2: Identifying Front Office Services Tools, Equipment & Paraphernalia Applicable for a
Specific Job

What’s In

Front office is the most visible and essential focal point of a hotel. The focal point of
activity within the front office is the reception desk which is located in the front lobby of a hotel
and dispenses all front-of-the-house activity of the hotel. It is the communication center of the
hotel with great amount of guest contact. Guest interact with the hotel for the first time by
interacting with the staff of the front office, and they form the first impression about the hotel
based on the efficiency, competency and behaviour of the front office staff.

It has become very important in today’s time to keep in touch with the latest technology
for the smooth function for any department in the hotel industry. Hence, one should know
properly the latest tools and equipment used in the front office area, and most importantly, the
use of them. In this module, you will be able to classify equipment, tools and paraphernalia
according to types and functions and based on the specified task.

What’s New

Tools, Equipment and Paraphernalia Defined

Tools and Equipment are two words that are often use synonymously, mainly
due to the similarities of their meanings. A tool is a hand held device that aids in
accomplishing task. Equipment usually denotes a set of tools that are used to
achieve a specific objective. Paraphernalia are the equipment, apparatus or
furnishing used in or necessary for a particular activity.

What is It

One of the most important task of a front office staff is to make sure that he/she uses
the right tool, equipment or paraphernalia that is applicable to a specific job. A future front
desk employee should be well versed with the different tools and equipment that will be used
when already in the field.

Tools, Equipment and Paraphernalia used in Front Office Services

Tools/Equipment Meaning/Use

Reception desk is where guests are received


and usually the place in which guests make the
first impression of the hotel. It is also the
communication center of the hotel.

Filling Cabinet is a piece of office furniture


typically made of steel and usually used to store
paper document in file folders. In the simplest
context, it is an enclosure for drawers in which
items are kept.

Key rack is an array of numbered
compartments used to store guest room keys.

Safety deposit box


Safety deposit boxes of varying sizes are
located in or adjacent to the front office area.
These boxes are for guest use only and are
controlled by the service associates.

Computer are used to create bills and


invoices, to monitor bookings and reservation,
to check-in and check-out guests, and to record
guest expenditure and share information within
and across the hotel.

Software a program that enables a computer


to perform a specific task, as opposed to the
physical components of the system.

Internet a global computer network providing a


variety of information and communication
facilities, consisting of interconnected network
using standardized communication protocols.

Printer a machine for printing text or pictures


onto paper, especially one linked to a
computer.

Telephone a system for transmitting voices
over a distance using wire or radio by
converting acoustic vibrations to electrical
signal.

Fax Machine (Facsimile Automated Xerox


Machine). It is a very essential equipment in
Front Desk for the purpose of communication
and is used to received or send official
documents.

Cash Register is a mechanical or electronic


device for registering and calculating
transactions at a point of sale.

Credit Card Machine

It is an automated front office Equipment used


by Front Office Cashier to check the validity of
a credit card.

Reservation Form
Is primarily used by reservation department or
by the hotel sales team to write down the
booking details over phone or when they go for
a sales call on client site.

Message Slip
You can take massages by phone for guests
who are out and register these on the guest
message slip and give them to the guests when
they come back to the hotel.

Pen an instrument for writing or drawing with


ink, typically consisting of a metal nib.

Calculator
Something used for making mathematical
calculation. In particular, a small electronic
device with a keyboard and a visual display.

Cash Receipt
Is a specialized accounting journal and it is
referred to as the main entry book used in an
accounting system to keep track of the sales of
items when cash is received by crediting sales
and debiting cash and transactions related to
receipt.

Guest Folio is considered as the master bill in


the hotel which is also known as Guest
Account Card. It contains all transaction of both
cash and credit occurred by each resident
guests

Logbook
Is a record of important events in the
management, operation, and navigation of a
ship, and must be filled at least daily. A proper
hand over of shift is required to ensure smooth
running of the front office shift.

Key Card
A reusable RFID (Radio-Frequency
Identification) chip based access card provided
for every guest arriving at the hotel. The
information is registered into the RFID tag
through a hardware connected to the Front
Office (FO) by which the card gets activated.
