I. INTRODUCTION: This exploratory course on Electronic Products Assembly and


Servicing will develop your skill and ability in Maintaining Computer Equipment and
Systems which includes the undergoing systems cleaning, minor maintenance, and
replacement of consumables, implementing procedures for ensuring security of data,
including regular backups and virus checks, and performing basic file maintenance
procedures.

II. MELC : After going through this module, you are expected to maintain computer
equipment and systems (TLE_IAEPAS9-12PCO-Ig-8). Specifically, you should be able to:

A. Undergo systems cleaning, minor maintenance, and replacement of


consumables;
B. Implement procedures for ensuring security of data, including regular
backups and virus checks; and
C. Perform basic file maintenance procedures.

The following are the procedures on how to maintain computer system and
equipment:

Maintenance Program- is a comprehensive list of maintenance and its incidents. This would
include all maintenance activities to be undertaken, manpower needed, maintenance methods
to be used, all the materials and supplies needed for the maintenance and cost involved in the
maintenance.
Maintenance Schedule- Is a list allocating specific maintenance of an area. Equipment and
tools to a specific period. The maintenance schedule is just a part of the maintenance program.
Quality management- is a method for ensuring that all the activities necessary to design,
develop and implement a product or service are effective with respect to the system and its
performance.
The following diagram is the Shewhart cycle (PDCA) for quality improvements. Made popular
by Dr. Deming.

The philosophy is to keep improving the quality of an organization. It is defined by the four key
steps:
 Plan: Design and revised business process components to improve results.
 Do: Implement the plan and measure its performance
 Check: Assess the measurements and report the results to decisions makers
 Act: Decides on changes needed to improve the process.
1. Create an equipment maintenance schedule.
In order to perform the maintenance of your computer efficiently, a maintenance schedule
is made to guide the personnel in the proper maintenance procedure. This will help them
remember the maintenance task that needs to be done in order to improve the
functionality of the computer system and networks.
2. Create a maintenance checklist.
To determine if the maintenance program is implemented according to what is planned, an
assessment must be done. The result of the assessment will then be recorded and recorded
to the proper authorities for the immediate action.
The assessment is through regular inspections which assure that the maintenance activities
are done on the date and time it was planned and that the performance levels adhered to
the defined standard.

Perform the computer maintenance task regularly.

Daily Backup

 Try to back up your data at least once per day – no one wants to lose
projects you spent hours, if not days working on.
 Run a malware scan to stay on top of virus prevention. If you have any real-
time prevention tools even then some viruses may slip by. Depending on
how frequently you use the computer you can get away with doing this once
a week; more frequent computer users should do this daily.
 Check for updates every day so you don't miss any crucial upgrades, nor
will you have to spend hours installing dozens at a time if you procrastinate
it.
 If you use your computer for many hours at a time during the day, then plan
to restart it at least once. This way, temporary files won't build up and slow
down use over time.
 Never shut down by using the power button – always use the option from
the start menu! Never leave your computer on overnight either to save
electricity and to prevent wear-and-tear.

Monthly Backup

 Use the defragmentation tool to keep your PC running fast and efficiently.
This tool puts files back together that are split apart to different folders in
your PC over time.
 Scan your hard drive for errors to make sure there are no physical problems
occurring. This doesn't check for viruses or malware, but more so physical
and logical problems.
 Clean out your disk drive every few weeks. Similar to
defragmentation, these are small pieces of trash that quietly
accumulate over time.
 Physically clean your computer by using compressed air to blow out dust
and small pieces of dirt. These small particles build up over time and can
lead to computers physically overheating and other mechanical problems.

Yearly Backup

Backup your hard drive as an image, so if your PC ever crashes you won't have
to reinstall from scratch. This should be done twice a year, just to be safe.

As Needed

 Uninstall programs that you don't use anymore to free up space.


 Practice safe browsing by not downloading files from or spending time on
sites you aren't familiar with or may be untrustworthy since this is how
people generally get malware.
 Change passwords frequently as a general preventative measure against
hackers.
PLAN MAINTENANCE PROCEDURES FOR COMPUTER SYSTEM AND
EQUIPMENT.

Design a systematic maintenance plan for hardware.

• Design a monitoring, evaluating and updating plan.


• Place your computer in a well-ventilated area.
• Schedule use of computer for its longer life.
• Move the computer only when it is turned off and unplugged.
• Treat your computer properly.
• Maintain your hard disk

Design a systematic maintenance plan for your software.


• Backup your files
• Install or secure passwords
• Delete temporary files
• Update anti-virus and spy ware

TYPES OF MAINTENANCE PROCEDURE

• Hardware maintenance is the testing and cleaning of equipment.


• Information system maintenance is the routine updating of master files, such
as adding and deleting employees and customers and changing credit limits
and product prices.
• Software or program maintenance is the updating of application programs
in order to meet changing information requirements, such as adding new
functions and changing data formats. It also includes fixing bugs and
adapting the software to new hardware devices.
• Disk or file maintenance is the periodic reorganizing of disk files that have
become fragmented due to continuous updating.
