1.PREFACE
In this proposal we are trying to provide our design in such a way
that it's easy for everyone to understand and can have an idea of how to
prepare a proposal for an event. In this proposal we have included the
detailed information of how an event management company should get an
event work done, what all are the needs to be done like the whole event

preparation, accommodation facilities, food, services and many more. This
whole proposal provides an idea of how an event should be managed
successfully.
The challenges we expect to encounter during due course of the
event will be discussed in detail in the proposal and detailed analysis of
each possible scenario has been done under extreme scrutiny from our
higher management.

We have taken a few liberties in processing the details of the


demands provided and will be duly notified in the proposal as we proceed.

It was a great experience to get the opportunity to provide a


proposal for such a big event and be a part of the bidding groups. We hope
we come to a positive conclusion at end of the meet.

General Description :- We are ideally located on three private fenced acres
at Khar in Mumbai.

Capacity:- Our hotel has 100 rooms. If every room were filled to capacity,
we could host more than 500 guests. In a typical season, we average 318
guests per night.

Accessibility :-Our hotel includes elevators and ramps make it possible for
all guests to avoid steps if desired. A lift device is available to assist guests
into and out of the swimming pool and hot tub. Assisted hearing devices
are available on request from the front desk.

Security
A professional security team is trained to look for weapons or items that
can be improvised as weapons.
We plan our security before event during pre-planning, we are conducting
a proper risk, vulnerability and threat analysis, remembering that each
event is unique and requires its own assessment.

Grounds and Transportation

for a wired connection. This can relate to internet
microphones, printers, speakers, headphones, and other
technology products.

Virtual trade show- A trade show that is hosted online. It


takes the same form as a traditional physical trade show and
allows attendees to communicate with exhibitors through web
chats.

Public Dealing:- Public relation is a practice of managing and


guiding perceptions of your business to attract new customers and
strengthen the loyalty of existing customers.

Communication:-Communication is the backbone of everything.
your marketing agenda and communication schedule will be influenced by
deadlines for selling tickets, signing speakers, and/or deciding event
programs.
Here are some general timeline rules to stick to when we plan our
communication strategy:

 By 12 weeks(at least) before the event you’ll want to announce


the event.

 On the work of the event, communicate any and all vital


information and share directly with attendees.

4. OUR TEAM
UMESH SURYAVANSHI(Event Manager)
Mr Umesh Suryavanshi is one of our most talented event manager ,the
crucial role has been handed to him. He is a graduate from KJML
University with BA in Event Management and Public Relations and has
been in this field for the past 12 years.

Manager will be directly responsible for your event’s success. She’ll
work with you and your team through the creative process, coordinate and
plan the event with our specialized internal and external teams, and
provide on-site management and support the day of your event.
He will be present during the three-day event along with the rest of
the leaders and manage the whole process.

SADHANA SURVE(Medical)
Dr. Sadhana Surve is the Head of the Medical and Safety
Committee. She has experience in handling large medical
association meetings with international and domestic participation.
We bring together specialized knowledge on handling medical
association meetings with latest technology and effective
communication to ensure excellence.

ROHAN VETALE (Food And Services)


The catering department will be handled by Mr ROHAN
VETALE. for the event. He has been associated with us for the
past 10 years. Her team will be.
Food safety is one of the most critical considerations in event
planning. No longer an issue simply designated for manufacturers,
event food safety also encompasses meeting planners, caterers,
food-and-beverage transportation entities, service providers, venue
staff and restaurants.
Menu will be determined according to customer requirement by
consulting with your team. He will ensure that participants get
sufficient and best quality food and refreshments in accordance to
Food and Health Industry Regulations. The caterers will also take
care of hygiene, seating arrangement and troubleshoot any problem
regarding food and beverages. 

KALPESH WAGH (Accomodation)

The lodging and boarding committee head will be responsible for the
accommodation of participants. Department Supervisor KALPESH
WAGH will present to you the layout of the city and accommodation
venue and also guide you about the policies and norms regarding
accommodation and travel. She will update you with information
regarding pick-up points, destination arrival and also safety of guests
during transportation.

MAYUR VEKHANDE (Pricing And Finance)


The process of budgeting also enables the Event Director to
calculate how much revenue is needed to stage the event in
accordance with the planned level of expenditure. Our Head of
Finance Department is Mr. MAYUR VEKHANDE. He will also be
there along with event management staff during the planning of the
event. You can approach him for all the Finance related matters.
The finance department will try to provide you the best facility at
reasonable cost. They will also be keeping an eye on the budget of
each department involved in the event. 

AMAN SINGHAVI (Security)


The Head of our Security Department is Mr.AMAN SINGHAVI.
He will give you assurance regarding security and makes
everything perfect
They will handle the crowd, prevent intruders and gate-crashers
and also, undesirable media access. The guards in this agency are
trained to handle unexpected emergency situations. Also, CCTV
will be installed at the venue. 

SURAJ YADAV (Creator)


The creative team director Mr. SURAJ YADAV will manage all
the activities taking place in the event. He will organise the
opening and closing ceremony. This multitasking prowess is

required for both smooth planning and the flawless execution of
an event. The best planners have fool-proof systems, like an
extensive event proposal, step-by-step checklists, and handy tech
tools.
The necessary planning for all the activities like seating
arrangement, stage set-up and locations of all the mini-events

Considering facilities management (FM) at the early design stage could
potentially reduce the efforts for maintenance during the operational
phase of facilities. Few efforts in construction industry have involved
facility managers into the design phase. It was suggested that early
adoption of facilities management will contribute to reducing the needs
for major repairs and alternations that will otherwise occur at the
operational phase. There should be an integrated data source providing

Information Modelling (BIM) would fill the gap by acting as a visual model

framework of how FM can be considered in design stage through BIM.
Based on the framework, the paper explores how BIM will beneficially
support FM in the design phase, such as space planning and energy
analysis. A case study of using BIM to design facility managers’ travelling
path in the maintenance process is presented. The results show that early
adoption of FM in design stage with BIM can significantly reduce life cycle
costs.

7. TEAR DOWN
After the completion of Google India company's event, Google
cloud  and AI seminar and after the words of thanks from the seminar's
speaker; we will proceed to next important task that is tear down of an
event.

The list of activities that were carried through this task are as follows :

1) MEMORY RECAP
This activity will be first in tear down. Here everyone in the
event will saw videography that has been recorded by our
managing team. This team ensure to capture an every funny,
inspiring etc. moments that had happened in the event.
By collecting such small small short time but precious
moments, the final videography would be created under the
supervision of high skilled professional video-audio editor. These
visuals or video will be displayed on main screen.
Our aim behind memory recap is explore such gorgeous
moments of event in short.

2) REWARD CEROMONEY

 In this activity, we will provide exclusive prizes for best active
individual of seminar. We would provide awards for first three most
active learners. This selection process is carried out by
professionals.

Pricing and Payment Terms


The total cost of event management services provided by

9. LETTER OF AGREEMENT

PARTIES
- This event agreement (hereinafter referred to as the “Contract”) is
entered into on Effective Date, by and between 10/10/2021 to
12/10/2021, with an address of GOOGLE COMPANY (USA) (hereinafter
referred to as the “Client”) and with an address of PLANTASTIC EVENT
MANAGEMENT (INDIA) (hereinafter referred to as the “Planner”)
(collectively referred to as the “Parties”).

EVENT BACKGROUND
- The event will take place on 10/10/2021, on which date(s) the Client
plans to hold the event described below:
We are going to organize an event for GOOGLE in MUMBAI, in which
according to google, around 3000 participants and 300 delegates from
foreign are going to attend this event so we will be prepared for it.
The event is going to be for 3 days in this course of time the major events
are seminar, workshops etc.

PLANNER DUTIES
The Client hereby engages the Planner to perform the following duties relevant
to the event:

1. Proper planning and preparation of the whole event (3 days).

2. All arrangements for accommodation of the participants will be there


and will be well checked.

3. All requirements of food and eatable items will be there according to


the menu set for all the 3 days.

4. The travelling responsibilities will be of our management team.

- The Planner is required to obtain written consent from the Client prior to
entering into any contractual agreements or issuing deposits or invoices.

PAYMENTS
- The Client hereby agrees to pay the Planner an amount of $5700.00 for the
services performed.

- The Planner will provide an invoice at the time of the payment.

CANCELLATION POLICY
- The Client is entitled to cancel this Contract at any given time.

- The Client is entitled to a full refund in the event that he/she cancels 10
days before the beginning of the event.

- In the event that the Client cancels less than 10 days before the beginning
of the event, he/she will not be entitled to a refund.

- The Planner is entitled to cancel this Contract at any given time.

- In the event of cancellation by the Planner, he/she is required to provide a


replacement planner that the Client agrees to. In this case, the Planner will
be required to refund any money previously provided by the Client as a
budget for the event or other.

DISPUTE RESOLUTION ALTERNATIVES


- Any dispute or difference whatsoever arising out of, or in connection with,
this Contract shall be submitted to arbitration/mediation/negotiation (circle
one) in accordance with, and subject to the laws of INDIAN CONSTITUTION.

LEGAL FEES
- In the event of a dispute that results in legal action, the successful party will
be entitled to the legal fees, such as attorney’s fees or other.

SEVERABILITY
- In the event that any provision of this Contract is found to be void and
unenforceable by a court of competent jurisdiction, then the remaining
provisions will remain in force in accordance with the Parties’ intention.

ENTIRE AGREEMENT

- This Contract contains the entire agreement and understanding among the
Parties to it with respect to its subject matter, and supersedes all prior
agreements, understandings, inducements and conditions, express or
implied, oral or written, of any nature whatsoever with respect to its
subject matter. The express terms of the Contract control and supersede
any course of performance and/or usage of the trade inconsistent with any
of its terms.

GOVERNING LAW
- This Contract shall be governed by and construed in accordance with the
laws of INDIAN CONSTITUTION.

event management. This life cycle of activities to detect events, make
