Communication

Communication is a process of transmitting information and generating common understanding

from one person to another (Foluke, 2018).

Communication process involves the sender, the medium of transmission, the receiver as well as

the feedback to be effective (Foluke, 2018).

Types of communication

According to Foluke (2018), there are several different ways we share information, which may

be classified as types or categories of communication, and these include;

Verbal: This is the use of speech or sign language to transfer information. It is the most method

because of its ease of use and most importantly efficiency is getting message across.

Nonverbal: This is the use of body language and other gestures to express ones feelings. It may

occur intentionally or unintentionally. It is most useful in trying to understand other peoples’

thoughts and feelings but requires critical analysis to decode meaning.

Written: Written communication is when information is placed on paper through writing, typing

or printing using letters and numbers. This is helpful as it provides reference records.

Visual: This is the use of photographs, art, drawings, sketches, charts and graphs to convey

information. These usually assist other types of communication by providing a pictorial context.

In the case of the processing plant under analysis, the communication has the following issues;

 Non inclusion of all the relevant persons in the communication.

 Managers holding unto the information and not involving the lower employees

 The assumption by the floor manager that floor staff would work without receiving all the

program details.

These according to Lunenburg, (2010) are barriers to effective communication.


A number of communication channels were also by passed which include;

 Employees who are supposed to implement most of the activities especially floor staff

that interact with customers regularly

 Maintenance staffs were not included in the communication channel.

 Inclusion of employees in the planning phase was missed, so their feedback was not

captured.

The communication process that is well followed provides adequate information for activities

(Lunenburg, 2010).

If I were to implement such an innovation plan, I would do the following;

 First I would involve all employees to give their input on how to improve the

performance rating, so that we could move from 93% to 98%.

 We would then sit as management to debate employee input and debate the best way

forward to run the improvement plan.

 After agreeing, i would get this feedback to all employees and departments on what the

supervisors have agreed as the best way to improve performance. I would hereby ask for

their support to get this implemented with as much ease as possible.

 I would then provide details of the implementation program to all employees

 The whole team would thereafter be involved in voting the quarterly winners of the

program, and the plant would incentivise the winning section.

For effective program implementation;

 Open communication should exist within the plant. Employees should be able to

feedback to their supervisors on the current performance of the program.


 The different departments should be in touch communicating regularly on the progress in

their departments.

 Address employee performance issues through performance management programs so

that all staff put in enough work time to the organization

Alhadlaq (2016) also states that, in order to make the communication processes productive and

meaningful, it is essential for the sender and the receiver to put into operation the relevant

communication media in a well-organized manner.
