SECTION 1: SHORT ESSAY (40 points)

Some practices in communication that can cause miscommunication or bad first impressions in my first
meeting/presentation with my potential client are impolite clothing, late appointment, unclear
communication language, no eye contact... First, the dress is not suitable for the communication situation
in the first meeting with the potential client, making the customer feel dissatisfied. When we put on a
sloppy, unprofessional outfit, it will also make us feel self-conscious, guilty, and afraid to communicate,
not confident in presenting the issues we are assigned. That leads to low work efficiency. Second, being
late will be the next cause. Any excuse for being late, no matter how reasonable, still destroys a good
impression of you with the client because it shows disrespect to the client. In addition, avoiding eye
contact will also reduce your confidence in negotiations or look down, glare, or roll your eyes while a
client is talking to you about their work. It will also give you a bad image in the eyes of customers.
Finally, using too much body language makes the client feel uncomfortable. For example, shaking hands
too fast, too strong, or too weak also makes the client feel that you are not friendly. In particular, there is a
case where a shy handshake also makes the client think that they have a problem that is not pleasing to
you.

SECTION 2: WRITING A BUSINESS MESSAGE (60 points)

You are a member of IU Youth Union, and your team is planning to join the charity program called
“SAVE PEOPLE” on Dec 1, 2021. Your task’ responsibilities are going to help the medical care teams in
supporting Covid-19 patients within Thu Duc district. Therefore, you have taken the job of ordering
protective clothing in order to protect the health and safety of the whole team. You are looking for
disposable coveralls in two colors Blue and White in three sizes S, M, L. For each color and each size, you
would like to order 200 suites. Besides, you also need to buy face masks, gloves and protective disposable
face shield. The quantity for each is 500 units. All products need to be delivered to IU campus one week
before the event date.

Your task: Write an email to Mr. Viet Le, a sale executive of VL Company, at vietle@baohoyte.com.vn
to ask for the quotation and other relevant information (transportation costs, discount policy, ordering
times, extra charges, etc.). Because later you will need to propose the plan to the Finance Department and
get their approval for the expenditure.
