This procedure is designed to ensure that Picard Bangladesh Ltd. (PBL) has identified mandatory
requirements on current health & safety, Environmental Safety statutes and regulations of the country,
as well as other requirements and QMS requirements that it has established or adopted and all
employees have continuous access to such information.

The information related to the legal & other requirements that apply to the activities conducted at
Picard Bangladesh Ltd. (PBL) have several sources of collection i.e. relevant
ministry/directorate/department, LFMEBA, as well as contract obligations and formal commitments
made by management. The area describes receipt, initial processing and analysis of external
requirement documents and associated documentation. This also ensures change control for
processing new or revised external requirements and incorporates these changes into the affected
documents.

2.0 SCOPE

Legal requirements mentioned in Bangladesh labor and industrial laws of Bangladesh, ILO
Conventions and ISO 45001, ISO 14001:2015, ISO 9001:2015, LFMEAB and any specialized
government organization.

3.0 ABBREVIATIONS
IMS = Integrated Management System (Here ISO 45001:2018, ISO 14001:2015, ISO 9001:2015)
EMS = Environmental management System
QMS = Quality Management System
MR = Management Representative

4.0 RESPONSIBILITIES

IMS Management Representative is responsible for ensuring new or changed requirement documents,
which are identified in the prime contact, are analyzed to determine their applicability and for
documenting the mechanisms that support compliance with the new or changed requirement.

IMS MR is responsible for attending, where appropriate, professional conferences and training
programs, and for reviewing new regulations applicable to the institution.

Manager Admin and IMS MR is responsible for articulating new or changed regulations that impact
the institution. Regarding the reporting of new or changed regulations, Manager Admin is responsible
for maintaining direct communication with labor offices and LFMEAB. S/He is responsible for
coordinating the processing, reporting and posting of new or changed requirements for the institution.
S/He is also responsible for subscribing to the notification service in order to receive change notices
for all new or changed requirements applicable to their operations.

5.0 DEFINITIONS

Refer to the definitions contained in ISO 45001, ISO 14001:2015, ISO 9001:2015 and the legal
legislation.

5.1 Picard Bangladesh Ltd. (PBL) shall establish, implement and maintain a process for identifying
and accessing the legal and other IMS requirements that are applicable to it.

6.2 It shall ensure that these applicable legal requirements and other requirements to which Picard
Bangladesh Ltd. (PBL) subscribes are taken into account in establishing, implementing and
maintaining its IMS management system.

6.3 It shall keep this information up-to-date.

6.4 The organization shall communicate relevant information on legal and other requirements to
persons working under the control of the organization, and other relevant interested parties.

6.5 Once applicability of a new or changed requirement has been determined, the MR shall assess
how Picard Bangladesh Ltd. (PBL) currently complies or s/he shall determine the actions required for
achieving compliance.

6.6 For new or changed requirements, the MR shall ensure the development or revision of appropriate
documents, training or other requirements implementation methods as appropriate.

6.7 When conformance with an external requirement or its intent is not possible, either through direct
compliance or through an equivalent means of complying, the MR shall establish a schedule that leads
to compliance with the requirement or shall request a variance.

6.8 The MR shall stop work or request equipment be removed from service if non-compliance with an
external requirement leads to imminent danger.

6.9 The MR shall communicate all new or changed requirements to line management.

6.10 The MR shall ensure all approvals of requirements are formally transmitted to senior
management or advisory committee.

6.11 The MR shall issue a notification about new or changed requirements to all line/team personnel
who subscribe to the changes.
