Please find below your next steps and your legal responsibilities in order to proceed with
your tenancy. It is important that you read this in full and fulfil all of your responsibilities.
If you fail to do so we will be unable to continue this process and you will be at risk of
losing your tenancy.

BANK DETAILS AND RENT


After the initial upfront payment your rent will be due on the 24nd January 2022 by direct
debit. Please provide us with the details of your bank account (name of bank, sort code,
account number and account name) so we can set this up for you.

PERSONAL INFORMATION REQUIRED
In order for us to progress your tenancy application, please confirm the details below as
soon as possible:
 Full names (as appear on your passport)

 Current residential address
 Forwarding address (an address where you can be contacted after the tenancy ends)
 Proof of current address (i.e. utility bill, bank statement or council tax bill, dated
within the last 3 months)

REFERENCING INFORMATION REQUIRED:


Many tenancies are delayed due to incomplete reference forms – so please help us to help
you.

At KFH we use HomeLet for referencing all proposed tenants and guarantors on behalf of
our landlords and also for verifying the 'Right to Rent' of all tenants and adult occupants.
We will send you a link to the HomeLet online reference application form and you will need
to complete this urgently, so that your references aren’t delayed.

If a guarantor is required, he/she will also need to provide original photographic


identification (passport or photo driving licence) and proof of residence (as above). If this
cannot be done in person at one of our branches, then we can accept a copy of the original
document, verified by a professional person and bearing the verifier’s original signature
(i.e. not a photocopy of the signature). The copy for identification should state “I confirm
that this is a true likeness of ABC”; the copy for proof of residence should state “I confirm
that this is a true copy of the original”. The verifier must add their name, address, date
and profession. Documents can also be verified by certain post offices for a small charge).

RIGHT TO RENT INFORMATION REQUIRED:


Under the Immigration Act 2014 we are required to check that all people aged 18 or over
who will be living in the property have the right to rent in the UK. You will need to provide
evidence of your right to rent before the proposed tenancy start date, usually through one
of the following;

Manual document: You'll need to provide an original document for each adult that will be
living in the property, showing their continued right to rent in the UK. We will need to be
able to check the document in the presence of the holder. Acceptable documents will vary
depending on your immigration status, see more information: here.
or;
Home Office online check (subject to eligibility): If you have settled or pre settled status
in the UK, hold a biometric residence card or permit, or have applied for a visa and used
the 'UK Immigration: ID Check', we can check your right to rent status via the Home Office
online portal. You'll need to provide copy of your photo ID and Home Office share code,
which you can obtain here. If you are unable to provide us with a share code, then we will
need to carry out the manual checks mentioned above.

If you do not think you have the correct documents to show your right to rent, please
notify us immediately.

If any adult living in the property has time limited right to rent which expires during the
proposed tenancy, you will be required to provide evidence of your continued right to rent
when requested.

TENANCY AGREEMENT AND INITIAL PAYMENT


We will send you a tenancy agreement to read through and sign shortly as well as a
statement of account showing the monies due by cleared funds before the tenancy starts.
You will need to pay this by bank transfer, or by credit or debit card.

As letting agents, we are required to belong to a Government-authorised Client Money


Protection (CMP) Scheme. You can see details of this on our website -
https://www.kfh.co.uk/.

In order to speed up the signing process we use a digital signature service called Signature
Sense. This allows you to review and sign your tenancy documents safely and securely
online, we will email you a secure link to your documents.

We will execute (date) the tenancy agreements as soon as we receive both signed copies of
the agreement and before the start date of the tenancy, so long as all other necessary
documents are in place and we have received your full initial payment. If you do not wish
us to execute the tenancy agreement at this stage, then please let us know now and
we will not do so until we receive your further instructions. Please note that once the
agreements are executed you will have entered into a binding contract with the
landlord.

DATA PROTECTION NOTICE


Pursuant to Regulation (EU) 2016/679, the Data Protection Act 2018 and the Privacy and
Electronic Communications (EC Directive) Regulations 2003, it is agreed that we will take
copies of your original documents and record the information that you have provided to us
including bank details and referencing information.

This information is your personal data and will be sent to selected third parties for
verification purposes. The information will be processed by us so that we can fulfil our
regulatory and contractual obligations but no information will be sent or processed outside
the European Economic Area.
