Executive summery

The internship report has been prepared for the requirement of the BBA499 course and based on
the three months work from home internship program experience. This experience of past 90
days helps me to understand a bit about corporate world. I have discussed all the working
experience of mine and the over view of the Akij Capital Management Limited. After that I have
done my responsibilities that are mentioned in the report that are collected and experienced
through internet communication with my supervisors. Further, I have discussed the recruitment
and selection process, compensation and incentives and lastly the training and development of
the ACML. I have added a recommendation from my perspective of view and taking personal
opinion of some employees. As I have worked from home it was so tough understand the real
scenario of the office. I hope that my report would give some insight to all the responsibilities
carried out during my internship. With limited access to data due to confidentiality, I have tried
to do my best to give as much as information to understand the real scenario of the ACML.

Chapter01

Introduction

Akij Capital Management Limited

Akij is not only a name; it’s a brand of trust and reliability for providing uncountable market
leading products and service worldwide. Akij Capital Management Limited is a sister concern of
Akij Group (One of the best group of companies in Bangladesh) having Dhaka Stock Exchange
TREC Licence number 231. ACML started operation in 2008 and till date providing competitive
service to our thousands of honourable clients. The name of the Akij ACML was Akij Securities
Limited. The name was changed to Akij Capital Management Limited in 2019. ACML has only
the capital business at the beginning after that they expand the service line gradually.

There are now three (03) Branches at prime location like-


➢ Tejgaon
➢ Mohammadpur
➢ Rajshahi with head office at the Motijheel.

There are four departments in the ACML. Here they are:

➢ Administration & Human Recourse Department: This department is collaboration of


the Human Resource and Administration. There are 04 employees in this department.
Two of the employees are work in the administration.

➢ Finance Department: Finance department is bit bigger than HRD and
Administration.06 people are working in the finance department. 03 of them are working
in the accounting department and other 03 are working in the finance department.
➢ Trade and Development: This is the largest department in the ACML. This department
is actually marketing and sales department. The number of the employees in this
department 12. Six of the employee is working the sales and 06 of them are working in
marketing.
➢ Information Technology Department: This is the smallest department of the ACML.
Only 01 employee is working in this department.

There is also a top management section in the Akij Capital Management Limited. Here is a short
brief about it

Top Management: There are 05 steps of top management in the Akij Capital Management.
Chairman is in the top position. Three of them are the directors that are Managing Director,
Director and Executive Director .Two of them are directly working in the organisation as a chief
Financial officer and chief Operation Officer

Services of Akij Capital Management Limited


ACML has diverse service line in different sector. But they are mainly focusing on stoke
exchange business. Apart from this service, they have already started 05 different services.
• Akij Capital Management Limited: Akij Capital Management Limited is a
sister concern of Akij Group having Dhaka Stock Exchange TREC Licence
number 231. This is a stoke/securities buy and sell related service. This service is
the main focus of the ACML. They found the business in 2004 and started the
operations in 2008.

• Akij Automatics: Automobile related all the services are available in the Akij
Automatics. Selling electronic motorcycles and motor vehicles salutation are the
main focus of the Akij Automatics. Currently they are running their operation
only in Dhaka.

• Akij CNG: This is the CNG filling station service of ACPL. CNG services for all
types motor vehicles are available in the Akij CNG. Operations are currently
running in the Dhaka, Manikgonj, Maymensing and Tangile.

• Akij Expedition: This is a tour and travel related services provided by ACML.
E- Ticketing, room booking in the hotels and guide services in the Bangladesh
and five other countries (India, Malaysia, Singapore, Thailand, Saudi Arabia)
around the world. The operation of the Akij Expedition is temporary unavailable
for the COVID-19 pandemic situation.

• Akij Wild Park and Resort: This is the second largest Crocodile farm in South
Asia. This is also a tourist attraction. Crocodiles are being reproduced and
prepared for export by ACML. This farm is situated in Naikkonchori, Bandorban.

• Abrar Farm Resort: Abrar Resort is one of the recreational services of the
ACML. This resort is situated in the Keranigonj, Dhaka. People can spend their
quality time by watching so many beautiful birds, Deer etc. The operation and of
Abrar Farm Resort is currently stopped for the pandemic situation.

Philanthropic Activates of ACML


Akij group has a well reputation for their philanthropic activities. As a sister concern company of
Akij group, Akij Capital Management Limited is not doing philanthropic activities in a larger
scale. But they are doing this activity in two sectors:
• Education: They are carrying educational expenses of 06 stakeholders in a year who are
unable to effort their educational expenses.
• Treatment: ACML also helping a certain amount of stakeholders by providing financial
support for the treatment in yearly bases that are unable to treat themselves for financial
problem.

Job responsibility as an intern in Akij Capital Management Limited


The human resource department of ACML has a lot of duties and responsibilities. But during
lockdown the office was running through an emergency team and all the functions of HR
department could not perform properly. As I was working from home for the pandemic, I did not
have many responsibilities to do as an intern under HR department in ACML. But I had some
fixed responsibilities to do.
➢ Leave Maintenance: One of the regular activities as an intern is to maintain and count
the leaves that are taken by the employees of the ACML. All the employees of the all
departments have to inform their line managers for the earn leave; sick leave, maternity
leave, paternity leave and the line manager have to inform me. But in any emergencies or
in casual leave the employee can directly inform HR manager or me for the leave. Then I
have to fill the leave request form and submit to the HR manager for approval. But before
fill the form of leave I have to check the days available for the employee. If any
employee apply for long leave, it is mandatory to check the contact paper for ensuring the
date and the leave facilities that are mentioned.

➢ Overtime Counting: There is rare scenario of over timing in the securities sector. But in
the other sector for example in the Abrar resort over time is a common case. But work
during pandemic and during pandemic the resort was temporarily closed. So it is not a
daily responsibility of mine as an intern. But there are some rules and following fir the
over time. If any employee have do overtime, his line manger have to inform me for
counting the hours and the compensation for the over time is the double of basic
(basic/hrs*2). The employee will get the compensation in end of the month with the
salary. When the line manager inform about the over timing of any employee I have to
maintain a list of the hours and total them in the 17th working day. His line has to fill a
form application with the details of the employee and sent me for cross checking. I have
to approve the form application from HR manger. Then the approved application should
be in the hand of finance department before 19th working day. After that they adjust the
hours with the basic.

➢ Payroll Distributions: Payroll disbursement is one of the sensitive responsibilities of
mine as an intern in ACML. I have to adjust all the non paid leave and the days of paid
leave also the overtime and make a sheet with the help of junior executive. After that HR
manager approve the file by crossing with the departments line managers. Finally, the file
is sent to the finance department for distribution.

Functions of the Human Resource department of the Akij Capital management Limited:
ACML does not have separate Human Recourse Department. But this depart is collaborate with
Administration. So the name of the full department is “Administration and Human recourse
Department”. The number of the employee is 04 excluding the intern (me). But they are playing
an important rule in the organization. They have a lot of functions to do. They are explained
below:

➢ Recruiting & Selecting: Recruiting is one of the major functions of HR Department of


ACML. For recruitment all departments take help after informing the HR department for
the vacant positions or for the new employees for that specific department. The
departments that need employee they have to send a letter mentioning the number of the
employee, the position and the requirements they need. Then the HR manager informs
the finance department for the budget. They take a time for approve a budget and when

the budget gets approved the HR manger informs the department that need employee.
That who the recruitment process starts and works.
• Payroll Structure: HR department also have important rule to play during creating
payroll structure in ACML. After getting the notice application form the department
regarding the employee recruitment the HR department check the budget available for the
new employee from finance department and create a structure jointly with the finance
department.

• Payroll Distribution: For payroll distribution HR department is most important


department between finance and HR department In ACML. HR department have to make
the sheet of payroll after adjusting all the leaves and overtime hours. Then they send it to
finance department for distribution.

• Leave Maintenance: The leave maintenance is one of the most important functions of
the HR department of ACML. For taking leave, any employee of any department has to
take approval by filling application form except in emergencies from the HR department.
HR department have to approve the leave by checking the days available for that
employee.

• Salary Loan: Salary loan is one of the incentives that are provided to the employees of
the ACML. Employees have to give an application to the Head of Hr for the Salary loan.
HR department cooperate with the line manger of that employee and the finance
department for checking the eligibility of the employee and after getting the entire
conformation HR department approve the loan. By this scenario we can say, HR
department is mostly responsible for the salary load.

Recruitment and the Selection process of Akij Capital Management Limited:

Recruitment refers to the process where potential applicants are searched for, and then
encouraged to apply for an actual or anticipated vacancy. Selection is the process of hiring
employees among the shortlisted candidates and providing them a job in the organization. The
Recruitment and selection process of the ACML is given bellow:

➢ Circular: When any department send a notice to the HR department for the new
employee for the vacant position with the requirements they need, HR department ask for
the budget from the Finance department and make a job description and announce a
circular in the BD Jobs and in the Website of the Akij Capital Management Limited with
the Job Description and other information for the position. Applicants can apply in online
by submitting their CV.

➢ Short Listing: Short listing starts with the collections of the CVs of the applicants. CVs
are filtered by the combination of HR department and the department that needs
employee. The CVs are filtered according to the requirements that need for the position.
Short Listing ends with the selections of the CVs that are matching mostly with the
requirements. Selected applicants are invited by the HR departments for the first viva.

➢ Interview (First Viva): Employees are interviewed through viva by the interview board.
Interview (First Viva) questions are focused on the responsibilities that are required to do
in that positions and the mindset of the applicants. Basically abilities are examined for the
job position. Applicants are more filtered in this stage and higher mark holders are
selected for the final viva. They use a sheet during viva for marking.

➢ Final Viva: A small amount of applicants are invited for this final step of the recruitment
and selection process. This interview is more focused on the general knowledge and the
IQ level. The interview board select the appropriate candidate for the position. The board
also inform the pay structure to the selected candidate for that position and the incentives
also.

➢ Joining: After selecting the candidate HR department issue the appointment latter
through email. The joining date and other necessary things that need for joining are
mentioned in the letter. The candidate should join the office on the date that is mentioned
in the appointment latter.

Training and Development of ACML for the employees:
Training is teaching, or developing of an individual, any knowledge and skills or fitness that
relate to specific useful competencies. Training has specific goals of improving one's capability,
capacity, productivity and performance. So to develop the skills and knowledge ACML provides
some training of their employees.
The training and development for the employees of ACML is divided into two sections:
➢ On the Job training: Training that takes place within the employee's
normal job environment and may occur as the employee performs their actual work.
There are three types of On the Job training in ACML.

✓ Briefing: This types training is given after joining and before starting the
responsibilities that the employee have to do in that position. Briefing is training
where an employee understands what to do and the efficient way to do his job.
The duration of the training is short. The line manager of that employee gives the
brief.

✓ Job Rotation: Job rotation is one of the most common training in Akij Capital
Management Limited. The objective of this training is to expose the employees to
different experiences and wider variety of skills to enhance job satisfaction and to
cross-train them. ACML has variety of service line. If any employee from any
department takes leave, company can make up the shortage of that position in any
emergency by job rotation. ACML provides this training every year to a certain
amount of the employees.

✓ Job Instructional Technique (JIT): Job Instructional Technique is a Step by


step on the job training method in which a suitable trainer and prepares a trainee
with an overview of the job, its purpose, and the results desired. JIT demonstrates
the task or the skill to the trainee and allows the trainee to show the demonstration
on his or her own; the trainer also provides feedback and help. ACML apply this
training to improve the efficiency of the employees and the make them more
skilled and updated to cope up with the dynamic environment. The HR
department consult with the department for the employees that should be given
the training and list down the name of the employees.

➢ Off the job training: Off-the-job training occurs when employees are taken away from
their place of work to be trained. Employees can also experience the off the training in
the ACML.

✓ Lectures and Conferences: Lectures and conferences are the traditional and direct
method of instruction. Every training programme starts with lecture anconference.
It’s a verbal presentation for a large audience. Employees can attend in different
types of seminars that can be considered as off the job training arranged by the
ACML and Akij group for improving the Knowledge.

Training Evaluation and Feedback: This is occurred after training for


evaluating. Here is a sample of a training evaluation form.

Compensation and Incentives
Compensation is the total cash and non-cash payments that you give to an employee in exchange
for the work they do for your business. Compensation is more than an employee's regular paid
wages. It also includes many other types of wages and benefits. ACML calculates the
compensation in yearly basis but they give the compensation in monthly basis.
The different types of compensation in ACML:
➢ Salary: ACML have different types of salary structures for the different positions. Salary
is given to the employees in monthly basis though salary is calculated in yearly basis.
This monitory compensation is mentioned in the job announcement and candidates for
the managerial positions can negotiate with the board for this monitory compensation.

➢ Sales Commission: Sales commission is only applicable in the stoke exchange related
service of Akij Capital Management Limited. Employees can have a small amount of
commission if they can sale securities to any client. They get the commission in total at
the end if the month with the salary.

➢ Bonuses: Bonus is given to the employees twice in year. As most of the population in our
country is Muslim, ACML give the bonus in the religious occasions that are Eid- Ul-Fitir
and Eid - Ul- Adha. Employees get double of their basic salary as bonus.

➢ A cost-of-living adjustment (COLA): There is a incentive that is changed with the


changing of inflations rate. This is variable incentive because this incentive has a high
percentage of changing as the economy of a country is not stable. COLA is given
according to the cost living of an employee in the place he or she is living. As ACML is
operating business in different place of Bangladesh employees are not getting same
amount of COLA because the living expense of Dhaka and Manikgonj is not same.

➢ Medical: ACML gives money as medical expense yearly basis and also employees get
discount in the Ad-din Hospital.

➢ Benefits: Employees are getting some benefits. Leaves are the most common benefits in
ACML. But the employees are not allowed to have stationary payment during leave.
There are different types of leaves in ACML:

1. Sick Leave: Employees of ACML get 12 days for sickness.


2. Casual Leave: 14 days are being allocated as casual leave.
3. Maternal Leave: Female employees are allowed to have 04 months
paid leave as maternal leave and extra 02 months non-paid excluding
that 04 months.
4. Paternal Leave: Male employees get 15 days as paternal leave.

➢ Non-monetary compensation: ACML arranges different types of programme in a year.
Different types of awards and certificates are given to the employees for the performance
as non monitory compensation.

Recommendations in the process of recruitment and selection:

ACML has their own way to do the process and they are doing that efficiently. But still there are
some errors. The errors can be solved by taking some actions:
➢ Adding writing test in recruiting process: They should arrange a writing test for noon
managerial positions. The writing test will help them to filter the employees more
efficiently and that will help them get the best candidate for the ACML.

➢ Evaluation of the employees after training: The main purpose of training is to improve
the efficiency level of the employees. But without evaluating the employees after training
organization will not understand the improvement. So ACML should have evaluation
system.

➢ Provident fund for the employees: After taking opinion of some employees of ACML, I
understand organization should provide the provident facilities for the employees. This
facility will increase the job satisfaction and loyalty for the organization.

➢ Using social media as a marketing platform: ACML has its own website, Facebook
and linkedin profile. But they are not much active in the social media. Now a day’s
people in Bangladesh are more active in the social media. So this so easy to get the
attention in social media. ACML should take the opportunity by using the social media as
a marketing platform.

Chapter 04

Conclusion

After working in Akij Capital Management Limited I learn so many practical things that
that I read theoretically in the text book. I tried to give the information that I
experienced and got through my supervisor of ACML. The company always ensured
sufficient training program throughout the year as investment not as expense. But need
to more concern about smooth HR operations through HRIS.
