USING REFLECTIONS in P6

for Updating the Master Schedule when Different Subcontractors are Involved

The “Reflection” feature can be used for updating the Master Schedule with information coming from
different subcontractors. For doing that in an effective manner the following steps are recommended to
be followed:

1. Assign the appropriate activity codes to all the activities pertaining to each sub-contractor separately.

2. Create as many reflections of the Source Programme as the subcontractors that participate in the
project are.

3. For each one of the “Reflections” make a copy excluding the “Relationships” and then delete the
initial “Reflection” files.

4. Open each one of the copied “Reflections” and delete all the activities which are NOT related to the
concerned Contractor.

5. Send to each Subcontractor two files.


5.1 The last update of the Master Schedule for keeping the Subcontractor up to date in regard to the
status of the project.
5.2 The “Reflection” P6 file related to the said Subcontractor.

6. The Subcontractor has to update, in the Master Schedule, the activities under his responsibility and
then by utilizing the ”Excel” feature, transfer the updated data across the “Reflection” file.

7. Then the Subcontractor has to send the updated “Reflection” file to the Main Contractor who imports
it to P6 by selecting the “Update Existing” option in order to update the “Reflection” file in the Data
Base. After the import process is completed the “Reflection” file can be merged into the source project
(Master Schedule). The

Note:
Before importing the updated “Reflection” file, the respective file in the Data Base has to be opened for
activating the “Update Existing Project” option. If it is not opened then it will not be updated when the
modified “Reflection” file is imported.
