3: Uses of Front Office Services Equipment, Tools and Paraphernalia Based on the
Task Requirements
This module was collaboratively designed, developed and reviewed by educators both from

Hotel industries now a days need to update or upgrade their facilities and amenities
from time to time. They should always look for possible trends in the future. Hotel is a good
business in places where you can offer a lot of tourist attractions, activities, and some business
that is related also in hospitality industry. Front office should always be appealing in the eyes
of the guests. From the proper outfit of the Front Officer, the perfect make-up and smile up to
organized table, tools, equipment and paraphernalia and the good services in the hotel. It is
because most of the guest are always looking for the perfect services of the hotel .

Let us start this lesson by recalling the tools, equipment, and paraphernalia. The knowledge

What’s New

Tools in Front Office Services


Front of the house as what they called the front office, because they are the first one who offer
the whole product and services of the hotel, from rooms to food and beverages that they have
in the hotel. We should always know the latest tools in the front office, and most importantly,
the use of them.

Equipment in Front Office Services


Equipment in hospitality industry are very important to make connection to guest, and make
some business transaction. Reservation is also conducted before the arrival of the guests. It
can be done via telephone conversation in case they are by group or VIP’s. This is to make
them sure they already have their accommodation before their arrival in the hotel.

What is It

Study the following tools that are using in the FOS.


Reception Desk – reception desk or front desk is located in a place where the guests can
easy find when they enter the hotel. This desk is designed based on the layout of the hotel
and the required tools, equipment and paraphernalia that will be put in the table.

Filing Cabinet – this cabinet is where you can store documents or the paraphernalia of the
hotel. This is placed where front officer can easily get the document when needed.

Key Rack – this is where you can organize keys by room number or alphabetical order
depending on the name of the rooms. This will help front officer to find the keys of the rooms.

Safety Deposit Box – this is usually put inside the hotel room, if the hotel room is upgraded,
but in small hotel, this is usually placed at the back of the front office. If the safety deposit
box is digital, the guest will be the one who will create their password but if it’s traditional
safety deposit box, keys will be in the front officer or in the FO manager.

Computer – this equipment is used to store information about the hotel, connecting to or
contacting the guests using website that is used a lot in hospitality industry like trivago.com
and agora.com.
Software - this equipment is stored in the computer. This is what front officers are using to
identify if the rooms are occupied, out of order, blocked/reserved, vacant-dirty or vacant
ready to occupy by the guest.
Internet – this equipment is really needed in every business. Like computer and software,
the internet is also important. This is used to work with software that is stored in the
computer.
Printer – this is used to print a copy of a document. For example, a guest folio.
Telephone – this is usually used to contact in-house guest to remind their check-out or the
waking-up call.
Fax Machine – this is used to receive documents like reservation forms from the guest or
from the website where they have their reservation made.
Cash Register – this equipment is where the front officer keeps the money, and this is
usually put in the drawer or in the desk.
Credit Card Machine - this is used to allow the guest to pay the charges of the rooms or the
foods if they don’t have cash on hand.
