Assessment |BSBSUS501

On average, the company completes 1,980 hours of cleaning across Melbourne in a week.
This amount fluctuates seasonally, with a peak from September to mid-December and a
low period in January. Last financial year, the company’s revenue was approx. $1,000,000.
The company leases an office building, which has facilities for the 6-office staff. The lease
costs $21,000 per annum plus GST. The company also pays for utilities. The company
provides all cleaning products and equipment.

Continuous Improvement

The management of Tip Top Cleaning is keen to improve their service to internal and
external customers.

Current scenario

The management team is excited by the prospect of the boom in the industry, but also
cautious because they understand that they need to be better prepared to handle the
demand and meet the requirements of internal and external customers. They know that a
boom in the industry will also mean an increase in competition. Therefore, there is a need
to differentiate their services and products in order to achieve their business objectives.

One of the many ideas for differentiation that the company’s management has explored is
to introduce environmentally friendly systems, such as:
• Chemical free cleaning products or environmentally friendly chemicals
• Steam cleaning
• Reusable microfiber cleaning cloths
• Water and energy efficient cleaning equipment
• Biodegradable products
• Recycling programs, such as: o Cardboard recycling o White office paper recycling o
Co-mingle recycling
o Environmentally friendly liquid waste treatments

One of the objectives of the company as stated in the business plan, is to

develop an environmentally sustainable business, which uses green products. However,
the company does not have current capabilities or programs to launch environmentally
friendly products and services. The company also does not have suitable sustainability
policies or procedures.

Therefore, the CEO would like to develop workplace policy and procedures for
sustainability.

Part B: Implement strategies for continuous improvement in resource efficiency

Scenario

The CEO is satisfied with the implementation plan you have developed and implemented.
Now he/she has asked you to implement strategies for continuous improvement in
resource efficiency.

The CEO has briefed you about the requirement to be prepared to handle the demand and
meet the requirements of internal and external customers in the COVID 19 situation, to
meet the requirements of the increase in demand for services, as well as increased
competition from other companies.

Some of the environmentally friendly systems they would like to introduce are:

• Chemical free cleaning products or environmentally friendly chemicals

• Steam cleaning
• Reusable microfiber cleaning cloths
• Water and energy efficient cleaning equipment
• Biodegradable products
• Recycling programs, such as: o Cardboard recycling o White office paper recycling o
Co-mingle recycling
o Environmentally friendly liquid waste treatments

The CEO had recently asked an environmental consultancy to investigate their current
resource usage and provide a high level report.

The following is an extract of an audit report of Tip Top Cleaning’s services by a

Sustainability Consultancy, which shows their findings.

Cleaning product

• Cleaning products used for services contain a range of hazardous chemicals including
carcinogens, corrosives and Volatile Organic Compounds (VOCs), which are harmful to
human health and the environment.
• Cleaning products are disposed into sewer systems, which can contaminate local
freshwater supplies, negatively affecting soil and aquatic ecosystems.

Recommendation- Ensure cleaning products are used in correct doses, do not

contain potentially hazardous ingredients and are easily biodegradable.

Version: 3.0 Gen Institute Pty Ltd © Page 54 of 72

Assessment |BSBSUS501

Packaging

• Packaging utilises resources and generates environmental impacts during its production
and disposal. If not disposed of correctly, packaging can create pollution problems,
particularly if it contains toxic substances.

Recommendation- Purchase cleaning products in quantities that minimise the

amount of packaging required. Ensure packaging contains no toxic substances.
Ensure processes to re- use or recycle packaging materials.

Cleaning equipment

• Equipment used in the provision of cleaning services utilises resources (including water
and energy) and has the potential to generate unnecessary amounts of waste.

Recommendation- Develop initiatives to use cleaning equipment that achieve

reduced environmental impact (e.g. equipment with increased energy or water
efficiency).

Resource use and emissions

• The cleaning process generates a range of environmental impacts among which are the
use of resources such as water and energy, and poor indoor air quality of the spaces
that are cleaned.

Recommendation- Use cleaning techniques (e.g. steaming, using microfiber

cloths) that minimise the amount of cleaning products, water and electricity
used and reduce the impact of cleaning on indoor air quality.

Management of waste

• The cleaning process generates significant waste including hazardous chemicals,

containers, worn equipment and packaging materials.

Recommendation- Ensure waste reduction policies (e.g. recycling policies).

Ensure procedures and systems are in place for management and safe disposal
of waste and hazardous chemicals used in the cleaning process.

7
to support the sustainability program.

5
to make our operations more sustainable.
The Company rewards and recognises our efforts in contributing to
5
sustainability.

3. Informal feedback received from staff

• We’ve never done things that way before, and everything has worked just fine. You
aren’t telling us the real reason for the changes, and until you do we will just keep
doing what we’ve been doing.

• I have been cleaning for more than twenty years and see no reason to try anything
new. After all, I’ve been using this combination for twenty years, and I’m as healthy as
a horse.

• I know that powerful cleaning products have dark colours and strong fragrances. These
new products with no added dyes or fragrances simply can’t and won’t clean.

Updates by Managers

• The HR Manager reported the results of the staff survey, which shows several gaps in
the understanding of the sustainability initiative on the part of the staff.
• This could be explained by the fact, that due to the COVID 19 lockdown situation, we
have been working remotely and cleaning teams are organised and rosters are
conveyed to teams online.
• We have been very busy as we are so much work coming in that our priority had
changed, that we haven’t had the time to conduct the face-to-face workshops, as
planned.
• We need to reschedule these workshops, and if possible conduct the awareness
campaign using other means.
• The Finance and Administration Manager reported that the Good Environmental
Choice Australia (GECA) certification application was not made yet, as only 45% of
the target for introducing green products has been achieved.
• The lockdown has brought a lot of supply issues, especially for materials imported
overseas.
• Moreover, with our current battle against the Corona virus, it’s not possible to avoid
using chemicals as the most effective cleaning and disinfecting products are alcohol
or chlorine-based (bleach type).
• Alternate ways of cleaning safely and effectively need to be considered.

• The Operations Manager (you, the student) reported that the targets for reducing
landfill waste by recycling waste items or using re-usable items have not been
achieved, because the use of disposable gloves, masks, wipes, face shields, etc. has
increased significantly.
• These PPE items cannot be recycled.

Task

1. Prepare a progress report for the sustainability implementation project after reviewing
and analysing the following:

• Extract of the staff survey results and informal feedback
• Extract of the minutes of the manager’s meeting,

In your report, you must comment on the following:

• progress or lack of progress in achieving the planned actions and the possible
reasons
• at least two trends or staff attitudes that may require remedial action
• suggest at least one measure for change to continuously improve the performance of
the three strategies/actions that have not achieved required progress.

Your report must be no longer than 400 words, and should be written in a formal report
style, with findings and analysis, conclusions and recommendations.

2. Modify the Sustainability Action Plan you have previously prepared to include the
changes / improvements you are suggesting. You must modify only the section of the
implementation plan provided to you in the scenario (the revised Sustainability
Implementation Plan must be based on the template in Appendix B).

3. Prepare a covering email to the CEO (your assessor) and the senior managers,
summarising the findings and recommendations, as well as the proposed modifications
to the sustainability action plan.

Attach the report and the modified sustainability action plan (only the extract given in
the scenario) to your email and submit it to your assessor at an email address specified
