Introduction
We live in an era of information overload. We are bombarded with media,
technology, entertainment, and notifications every day. It seems there are hundreds of
people and things competing for your attention at any given time. It’s no wonder that in
the last few years, our attention spans have become shorter, decreasing our ability to
focus.
Our time is valuable. Not being able to focus can have a negative effect on how
successful we are at work and in our personal lives. Productivity requires intention and
strategy to help make our time work for us! Developing a skill such as the ability to focus
can be done through training and practice.
Let’s begin by examining things known as time killers that make us less productive.
We will discuss tips and techniques to help improve your focus. Then let’s create a plan
geared specifically for you, that will get you started on improving your productivity now!

Identify Focus Killers
Time killers are activities that distract us from what we really need to do. They
don’t contribute to helping us achieve our goals. In an article dedicated to the topic of
Focus, James Clear stated, “Focus can only occur when we have said yes to one option
and no to all other options.”1
Time killing activities are “noise”. They are distractions that kill our ability to focus.
Laser focus requires you to limit yourself as much as possible while you are working. The
key to remaining focused is to choose one task to do and save the rest for later.
Anything that is not essential for completing that task is a distraction.
To help you get started on your journey toward maximizing productivity, let’s
identify those things that are distracting you from completing your work.
Tomorrow morning when you start work, try making a list of every time you stop
what you are currently working on in order to do something else, then come back to
your work. Keep a tally.
Once these distractions are identified and written down it will be easier to create
boundaries that prevent you from becoming distracted. Here are a few examples of the
most common distractions and how they affect our ability to stay focused.

Our mobile devices have become another appendage to our bodies. It is with you
when you wake up, while you are driving, in meetings, at dinner, and by your bed at
night. Some people find it difficult to be away from their phones, even for a few
minutes. Constant notifications from apps and texts can quickly distract you, causing a
delay in completing the task at hand.
To help us be more aware of our phone usage, some mobile devices (like the
iPhone) will track how many times you pick up your phone in a day. This can be a scary
number to see. Once you are aware of how many times you pick up your phone to check
notifications, you can start making some adjustments.
Multi-Tasking
Some people use multi-tasking as a badge of honor to feel accomplished. That
person may feel that the busier they are, the more things they are getting done. The
truth is we can work on more than one thing at a time, just not as well.
When we focus on one task at a time, we are able to give it our full attention. It
takes time for our brains to switch between tasks which results in time wasted. Focus on
the completion of tasks rather than getting many tasks done quickly.
How often are you multi-tasking? Does multi-tasking help you feel like you’re
accomplishing more?

As consumers, we enjoy viewing the millions of videos and content posted every
day. However, when we are working this is a hindrance to our productivity. The best
way to stop this time killer is to set boundaries for social media.
If available in the app, use the time limit feature to set daily time limits. This
will help you recognize the boundaries you’ve put into place and will alert
you when you have reached your allotted limit.
Utilize the “Do Not Disturb” function, if your phone has it. This will help to
stop notifications for a duration of time, giving you time to complete tasks.

Taking back your time could mean having to turn down invitations from friends or
co-workers. Sometimes it means turning down meeting requests.
Your time and energy are valuable. If you don’t respect it, then other people won’t
either. The best thing to do is be honest with them. Let them know you are working on
an important project and will get in touch with them later.
It can be hard to say no; however, it’s a skill that is necessary when you need to
focus. Find ways to collaborate with others using alternative methods like email, online
conferencing or conference calls in place of traditional meetings.
Do you have a timewaster not listed here? Make sure you jot those down in your
plan so that you are mindful of them. Let’s create barriers around those distractions to

diseases that can cause you to miss out on work. If you can’t make it to the gym, try
taking the stairs at work. Aim for 30 minutes a day at least 5 times a week.
Spend some time outdoors. Being in nature helps us bring our mind and body back
into balance. Take a few minutes out of your schedule to take a walk outside. Look at
the trees, listen to some water flowing, or just take in some sun.
Try meditation. Mindfulness is a great practice to help clear the mind of clutter and
be in the present moment. There are apps like Headspace and Calm that can help you
practice mindfulness in under 10 minutes a day.
Take Breaks
Taking breaks is also a part of self-care. Our mind is a muscle that can get tired.
Sometimes, taking a short break from a task helps us to become rejuvenated so that we
can come back with a fresh perspective.
We guilt ourselves into thinking that the harder we work without breaks the more
projects we can get done efficiently. However, we are cheating ourselves and our work

by not being good to our bodies. Working without taking breaks leads to a decrease in
performance. Take a ten-minute break every hour to bring some clarity to your mind.

Focus Maximizers
The burnout is real. We can come up with a lot of great ideas for being more
productive, but it won’t be helpful if you get burned out and quit. Here are some helpful
hints to help you manage your time and hopefully decrease your chances of burnout.
Deep Work
Cal Newport describes Deep Work as “the ability to focus without distraction on a
cognitively demanding task”6. If you have an important task or project at work that
requires a lot of brain power, set aside a few hours on your calendar to work on only
that task.

During this time, shut down your email applications and put your phone on Do Not
Disturb. In fact, put your phone in a safe place as far away from your reach as possible.
Minimize all possible interruptions during this time.
Set up intervals during your day to check email outside of this period so you will be
able to solely focus on one task.

Set Deadlines
Although setting deadlines may sound stressful, they are helpful in setting healthy
boundaries. We tend to be more productive and focused when there is a time limit.
When there is an on-going project, try to make some short-term deadlines to work
towards.
Break large goals into smaller projects. For instance, if you want to write a book, set
a smaller goal to write the introduction paragraph this weekend, and next weekend
write 10 pages for Chapter 1. It is rewarding when you feel you have completed a goal
on time!

● Asana: This is a great project management tool for individuals and businesses.
You can plan and organize your work or choose a plan that will help you
collaborate with a team.
● Rescue Time: This app helps track time spent on different applications to give
you a sense of how you are spending your time. The paid version will even help
to block distracting websites while you are working.

Creating a Focus Plan
Now let’s create an action plan to improve focus and productivity. Research says it
takes 4 weeks to develop a new habit.
Let’s break down our plan into four weeks.
Week 1:
Find out how you are currently spending your time. Productivity apps such
as RescueTime will send you a report based on your activity. Or just keep a
list. This will help you identify those time-killers.
Find the screen time usage stats on your phone. See what apps you use the

Review results from RescueTime or your results from screen time monitored
on your phone.
Start setting some goals. Write down some daily, weekly, monthly, and
yearly goals.

Add dates to those goals and put them on your calendar. Try using Google
Set one goal you want to accomplish over the next 3 weeks.
Week 3:
At the end of each workday, make a list of 3-5 things you want to do the
next day. These should be only the most important goals that you need to
accomplish.
Find a helpful project planner notebook or try Asana or other project
management app.
Practice some self-care. Plan your meals for the week and don’t forget to
schedule some time for exercise.
Week 4:
Review your calendar. Are there items that are essential? Are there things

Final Words
Focusing for success takes practice and effort. The steps outlined here will help you
find ways to minimize those distractions that may be holding you back from focusing on
what is most important.

The Mindset of Crisis Management:
Caring for Yourself and Others During Times of Crisis.
Introduction
As the worldwide pandemic started and our world went into lockdown, our family
found ourselves at home together working and going to school. It was a time of many
mixed emotions. It was stressful and chaotic but also comforting to hope that we would
be safe at home together. We were grateful to have the ability to stay home and still work
but worried about those throughout the world who had lost their jobs and businesses. We
were in awe over the heroic actions of health care workers and first responders but felt
guilty that we weren’t doing more to help.
There were also many new things that we needed to deal with in our new daily lives -
from finding workable office spaces for the adults to communicating with teachers and
other professionals who had been helping our children. Our independent kids who were
always amazing students at school suddenly couldn’t do schoolwork at home unless a
parent was sitting right next to them the entire time. Our kids had speech therapy
sessions, class meetings, orthodontist appointments and piano lessons online while the
parents were left to coordinate the scheduling and technologies of all of these new things
in addition to working, helping kids with schoolwork and doing all of the regular things
required to run the household.
All of the changes were stressful and emotional for each of us and they seemed to
affect us all in different ways. This book was written to try to give some perspective and
some ideas in how to deal with the crises that we each have in our lives - whether it’s the
ongoing worldwide pandemic or a personal crisis in our individual lives or something in
between.
