Standard Operating Procedure – Engagement of Intern(s) (Unpaid)

SOP – Engagement of Intern(s) (Unpaid).


Input  Required documents. Output  Hiring of Intern(s).
 Access Card for Intern(s).
 Internship Completion Certificate.
Frequency of  On need basis/ upon receiving request (via email)/ requisition form with the purpose of having
Activity intern(s) from the relevant department/team for getting Intern(s) on-board.

Time  Provision of required documents from intern(s) within a week.


Required to  Internship duration four (4) weeks to three (3) months (Can be extended upon receiving
complete the request of extension of internship from the relevant department/team).
activity  Provision of Internship Completion Certificate – two (2) working days after receipt of
request/mail from supervisor/coordinator.
Procedure 1. Supervisor/coordinator is required to send a request via email to kanvall.raza@pitb.gov.pk (Ext.
1292; 10th Floor, Room No. 6 – HR Wing) for getting intern(s) onboard with following details:
a. Internship Location (assigned floor).
b. Supervisor (name & designation (Level 3 & above)).
c. Duration (4 weeks to 3 months).
d. Purpose of hiring/engaging an intern.
2. HR Wing will coordinate with supervisor/coordinator and Intern(s) for provision of following
documents before joining (All the below mentioned documents must be attested by gazetted
officer).
a. Resume’.
b. Copy of all educational documents.
c. Copy of domicile.
d. Copy of CNIC.
e. Two passport size color photographs
f. Internship letter from university (if applicable).
3. For issuance of temporary access card for intern(s) contact at kanvall.raza@pitb.gov.pk (Ext.
1292; 10th Floor, Room No. 6 – HR Wing).
4. Incase if supervisor wishes to extend internship duration, an email request for extension shall
be sent with a copy to required recipients (as mentioned in Sr. No. 1).
5. Upon completion of internship supervisor/coordinator/intern can request for internship
completion certificate by sending an email to summaira.tahir@pitb.gov.pk (Ext. 1174; 11th
Floor, Room No. 7 – HR Wing). Following will be required by HR Wing for issuance of certificate.
a. Attendance and Internship report (approved/signed) from supervisor after internship
completion.
6. Coordinator shall ensure that temporary access card is returned to HR Wing for issuance of
Internship Certificate.
Precaution  Ensure submitted documents are attested.
 Ensure return of temporary access control card to HR Wing after completion of internship.
 In case of extension in internship duration all relevant stakeholders are required to be
informed.
 Email requests must be copied to relevant HoD/Coordinator and Director HR.
 Induction of intern(s) will be after formal go head from HR Wing within three (3) working
days after receipt of documents.
 Internship letter will not be issued incase of absence of required documents.
