records.

Researchers- The researchers have developed their transcript, study, analysis,

and interpretation skills needed to make a good thesis.

Future Researchers- This will benefit other future researchers who wishes to

have similar studies. Information from the result of this study which will serve as

template to modify their research.

Objectives

General Objectives

The proponent aim to develop a Scheduling and Teacher Loading Assignment

System for Lambayong National High School.

Specific Objectives

This study specifically aims to:

1. To create a module that perform the following:

a. Manage student’s information.


b. Manage teacher’s information

c. Manage Subjects loads

d. Scheduling module

e. availability of teachers, room, time, day, section

2. To generate the following reports:

a. list of student’s per year/section

b. list of teachers

c. list of student’s subject loads

d. List of subject loads

Scope and Limitations

Scope

This system is designed for the student scheduling and teacher loading assignment

system Lambayong National High School. The proponents aim to develop a system that

will manage the information of everystudent by the functions of Adding, Searching, and

Updating. The Adding feature is for the registrar and teacher to add new records in form

138 (student grades) of their new pupils to the database to make their schedules and also

for the teachers in assigning their classes schedules and time management. The Searching

feature will help the teacher to easily show its student’s schedules and also its schedule or
classes on that time. The Updating feature will modify information when suddenly the

assign subject or class has changed. To easily assign students in respective section in

their respective year levels by storing all information in database and all students that

having an average of 85 and above in sorting for the star section.

The system also includes a log-in function where the Administrators have an access

to the files in the computer in their offices. Administrators are only be restricted to the

Enrolment Officer, Registrar, Guidance Counselor and Principal.

Limitations

The system will only be intended for Lambayong National High School. It willnot

include the billing system and accounting transactions. Deleting student information will

not part of the system. Client-server platform does not cover by the system. Accounting

processes will not be a responsibility of the system.

1.3 Significance of the Study

This Scheduling and Teachers Loading Assignment for Lambayong National

High School is beneficial to the following:

 Teachers - Monitor the number of students registered in their section.

 Student -Make their processing time shorten; by easily assign their schedules,

through using the system

Registrar - It provides an ease to assign the classroom and sections of the students

upon enrolment.

2.0 Current State of the Technology

The process of scheduling that they are currently using is the same process they

had adapted years ago. This involves the student’s form is forwarded to the registrar with

attachment such as pictures, Birth certificate and report card. They are applying FIFO

(First Come First Serve) for scheduling of students; they are catering students with

different year level. The registrar is tasked to schedule all the subjects for teachers under
their specific major (ENGLISH, MATH, SCIENCE, APAN, MAPEH, etc.) they make

sure there will be no conflict of subject for the teacher.

For the teacher’s loading of subjects, basically they should have their own major

subjects to be taught. The registrar assigned the teachers to different section with the

different subject’s load. Using the manual process, they carefully assigned the teacher

and after that they released the subject load if there is conflict.

In sectioning of every class, there is a special section for the fast learner, those

who could maintain their grades high average, and the other sections identified randomly

based on FIFO process each section has 60 students, otherwise they will proceed to next

section. The school never refuses every student during enrollment. So, this result too

much number of students.

The registrar consolidate the schedules and sectioning of the whole institution.

3.0 Methodology of the Study

The System Development Life Cycle (SDLC) will be used by the study to be

developed with the different processes such as follows:

Planning Phase

In planning phase, the proponents conducted a meeting of what will be the system

to be made. After this, they conducted an interview from the Lambayong National High

school for the further details of the proposed system. They gathered more information to

complement the documents of the system.


Analysis Phase

In analysis phase different angles of the school’s process are carefully checked in

order to know what particular system should be proposed. The proponents used

qualitative method of gathering data that will be useful in obtaining accurate information

of the current status of Lambayong National High School. All data are acquired based on

personal interview on Lambayong National High School staff. Based on the interview the

staff stated their problems in student’s schedules and teachers loading process. Each

process had carefully reviewed in order to address what particular functions of the system

must be acquired to eliminate common errors.

Designing Phase

Context Diagram – This diagram will determine the main process of the school. This

will help to know the exact step-by-step process of the school.

Dataflow Diagram – The diagram will design the proponent to help explain the flow of

the system, this will be a guide to develop the proposed system.

Entity Relationship Diagram – The chart will design to know the relationship of each

process and the data must be putted in one entity.

Normalization – In this diagram, the necessary design will be identified which will be

part into the database to be easily understood in an orderly manner.

It provides an ease to assign the classroom and sections of the students upon enrolment.

Chapter IV

4.0 Form Specification

4.1 Log in Screen

This is the first screen that will be displayed. Here, the user enters his/her User ID

and Password in order to enter the program, filtered in admin and teacher accounts.

Pressing the Login button will display the Main Menu (Screen 2).

4.2 Main Form

The Main Menu Screen displays the options that a teacher can Add, Update,

Delete and Select subjects, in teacher accounts, some function is hidden and only

accessible in admin account.


4.3 Teacher Registration Form

This screen is shown upon pressing the Register Teacher button of the Main Menu
via admin login. This is where the admin can add, update, and delete teacher accounts.
Only one (1) teacher can be register in the system.

4.4 Subject Registration

The Subject Registration Screen is intended for the teacher and this is where the
teacher will register subject information.
4.5 Set School Year
The Set school year form is intended to set the school year that will be used in entire
system.
4.6 Update teacher

The update Teacher is Use to update the teacher’s name.

4.7 Update Subject

It is use to update the subject of the school.
