POLICIES AND GUIDELINES

A. IDENTIFICATION AND INVENTORY

The properties of UCCP Tayug includes the following:

Kind/Type Description
Church Lot and Building  The church lot has a dimension of 100 sq.m. that
includes the church building and the parsonage
 The church building covers 100 sq.m.
Church Parsonage  The parsonage is the official residence of the pastor of
UCCP Tayug. It is a two-storey structure attached to
the church building with a total floor area of 100 sq.m.
 The parsonage also serves as storage facility of some
important properties of the church or as requested by
a church member.
Service Vehicle  It is a Mitsubishi L300 utility van
Sound System and  The sound system and instruments include the
Instruments loudspeakers, guitars, drum set, electric organ, mixer,
computer set, microphones and mic stand/s
Fixtures and Small Assets  Fixtures and small assets include the filing cabinets,
chairs, pews, (white) board, among others
Supplies and Utilities  Supplies include office and household consumables
(papers, writing materials, workshop materials,
cleaning materials, etc) while utilities pertain to
electricity and water
Records and Documents  This includes bibles, legal documents, financial
reports, song books/sheets, educational materials, list
of members, church activity documents (baptismal,
wedding, death certificates, among others)

B. USAGE AND STORAGE


1. All properties/assets of the church can be utilized by any member provided
they have the working knowledge or familiar how to use it.
2. Items should be returned to its original place/location every after use.
3. Should there is a need to borrow or rent a particular property/asset, they need
to accomplish a Borrowers’ Slip to be signed by any member of the BOT or
the Resident Pastor whoever is available. Please refer to attached Borrowers’
Slip form.

 The use of the church lot and building is open to all members.

 The use of the parsonage shall be the responsibility of the Resident Pastor.
However, repair and maintenance shall be covered by this policies and
guidelines.
6. For the service vehicle:
 Remind the driver or person responsible in checking the essentials (fuel, oil,
water, tires, cargo space, among others) prior to driving-out the van from
the church.
 Always park the vehicle inside church premises every after use.
7. For the sound system and instruments
 There will be selected instruments or some parts of the sound system that
will be restricted for public use.
 Point in case, there will be designated persons who will operate the mixer
including the desktop computers.
 Should there be a need to use the instruments and the sound system
outside regular activities of the church, it should be asked permission from
any member of the BOT or the Resident Pastor.
 All instruments particularly the guitars and electric organ needs to be placed
in its housing or storage facility every after use.
8. For the fixtures and small assets:
 The cabinets, shelves, benches/pews, (white) boards, and other fixtures
shall be used solely for the church or church-related activities. They are not
to be moved or taken out of the church premises unless for valid reasons.
9. For the utilities:
 Use of electricity and water is open to all church members and visitors.
However, it will be encouraged that each person observes proper use of the
electricity and water being part of environmental responsibility.
 Turn off lights, fans, sounds system, and other electric-dependent
instruments when not in use.
 Conserve use of water.
10. For the church records and documents
 All pertinent papers and documents need to be secured in the cabinets or
shelves inside the church.
 No records or documents shall be taken out of the cabinets or church
premises without appropriate permission from the BOT or the Resident
Pastor.
 Selected individuals will be designated responsible and accountable to
these records and documents.

C. BORROWING OR RENTAL
1. Selected instruments, sound system, and other small assets could be allowed
for borrowing or rental.
2. It is the responsibility and accountability of the borrower to keep safe the
instrument or any borrowed item. If the instrument or item was broken or
damaged, it should be replaced by the borrower. It should be reported
immediately to the BOT or Resident Pastor for appropriate action.

D. PROCUREMENT AND PURCHASES


1. Procurement or purchase of brand new or replacement property/asset will be
allowed upon recommendation of the BOT after discussion and approval of the
Church Council.
2. Any BOT member can facilitate the procurement/purchase unless delegated to
other members of the Church Council.

E. REPAIR AND MAINTENANCE


1. There will be inspection, monitoring and evaluation of all properties of the
church periodically (e.g. once per semester).
2. If found to be defective, damaged or non-functional, it will be subjected to
repair or replacement whichever is most appropriate.
3. A report shall be submitted to the Church Council with corresponding findings
and recommendations indicating the property/asset concerned.

F. DONATIONS, AIDS AND OTHER FORM OF SUPPORT


1. The church shall accept items or goods intended for donation or aid.
2. The donor/s shall inform any member of the BOT or the Resident Pastor about
the intention and identify what kind or type of item/good to be donated.
3. All donations or aids shall be documented for purposes of records and
verification.

G. OTHER PROVISIONS
1. These policies and guidelines drafted by the Board of Trustees (BOT) could be
amended any time by the current Church Officers to be ratified by the
Congregation.
2. All other policies or guidelines preceding this document are considered null and
non-executory.
