This document is the oral assignment — half of the overall written and oral assignment.
This document includes the following parts:
• Part 1: Instructions for completing and submitting the Oral Assignment

How to use the study plan

the oral assignment

Completing the oral assignment


For this oral assignment you are required to complete a role-play by making an audio recording with a
volunteer.
More information regarding the requirements for the assignment are provided in the resources in your
subject in KapLearn.

Saving your work


Download this document to your desktop, type your answers in the spaces provided and save your
work regularly.
• Use the template provided, as other formats will not be accepted.
• Name your file as follows: Studentnumber_Subjectcode_Oral_versionnumber_Submissionnumber
(e.g. 12345678_CIVREP-NSW3_OR_v1_Submission1).
• Include your student ID on the first page of the assignment.

Submitting the oral assignment


You must submit your completed oral assignment (Word document) in a compatible Microsoft Word
document. You need to save and submit this entire document.
Do not remove any sections of the document.
Do not save your completed oral assignment as a PDF.
You will also need to upload an audio recording of your oral assessment.
The oral assignment (in Word) and the audio recording must all be completed before submitting it to Kaplan
Professional Education. Incomplete oral assignment documents and/or audio recordings will be returned to
you unmarked.
The maximum file size for the written assignment (word document), oral assignment (word document) and
audio recording is 20MB. Once you submit your oral assignment and audio recording for marking you will
be unable to make any further changes to it.
You are able to submit your written and oral assignment earlier than the deadline if you are confident you
have completed all parts and have prepared a quality submission.
Refer to your study guide so you can plan ahead to complete your audio recording before the written and
oral assignment is due.

The oral assignment marking process
You have 12 weeks from the date of your enrolment in this subject to submit your completed oral
assignment and audio recording.
If you reach the end of your initial enrolment period and have been deemed ‘Not yet demonstrated’ in one
or more assessment items, then an additional four (4) weeks will be granted, provided you attempted all
assessment tasks during the initial enrolment period.
Your assessor will mark your assignments and return them to you in the subject room in KapLearn under
the ‘Written and Oral Assessment’ page.

Make a reasonable attempt


You must demonstrate that you have made a reasonable attempt to complete all the parts of your oral
assessment. Failure to do so will mean that your oral assignment will not be accepted for marking,
therefore you will not receive the benefit of feedback on your submission.
If you do not meet these requirements, you will be notified. You will then have until your submission
deadline to submit your completed written and oral assessment.

How your oral assignment is graded


Oral assignment tasks are used to determine your ‘competence’ in demonstrating the required
knowledge and/or skills for each subject. As a result, you will be graded as either Demonstrated or
Not yet demonstrated for this oral assessment.
Your assessor will follow the below process when marking your oral assignment:
• Assess your responses in each part of the oral assessment, and then determine whether you have
demonstrated competence in each question or checklist.
• Determine if, on a holistic basis, your responses have demonstrated overall competence.
You must be deemed to be demonstrated in all assessment items in order to be awarded the units of
competency in this subject including:
• all of the exam questions
• the written and oral assignment.

‘Not yet demonstrated’ and resubmissions


Should parts of your oral assignment be marked as ‘not yet demonstrated’ you will be given an additional
opportunity to amend your responses so that you can demonstrate your competency to the required level.
You must address the assessor’s feedback in your amended responses. You only need amend those sections
where the assessor has determined the assessment result is ‘not yet demonstrated’.
You may be asked to re-record a part of your audio recording or to answer some written questions in this
document. Use a different text colour for any written sections of your resubmission. Your assessor will be
in a better position to gauge the quality and nature of your changes. Ensure you leave your first assessor’s
comments in your oral assignment, so your second assessor can see the instructions that were originally
provided for you. Do not change any comments made by a Kaplan assessor.

Part 2: Preparation for oral assessment
To prepare for your oral assessment you are required to complete the following questions:

Question 1
Consider the purpose of a listing presentation for property management for a prospective client that has
limited knowledge of property management. Make a brief statement that explains the role of the managing
agent.
Hint: Think in terms of why a landlord would come to a managing agent for provision of property
management services.
To help their clients buy, sell or rent real estate, real estate brokers work with them. This includes
everything from office buildings to residences to land.

We are in charge of all of the day-to-day activities that take place in a rental property. They should
be familiar with the industry in which the rental works, such as industrial property or housing.

task that landlords delegate to property management. To entice renters, the property management
sets reasonable rent pricing. If you'd like to keep your property attractive to tenants, you should do
an annual evaluation of comparable nearby homes.

of the property.

Part 3: Role-play — Deliver a listing presentation
You will participate in a role play for 20 minutes (maximum of 25 minutes). The role play will be conducted
by audio recording. You will need a volunteer to assist you in the role play.
For your volunteer you need to select an appropriate person who is able to participate in the volunteer role
criteria below. The volunteer needs to understand that this is part of your assessment. Provide a copy of
the Volunteer Guide in your KapLearn subject room to your volunteer, so they understand what they need
to do in your assessment.
Remember: You will not be assessed on your acting ability. Rather, you will be assessed on the criteria
listed below under the student role.
When starting your role-play recording, ask your volunteer if they give permission to be included in the
audio recording. The volunteer needs to agree verbally before the recording may continue.
This role play builds upon the work you commenced in your written assignment in relation to
Case study 1: relating to William Kotios’ property. It includes two (2) people:

The scenario text from Case study 1 in your written assignment is replicated below, for your reference.

Scenario
You are a property manager for Magnus Real Estate, one of the largest agencies in your local area.
You have been prospecting for new property management listings and were introduced to a potential
new landlord, William Kotios, at a recent networking event where you swapped business cards. You then
followed up with an introductory email the day after the event.
William has replied to your email asking you to call him to arrange an appointment to meet him at the
apartment he is planning to lease. He wants to discuss the process of leasing and managing the property,
and for you to provide him with a rental appraisal.
From the address he provided, you know that the unit is a 2-bedroom apartment in a strata-titled block
built in the early 2000’s. You know the block well, as your agency already manages two (2) other units in
the same complex.
You have not met this potential client before, other than socially, and therefore you have no knowledge of
his property management experience or his expectations of the agency. You do not know if he is the legal
owner of the property.
You know how important the relationship between the landlord and agency is, so you phone William to
arrange the appointment to meet him, to gather more information about him and his property.

Task
Your oral presentation task is to prepare and deliver a listing presentation to William. The presentation has
five (5) sections below, all of which must be covered:

Ask two (2) to three (3) questions to establish relationship with the prospective landlord
and confirm their situation as discovered in Task 1: Understand client requirements,
then present your agenda for the meeting.

Deliver a short presentation about the agency and yourself covering the items below.
Refer to your checklist to ensure you cover all necessary points, which are:
• a brief overview of the agency — ownership/history, scope of services offered
• your role in the agency as a property manager. Include reference to qualifications and
experience, including your property management knowledge
• basis for fees with reference to your services and the agency’s reputation.

3 Discuss the listing 8 minutes


Hold a short discussion on the property covering the items below, to respond to two (2)
client questions.
Refer to your checklist to ensure you cover all necessary points.
• Explain the purpose of the listing presentation.
• Re-confirm William’s situation, including time frame to lease property.
• Outline the process of property management in a logical order — from marketing to
tenancy agreement to termination as per the list you put together in Part 2 of this
assessment.
• Discuss the reasons to list with you/your agency. You could include benefits of quality
service, testimonials; create and discuss a point of difference from other agents and
agencies.
• Propose full property management service rather than leasing only.
• Briefly discuss the estimated rental price of the property (noted in Case study 1 details)
and propose a rental listing price (asking rent) for the property. Obtain and document
client feedback on the price.
• Briefly explain that your agency has a communication plan that you will confirm with him
in writing after this meeting (refer to written assignment, Case study 1, Task 3:
Communication schedule with landlord).
• Discuss the management fees and leasing fees for managing the property and negotiate
if required.
• Discuss with William his preferences and expectations for the management and close your
listing presentation by asking if he would like to proceed with listing his property with you.
Invite your volunteer to ask questions. Note: They must ask you at least two (2) questions.

4 Confirm next steps 3 minutes


• Propose the actions to be taken immediately, including preparing documents and
authority to act in the management agency agreement.

5 Close the listing presentation 3 minutes


• Simulate the finalisation of listing paperwork, by mentioning the requirements
(Note: Form does not need to be completed, but must be referred to).
• Close appropriately, with reference to next steps and/or communication check points.

To prepare for the listing presentation, consider the following:
Content:
• Review the details of the property in Case study 1 in both your planning and your oral presentation.
• Include reference to the management agency agreement and the communication schedule completed in
your written assessment.
• Collate resources to support your listing presentation, including the checklist you created in
Part 2: Preparation for oral assessment.
Delivery (not assessed but recommended for smooth delivery):
• Will you have a hard copy or soft copy of the listing kit to give to William (your volunteer)?
• Will you take your laptop and present on your computer?
• What other information will you provide William (your volunteer)?
Please keep time frames in mind as you deliver your presentation, as you must remain within maximum
time limit for the oral assessment.
