What I Need to Know

This unit of competency DEVELOPING AND UPDATING EVENT


INDUSTRY KNOWLEDGE is one of the competency competencies of
Events Management Services NC III. The performance outcomes,
skills and knowledge required to access and interpret current and
emerging information on the events industry to enhance the quality of
event coordination. This includes industry structure, technology, laws
and ethical issues specifically relevant to event coordination. This
unit is relevant to events that are diverse in nature and are
coordinated in many industry contexts, including the tourism,
hospitality, sport, cultural and community sectors. It applies to
individuals working at different levels in event management
companies, in event venues, or in organizations that organize their
own events.

In this module we will further:


a. Obtain information on industry trends shaping the future of
events management
b. Describe new and emerging roles in the event industry
c. Apply knowledge of current and emerging technology by
creating a cover photo for your event proposal
d. Value the potential effects of different technologies on the event
organization process.

What Is It
USING TECHNOLOGY AND I.T IN EVENTS MANAGEMENT
One of the most important aspects emerging in event planning
is the use of technology and social media. From the planning phase to
the actual staging, I.T. and technology has been the essential partner
of event organizers.
Event technology refers to the use of technology whether
hardware or software in an event.

Some of the technology trends in the corporate event planning


are:
1. Registration Automation
An automated online registration system allows your application to
be customized for each and every member who begins your process.
Automation can allow you to auto-fill a returning member's
information so they save time and complete their forms more quickly.

2. Mobile Apps for Events


There is no doubt that the future is mobile. From the days when
the computer was invented, the size of it has only got smaller and
smaller. And now we can hold computers in our palms. Well, mobile
apps can be regarded as the future of attendee interaction as well as
event planning. As an event planner, you definitely want to provide
the best experience to your attendees. And this is exactly where event
management mobile apps come into the picture. They make your
task of planning an event less stressful.

3. Webinar
The term “webinar” comes
from the combination of the
word’s “web” and “seminar.” It's
literally a seminar over the web.
Basically, a virtual event that
connects presenters to viewers
across the globe through internet-based software.

4. Audio & Video Webcasting


A webcast is a (live) online broadcast of the audio or video feed
from your meeting or event. Terms such as web event, web lecture,
virtual event, online seminar or webinar are also often used. But a
webcast is different from a webinar or online seminar in that a
webinar is 100% online, whereas a webcast is the online broadcasting
of an existing physical event.

5. Events app or Event platforms

Industry Trends in Events Management


The present digital era has changed the way we communicate
and view the world. Progressively, the focus has been on examining
the digital transformation of events, as well as the way technology will
affect how events evolve in the next coming decades. Digital
transformation can be understood as the process of integrating new
technologies at all levels of the organization using different
technologies such as event apps, augment reality (AR), virtual reality
(VR), and artificial intelligence (AI).

 Industry Trends
Event management trends inform how events will be staged in the
future. Presently, digitalization is growing significance not only the
planning of events but how attendees’ experiences are shaped.

Emerging Trends in Events


1. Personalization
Personalisation become paramount in ensuring that event
attendees receive exactly what they expect/need when attending the
event. Personalisation is a rising event management trend which is
tied to event success. Event attendees are claimed to gain more value
from the event when their needs are met and their experience is
personalized.
Content personalisation sample is by including attendees’ names
on emails and sending personalized content.

2. Sustainability
Sustainability is an ever-present trend in events management-it
will continue to be discussed for so long as the industry does not
comply with the necessary changes. As event professional, you are
accountable for the impact’s events have on the environment. Event
professionals are under pressure to think and plan more holistically
when it comes to sustainability particularly on waste management
and awareness during event and catering designs.

3. Increased need for event security


As the events industry continues to grow and expand its use of
new technologies, the need for more security in events also grows. As
an event professional, your top priority is that attendees do not risks
their safety going to our event. Technology is gradually used to
empower attendees to report any potential threats.
With the use of cybersecurity, event professionals are responsible
in protecting attendee’s information. Depending on the event type,
scope and cost, facial recognition or fingerprints devices are commonly
used.

4. Unique event venues


Event professionals are shifting from traditional venues such as
hotels and conference venues to more unique venues such as
museum, studios, farms and etc. Some challenges to face on unique
venues are lack of power supplies, Wi-Fi, and the need to build
temporary structures like stage.

5. Virtual planning of events


Technological advancements allow for virtual collaboration with
the team as well as the client through video meeting or video
recordings.

6. Wearable technology
Smart devices that attendees’ wears
are called wearables. These are becoming
popular in events and are mostly used for
networking, data collection, information
exchange, check-in and lead retrieval.

7. Improvements in Wi-Fi
Lot of digital applications at the event rely on Wi-Fi including
exhibitor’s product showcase, push notifications, event apps, and
attendee networking.

New Roles in Events management


 Event tech expert
An event professional who will turn technology-related elements
around the event. This includes special effects, audio-visual,
event apps, and event software.

 Social media coordinator


They have in-depth experience with several social media
platforms, skilled in community engagement, responsive and are
able to quickly learn the key skills in social media marketing
and engagement.

 Digital analytics manager


They gather endless data that can be used to improve
productivity, attendee experience, revenue and process.
 Customer experience manager
Customer service is at the forefront of every event. They are
responsible in answering emails, providing in-person service
onsite and gathering customer feedback.
 Event sustainability coordinator
They are focused making events more environmentally
conscious as well as delivering corporate social responsibilities
(CSR).

 Sponsorship manager
It is important to have an event staff dedicated to recruiting and
stewarding sponsors. Someone familiar with business that are
aligned with the event niche and is able to gain sponsors and
ensuring that they are mutually beneficial.

 Virtual event planner


With the opportunities provided by digital media and technology,
some event professionals are taking their business online and
offering their services to the global market.

 Digital concierge
Digital concierge can perform range of activities like coordinate
event logistics, offering restaurant recommendation and
obtaining tickets shows and activities through app or the
website.

 Event Videographer
The event industry is experiencing a rise in the importance of
event videos. Many people working in the event, such as venue
managers, planners and attendees create video content around the
event .
Even when you have only a small hand in an event, it’s
important to give a project absolutely everything you have got. It’s
easy to do something tried and trusted but giving guests a surprising
experience that they will never forget is priceless.
Tech is always changing and keeping up with all the fleeting
trends seems intimidating but even implementing small technological
features to your event could set you apart if done in a creative way.
Don’t just think about what you can do with tech trends – start
viewing trends in terms of what they can do for you.

o Canopies and coverings – for equipment, audience, etc. in the event
of inclement weather
o Transport & vehicles – forklift, cherry picker, crane, off-road vehicles,
flatbed trucks, vans, cars, etc.
o Firefighting equipment – fire extinguishers, blankets, etc.
o Health and safety signage
o Directional and information signage
o Temporary tracking & ground cover – trackway, blaze, hard core,
sand, bark chips, etc.
o Site decoration and dressing
