MINUTES OF THE SEVENTH ANNUAL GENERAL MEETING (“7TH AGM”) OF ABC

UNIVERSITY STUDENT COUNCIL HELD ON MONDAY, 21 JANUARY 2021 AT 8.00 A.M AT

EXAMINATION HALL, ABC UNIVERSITY, JALAN BUKIT BULAN 1, 60000 KUALA LUMPUR

Present : 150 members of Organizations

The 7th AGM of Student Council ABC University was called to order with the recitation
of doa’ by Ahmad, Senator of Faculty Shariah Law . Ali , the President of student
council, took the chair.

Quorum

The President greeted and welcomed everyone to the meeting. The president called
the meeting to order after the Secretary confirmed the existence of the required
quorum. The president briefly talked about the running order of the meeting, and
talked about the social later on.

Notice of Meeting

The Presidents informed that the notice of the 7th AGM was sent out to all members
on 10 January 2021 via SMS notifications. The notice was also advertised in the
University Websites and University E – Magazines on the same day. The Chairman
proposed that the Notice of the 7th AGM be taken as read.

Mr. Hammad seconded the motion.

The president also explained all resolutions set out in the Notice of AGM would be
put to vote by poll.
AGENDA 1: To Receive The Year End Accounts

The President presented the key points from the End of Year accounts. He noted the
End of Year accounts have been audited as true and had been approved by the
Board Of Trustees. The Student’s Union is financially sound. Net current assets are up.
The presidents asked AGM Atttendees to receive them.

Moved to vote.

Passed.

AGENDA 2 : To support the proposal of reducal in utilities fees for student

Student’s welfare Exco had proposed a proposal for reducing student utilities fees and
need to be supported by 2/3 Quorum of meeting present today. Zaidi, presented the
proposal paper to the meeting attendees.

Proposed by : Zaidi, Student’s Welfare Exco

Seconded by : Aidil, Assistant Secretary

The Chairman informed the members that the resolution would be by way of poll at
the end of the meeting.

AGENDA 3 : To support the re-electment of Mr Haris and Mrs Hafizah as the Student
Council Advisor

President proposed to re-elect Mr Haris and Mrs Hafizah as the Student Council Advisor
for the next term.

Proposed by : Ali, President

Seconded by : Mohd Zaki, Vice President.

The Chairman informed the members that the resolution would be by way of poll at
the end of the meeting.
RESULTS OF THE POLL OF THE 7th ANNUAL GENERAL MEETING

Upon completion of the vote count,

Ordinary Resolution 1:

The president announced the votes on the Resolution to support proposal of utilities
fees reductions :

FOR 100.00 % votes

AGAINST 0.00 % votes

It was declared that Ordinary Resolution No. 1 was carried.

Ordinary Resolution 2 :

The president announced the votes on the Resolution to support re-electment of

Student Council advisor :

FOR 100.00 % votes

AGAINST 0.00 % votes

It was declared that Ordinary Resolution No. 2 was carried.

CONCLUSION

There being no other matters to be transacted, the President thanked everyone for
attending the 7th Annual General Meeting of the ABC University Student Council and
declared the meeting closed at 11.45 a.m.
