What is a project?
A project is a temporary endeavor undertaken to create a
unique product, service, or result
• A project is temporary as it has a defined beginning and
end in time, and therefore defined scope and resources.
• A project is unique means that it is not a routine operation,
but a specific set of operations/activities designed to accomplish
a singular goal.

Project is a set of operations/activity and is unique with a


specific deliverable aimed at meeting a specific need or
purpose

Why projects?
We form projects
• in order to fix the responsibility and authority
• for the achievement of a goal on an individual or small group
• when the job is not a routine work.

As projects are unique means that the PM must be creative and


flexible, and have the ability to adjust rapidly to changes.
When managing non-projects, the GM tries to “manage by
exception.”
The manager deals only with the exceptions. For the PM, almost
everything is an exception.

Project Objectives
• An objective is defined as an outcome toward which work is to be
directed, a strategic position to be attained, a purpose to be
achieved, a result to be obtained, a product to be produced, or a
service to be performed.
• A deliverable is defined as any unique and verifiable product,
result, or capability to perform a service that is required to be
produced to complete a process, phase, or project.
• A unique product,
• A new end item (e.g., the correction of a defect in an end item);
• A unique service or a capability to perform a service.
• A unique result, such as an outcome or document
• A unique combination of one or more products, services, or
results

Tangible and Intangible Deliverables
Examples of tangible elements include:
• Monetary assets,
• Stockholder equity,
• Utility,
• Fixtures,
• Tools, and
• Market share.

Examples of intangible elements include:


• Goodwill,
• Brand recognition,
• Public benefit,
• Trademarks,
• Strategic alignment, and
• Reputation.

Project Management
• Project management is the application of knowledge, skills, tools,
and techniques to project activities to meet the project requirements.

• Project management enables organizations to execute projects


effectively and efficiently.
• Effective project management helps to:
Meet business objectives; Satisfy stakeholder expectations; Be more predictable;
Increase chances of success; Deliver the right products at the right time; Resolve
problems and issues; Respond to risks in a timely manner; Optimize the use of
organizational resources; Identify, recover, or terminate failing projects; Manage and
balance constraints; and Manage change in a better manner.

• Poorly managed projects may result in:


Missed deadlines, Cost overruns, Poor quality, Rework, Uncontrolled expansion of
the project, Loss of reputation for the organization, Unsatisfied stakeholders, and
Failure in achieving the objectives for which the project was undertaken.

Project management
Project management is accomplished through the appropriate
application and integration of various logically grouped management
processes, which are categorized into five Process Groups.
Initiating, Planning, Executing, Monitoring/Controlling, and Closing
Managing a project typically includes:
• Identifying requirements;
• Addressing the various needs, concerns, and expectations of the
stakeholders in planning and executing the project;
• Setting up, maintaining, and carrying out communications among
stakeholders that are active, effective, and collaborative in nature;
• Managing stakeholders towards meeting project requirements and
creating project deliverables;
• Balancing the competing project constraints (Scope, Quality, Schedule,
Budget, Resources, and Risks)

The Three Goals Of A Project
1. Is the project on time or early?
2. Is the project on or under budget?
3. Does the project deliver the agreed-upon specification/scope?

Project, Program, Portfolio
A program is defined as a group of related projects, subsidiary
programs, and program activities managed in a coordinated manner
to obtain benefits not available from managing them individually
A portfolio is defined as projects, programs, subsidiary portfolios,
and operations managed as a group to achieve strategic objectives.

• Program and project management focus on doing programs


and projects the “right” way; and
• Portfolio management focuses on doing the “right” programs
and projects.
