MEMORANDUM

Subject : Daily Timekeeping and Recording Guideline
Date : March 23, 2020

This document aims to provide guidelines and clarification on timekeeping and recording which is consistent with
relevant policies. It is also intended to provide clarification to controls and procedural questions in order to fully
implement and maintain consistent timekeeping practices.

Manual DTR

We have been tracking our staff time and leave via intranet, our electronic timekeeping system. However, given the
changes in working arrangements, aside from the intranet, we will also be responsible in ensuring accuracy of daily
time records by doing manual timekeeping and recording. Below is the format you shall use for the manual procedure:

*The remarks column shall be filed out with the status of staff for the day (Working Onsite, WFH, EL, VL or SL).

Roles and Responsibilities

Staff

 All staff are still required to log in and out of intranet timesheet. All policies pertaining to Attendance and
Timesheet System shall still be observed and followed.
 If staff cannot log in or log out, staff should immediately contact immediate supervisor to raise the
problem.
 For any staff who cannot report for work, onsite or offsite, shall still be required to file a leave application
thru HRIS.
 If staff cannot file a leave thru HRIS, staff may send an email to his/her immediate supervisor requesting to
charge absence thru his/her available leave credits.

Team Leader, Shift Supervisor or Manager

 The above given Manual DTR format shall be used and updated daily.
 To send Manual DTR report to WFM daily not later than 1PM MNL.
 For any staff who cannot log in or log out, report the issue first to servicedesk@tpgtelecom.com.au and
while they’re fixing the issue, you may log in or log out your staff so the correct logs will be captured
immediately.
 For those staff who are forced to leave because of not being able to report from home or onsite, you shall

approve their leave application in HRIS. If they have sent their application thru email, you shall submit the
application to WFM and payroll for their appropriate action.
 As our usual procedure, WFM will send you a summary of DTR for a whole cut-off, you shall be required
review it, correct if needed and submit to WFM within the deadline.
 By sending a final report to WFM, you affirm to the best of your knowledge, that the hours recorded are a
true representation of the staff’s hours worked and/or leave taken. Hence, you shall be held liable for any
inaccuracy, misrepresentation and/or fraud/dishonesty.

Workforce Management

 WFM will communicate directly with each immediate supervisor or Manager to ensure the accuracy of
number of staff who reported for work daily (onsite or offsite).
 WFM will still continue to send Daily Attendance Report. Any dispute or correction should be addressed
immediately.
 WFM will also provide validated DTR to payroll within the set deadline for pay processing.
 To ensure correct tagging, all Timesheet for confirmation will be sent every day.
 To send Partial DTR for checking before the day of submission (as per normal process).
