LESSON 12: Modifying, Sorting and Hiding Fields within Queries
I. INTRODUCTION
Microsoft Access offers variety of options. Access 2010 offers various options that help you
go further with your queries. It helps you design and run queries that return exactly the information
that you are searching for.
In this lesson, modifying, sorting, and hiding fields within queries are explained.
II. OBJECTIVES
a. Explore the art of questioning;
b. Determine ways to modify and sort queries; and
c. Identify how to hide and unhide fields within queries.
III. DISCUSSION
● MODIFYING QUERIES
1. On the Home tab of the Ribbon, click the View command.
2. Select Design View from the drop-down menu that appears.
3. At the bottom-right corner of your Access window, locate the small view icons.
4. Click the Design View icon, which is the icon farthest o the right.
5. Once in Design View, make the desired changes, then select the Run command to view
your updated results.
● SORTING QUERIES
1. Open the query, and switch to Design View.
2. Locate the field you would like to sort first. In the Sort: row, click the drop-down arrow to
select either ascending or descending sort.
3. Repeat the process in the other fields to add additional sorts.
4. To apply the sort, click the Run command.
5. The desired sort will appear in the query results.
● HIDING FIELDS WITHIN QUERIES
1. Open the query, and switch to Design View.
2. Locate the field you would like to hide.
3. Click the check box in the Show: row to uncheck it.
4. To see the updated query, select the Run command. The field will be hidden.
