This unit describes the skills and knowledge required to use spreadsheet software to complete business tasks
and produce complex documents.

It applies to individuals employed in a range of work environments who require skills in creation of complex
spreadsheets to store and retrieve data. They may work as individuals providing administrative support within
an enterprise, or may be independently responsible for designing and working with spreadsheets relevant to
their own work roles.

No licensing, legislative or certification requirements apply to this unit at the time of publication.

Prerequisite Units

There are no recommended pre-requisite units for this competency.

Possible Co-requisite Units

This unit can be assessed independently, however holistic assessment practice with other business service
units of competency is encouraged

It gives the instructions provided to the student for each task with sample/benchmark answers, as well as any
relevant instructions for the assessor.

To be assessed as competent for this unit, the student must complete all of the assessment tasks satisfactorily.

Assessment Plan
Assessment Task Overview
1. Safe work practices observation Students must demonstrate setting up their workstation ergonomically
and according to work organisation requirements.
2. Spreadsheet production project Students must plan, create, and produce a Workbook, a template,
and a macro. They will then meet with the assessor to demonstrate
the spreadsheets and their functions.

Assessment Preparation
Please read through this assessment thoroughly before beginning any tasks. Ask your assessor for clarification
if you have any questions at all. When you have read and understood this unit’s assessment tasks, print out the
Student Assessment Agreement. Fill it out, sign it, and hand it to your assessor, who will countersign it and then
keep it on file. Keep a copy of all of your work, as the work submitted to your assessor will not be returned to
you.

Assessment appeals
If you do not agree with an assessment decision, you can make an assessment appeal as per your RTO’s
assessment appeals process.

You have the right to appeal the outcome of assessment decisions if they feel they have been dealt with unfairly
or have other appropriate grounds for an appeal.

Naming electronic documents


Students are instructed to name their documents.

Each should include:

 activity number

Assessment Instructions
This Assessor Marking Guide outlines the assessment tasks as shown in the Assessment Plan. It also provides
benchmark responses to the assessment tasks. As some assessment tasks require completion of, for example,
plans or reports, additional resources are provided for assessors to refer to for guidance with marking where
necessary.

Each assessment task in this booklet consists of the following:

Assessment Task Cover Sheet


Students must fill out and sign the first section of each task’s Assessment Task Cover Sheet and submit it
together with their assessment task responses. If they are submitting hardcopy, the Cover Sheet should be the
first page of each task’s submission. If they are submitting electronically, they are instructed to print out the
cover sheet, fill it out and sign it, then scan this and submit the file.

A copy of the Task 1 Cover Sheet is included in this guide, so you can familiarise yourself with it.

When you have marked a student’s assessment task responses using the assessment task’s Checklist, you will
fill out the middle section of the Assessment Task Cover Sheet, giving each student’s result for the unit as
satisfactory (S), unsatisfactory (U), or did not submit (DNS).

Assessment Task Information


This gives you and the students:

 submission requirements
 re-submission opportunities if required

Assessment Task Instructions


These give questions to answer or tasks which are to be completed. Their answers need to be typed up using
software as indicated in the Assessment Task Instructions.

They must copy and paste each task’s instructions into a new document and use this as the basis for their
assessment task submission, including this document’s header and footer.

If the students are submitting electronically, they are to give the document a file name that includes the unit
identification number, the task number, your name and the date.

Checklist
Assessors should use each task’s Checklist to mark their students’ responses.

Print out the Checklist, and fill it in by hand, complete the bottom section. If you need more space than is given
in the checklist, copy and paste the page into a new document. Change the spacing to suit your responses,
then print that out to fill out and sign.

Preparing for Assessment


All assessors must be familiar with their RTO’s assessment policy and procedure, including re-assessment
opportunities and assessment appeals.

Prior to assessment, assessors must thoroughly review each of the assessment tasks and supporting
resources prior to discussing these with students. Assessors should ensure that they are aware of the key
requirements of each task and ensure that all appropriate facilities, resources and equipment are available.

Assessors must provide students with the Student Assessment Tasks booklet at the outset of each unit, and
clearly explain all assessment tasks and assessment criteria. You must also provide opportunities for students
to clarify any information and to confirm students’ understanding of the assessment criteria.

Assessors must provide students with the due date for each assessment task for this unit. Students should be
instructed to write the dates in their Student Assessment Tasks booklet for each task. Where appropriate, time
limits for assessments may be set at the assessor’s discretion.

Before beginning the assessment, each student must fill out and sign the Student Assessment Agreement
which is at the beginning of their Student Assessment Tasks booklet and submit it to you. You must
countersign it and keep it on file. Only when a student has submitted their Student Assessment Agreement can
they begin the assessment tasks.

A copy of the Student Assessment Agreement is given on the following page.

Reasonable adjustment

Where a student has indicated they have specific needs for assessment, these should be considered, and
reasonable adjustments made. Reasonable adjustments must be noted in the Assessment Task Cover Sheet
for the relevant task.

Some examples of reasonable adjustments that could be made for the assessments include:

 verbal responses to written activities (such as questions and answers tasks and case studies)
 providing students with large-print copies of the Student Assessment Booklet.
 providing more time for students to complete assessments.

Conducting Assessment

Assessment Context
A simulated work environment is to be used when assessing this unit. Therefore, assessment tasks:
 Reflect real life work tasks.
 Are required to be performed within industry standard timeframes as specified by assessors in
relation to each task.
 Are assessed using assessment criteria that relate to the quality of work expected by the industry.
 Are performed to industry safety requirements as relevant.
 Utilise authentic workplace documentation.
 Require students to work with others as part of a team.
 Require students to plan and prioritise competing work tasks.
 Involve the use of standard, workplace equipment such as computers and software.

 Ensure that students are required to consider workplace constraints such as time and budgets.

Assessment tasks are varied and must be completed over a period of time and, where required, on a number of
occasions.

Written assessments
 Observe student conduct where appropriate (e.g. closed book conditions)
 Liaise with the student during any projects/research tasks as required
 Ensure assessment timings are adhered to where appropriate
 Ensure the submission date is complied with where appropriate
 Intervene if assessment conditions are not complied with.
 Mark assessment using the model answers and record performance for each question in the
checklist.
 Check submissions for plagiarism, cheating or collusion. Where you believe this has occurred it
should be reported and managed according to the RTO’s process.
 Indicate performance for theory questions using the checklist provided.

Practical observations
 Practical observations provide opportunities for students to demonstrate both knowledge and skills.
 Observe performance from an appropriate position.
 Assess student performance against the assessment criteria.
 Use your professional judgement when deciding if a student has satisfactorily addressed the
assessment criteria.
 Record performance on the observation checklist at the time of observation.
 Indicate performance as satisfactory or unsatisfactory by placing a tick in the relevant box on the
Assessment Task Cover Sheet.
 Record appropriate comments and use for feedback purposes.

Following Assessment

As each assessment task is completed and submitted by a student, complete the task’s Assessment Task
Cover Sheet to indicate satisfactory or unsatisfactory performance. If the student did not submit a task by the
required date, record DNS (Did Not Submit).

Where the outcome of an assessment task is not satisfactory, return the Assessment Task Cover Sheet to
the student and arrange a meeting to provide feedback. You can then make arrangements for re-assessment
as required.

Discuss the result verbally with the student and provide advice on re-assessment opportunities as per your
RTO’s re-assessment policy.

Depending on the task, this may include


 resubmitting incorrect answers to questions (such as short answer questions and case studies)
 resubmitting part or all of a project, depending on how the error impacts on the project’s outcome.
 redoing a role play after being provided with appropriate feedback about your performance
 being observed a second (or third time) undertaking any tasks/activities that were not satisfactorily
completed the first time, after being provided with appropriate feedback.
Student should be provided with an appropriate time frame in which to resubmit their work, according to the
RTO’s re-assessment policy and procedure.

Students should only redo questions that are incorrect; however, they will need to resubmit the entire
assessment.

Plagiarism, cheating and collusion.


Where a trainer/assessor believes there has been an incident of academic misconduct involving plagiarism,
cheating, and/or collusion, they should report this along with reasons for the allegation. Assessors should refer
to their RTO’s policy and procedures regarding training and assessment for further information.”

When all of the unit’s assessment tasks have been submitted and assessed (including resubmissions),
print out a copy of this unit’s Final Results Record, included as the last page of this document.

Record the result for each task and the final result for the unit as C (Competent) or NYC (Not YetCompetent).
There is also a space to give the student some written feedback for the overall unit.

Sign and date the middle section and give the sheet to the student. After discussing their results with them, the
student must fill out and sign the final section of the Record, where they acknowledge the result that you have
given them.

When the student has filled out the final section of the Final Results Record, make a copy for them and retain
the original with the student’s records.

Assessment Task 1: Safe work practices observation

Task summary

For this part of the assessment task, the student is required to demonstrate that they understand and
can apply the requirements for an ergonomically healthy and safe work station, as well as meeting
work organisation and conservation requirements.

This assessment is to be completed in the simulated work environment in the RTO.

Timing

Advise the student of the due date of this assessment.

Assessment criteria

Your assessor will observe you setting up the work station and will ask you a number of verbal
questions. Although you are verbally assessed, you are still required to submit your responses as
evidence of your understanding of questions asked.

Re-submission opportunities

You will be provided feedback on their performance by the Assessor. The feedback will indicate if you
have satisfactorily addressed the requirements of each part of this task.

If any parts of the task are not satisfactorily completed, the assessor will explain why, and provide you
written feedback along with guidance on what you must undertake to demonstrate satisfactory
performance. Re-assessment attempt(s) will be arranged at a later time and date.

You have the right to appeal the outcome of assessment decisions if you feel that you have been
dealt with unfairly or have other appropriate grounds for an appeal.

You are encouraged to consult with the assessor prior to attempting this task if you do not understand
any part of this task or if you have any learning issues or needs that may hinder you when attempting
any part of the assessment.

In particular, focus on information that pertains to the workplace you are using for this course.

Then complete the following tasks:

1. Demonstrate that you are able to set up an ergonomic/healthy and safe work station.
This should include:
 Adjusting your chair so that it is at the required height.

 Show the required position of the wrists when typing.

 Showing the required position of the keyboard and mouse on the desk.

 Identify the required distance of the screen from the eye and position the screen.

 demonstrate exercises that can be performed during rest breaks. You are not
required to perform athletics; merely show that you understand how exercise can
help counteract the effects of sitting at a computer for long periods of time.

Assessment Task 2: Spreadsheet production project

Task summary

This task requires the student to create several spreadsheets according to instructions and with the
help of a style guide. They will then meet with their assessor, who will discuss their spreadsheets with
them and ask them to demonstrate their command of the spreadsheet program’s functions. The
student will then produce, print, and edit a second draft of the spreadsheet, then create a final draft.

This assessment is to be completed in the simulated work environment in the RTO.

Assessment Task 2 Instructions as provided to students

Carefully read the following:

King Edward VII College is based in Melbourne and has been operating for 2 years. The College is
growing, has recently employed new staff, and is also seeking to improve operational practices.

As part of the College’s growth, the Operations Manager has decided that an Annual Budget needs to
be prepared each year. The Operations Manager wants you, as Administration Assistant to develop a
template for the annual budget using excel spreadsheets.

The budget spreadsheet needs to include the following worksheets:

 Annual budget summary: lists projected income and expenditure for July 2015 to June 2016.
 Projected versus actual budget for July to September 2015 and variation to budget. The
annual budget values should be linked to the values in the previous worksheet.
 Graphs showing actual versus budget for monthly income figures and monthly expenditure
figures and monthly profit for the period of July to September 2015. There will be three
graphs, one for income, one for expenditure and one for profit, all for the period of July to
September 2015.

Use the Style Guide to develop the Workbook, but keep in mind that King Edward VII College is
interested in looking at some changes to the format of their Workbooks to see if there are some
alternatives that are easier to read. Consequently, you will be asked to set up a macro that will change
some of the aspects of one of the Worksheets.

Complete the following activities:

1. Send an email to your assessor.


Read through the information above, the Style Guide, and the Spreadsheet Data. When
you are sure that you understand what is required of you, write an email to your assessor
setting out, in your own words, the steps you will go through to create the spreadsheet.

The text of the email should be in grammatically correct English, written in an appropriate
(polite, business-like) style.

If you have any doubts about the spreadsheet suiting its purpose and its audience, or, if
you have any questions at all about this activity’s requirements, this email is the
opportunity to ask them of your assessor.

9. Develop a Spreadsheet Template.


The template should include all associated worksheets according to the requirements
confirmed in your email, and as set out in the Style Guide to ensure consistency of design
and layout for forms and reports.

The three graphs you create must have appropriate labels and titles

Save this Workbook as Draft Spreadsheet Template as set out on page 4 of this booklet.

10. Enter the data provided in Spreadsheet Data into the spreadsheet.
Save the template and the Workbook according to the naming convention and in the
required file.

Save this Workbook as First Draft Completed Spreadsheet as set out on page 4 of this
booklet.

11. Develop a macro for the Workbook.


King Edward VII College is interested in looking at some changes to the format of the
Workbook to see if there are some alternatives that are easier to read.

Create a version of your Completed Workbook with a macro. Call the macro Timesblack.
Your macro must change a spreadsheet such that:
 All the text is in Times font
 All the text is black

Save this as Macro Spreadsheet as set out on page 4 of this booklet.

12. Send an email to your assessor.


The text of the email should be in grammatically correct English, written in an appropriate
(polite, business-like) style.

It should introduce and summarise the contents of the attachments and ask for the date
and time of your workstation assessment.

13. Meet with your assessor.


The meeting will be held at your workstation.
While at the workstation, you should keep in mind the ergonomic principles that you were
asked about in assessment task 1.
Take rest breaks away from the computer according to best practice guidelines.

During the meeting, you are required to demonstrate effective communication skills as
follows:
 Use of appropriate style (formal), tone (encouraging, respectful) and
vocabulary (professional, business language) for the meeting
 Speaking clearly and concisely
 Using non-verbal communication to assist with understanding
 Asking questions to identify required information
 Responding to questions as required
 Using active listening techniques to confirm understanding

At the meeting, you will also be asked to demonstrate:

a. that the formulae you have entered into your spreadsheet are correct by calculating
the totals for a data sample on a calculator. For example, a period’s total income or

14. Develop a second draft of your Completed Spreadsheet.


When your meeting has been concluded, finalise the second draft of your document,
ensuring that it contains any changes that your assessor may have suggested.

Then print the document out according to conservation requirements as set out in the
Style Guide.

15. Proofread the second draft of your Completed Spreadsheet.


You are required to proofread your second draft to ensure accuracy amd consistency of
style, design and layout. Mark the pages with pencil or pen to indicate changes that you
would like to make.

You should find at least one change (e.g. margins or columns etc.) that you wish to make
to each Worksheet.

Produce a final draft of the spreadsheet that incorporates the changes that you selected in
the previous activity.

Save this version as Final Draft Completed Spreadsheet.

17. Take a screen shot of your folder and files.


This activity requires you to demonstrate that you can file your records in a logical
structure.

Ensure that you have an overall folder for your work, as well as sub folders if necessary.
All of the documents you have submitted for this assessment task should be correctly
named and filed.

The screen shot should show all the folders and documents.

18. Send an email to your assessor within the designated timeline.


The text of the email should be in grammatically correct English, written in an appropriate
(polite, business-like) style.
It should introduce and summarise the contents of the attachments.

Attach your Final Draft Spreadsheet and screen shot to the email.

19. Give your marked-up hard copy of Second Draft Completed Spreadsheet to your
assessor. Ensure that you comply with the organisation’s Style Guide when printing.
