Melissa…
Thank you for the context. I found it helpful.
Unless Patrick has any objections, the brochure and letter seem fine to me.
On or around June 15th, would you send us the procedures for uploading the excel roster to your portal.
Appreciatively,
‐ David

Subject: RE: OCM~ 2021 Residence Hall Linen Program
Good morning David and Patrick,
First, thank you so much for getting back to me quickly and updating me on the correct person to partner
with. I know so many campuses as well as OCM have had to deal with many changes on all levels.
I appreciate all your support and if there are any questions at all, please do not hesitate to call or email me, I
am more than happy to go further into details and the process surrounding the fundraising programs.
The Linen Program is targeted to the new residents and transfer students that will be living on campus this
coming fall. OCM puts together all the marketing, attached is the draft of the letter and the brochure. Our
team will mail this out to the permanent home mailing addresses of all new residents (first year & transfer
students) that will be living on campus this coming fall. This service offers the families and students the
opportunity to purchase bed linens and other essentials for their residence hall room. OCM assumes all the
1
cost for printing, mailing the offer out and processing all orders. All the orders are shipped to the students
home address. Residential Housing Association receives 10% of the net sales.
The address file you all send over to us via an excel spreadsheet in uploaded into the portal system in which
our mail service team utilizes to send your offer out. The file is located in secure area in which this list is used
ONLY for the intended mailing. We do not share, sell or reuse any address file. We take this very serious and
all of this is confidential and strictly used for the endorsed program we partner with you all on.
If you both want to review the brochure and let me know your thoughts and if we are good to begin printing
both attachments and I will keep an eye out for the address file around June 15th. Many of our partners
typically send what they have now and then we request updates files every few weeks as I know the list
changes and gets updated especially during these times and so many moving pieces.
I look forward to working with you and ensuring we have a great year ahead and offer your families and
students the opportunity to take part in these convenient services while also raising funds for your
organization, programming and so forth.
Thank you and have a great day ahead!
Sincerely
Melissa

Melissa…
Thank you for reaching out to us.
We have had a significant change in our team roster. Patrick McFall is serving as our Academic & Leadership
Coordinator. His role is to work directly with RHA and the board. He should be your point of contact. Patrick has been
in this role for 1 year and we are both learning what is needed. We are both unlikely to know how the Residential
Life/OCM relationship has worked in the past. However, we are willing to learn – we will just likely need you all to help
catch us up and provide context. You may always reach out to me if there is ever concern about communication,
responsiveness, or general connection with our team.
2
I have copied Patrick on this response for awareness, but also networked communication about your needs. What
would be helpful to Patrick and I given the changes we mentioned:
I assume for assistance with direct marketing, there is some development or fundraising percentage that is
provided. Could you tell me more about the arrangement we have with OCM? Is there a signed agreement?
It would also help me to understand how the information we provide is used, stored, and shared. If that is in the
document referenced above that’s fine, if not I would appreciate understanding that a bit more before we hand
over customer information.
With regard to your requests:
We should have a roster available now with permanent home addresses for mailers, however, we have only
confirmed 50% of our available beds at this time given changing restrictions. We expect to have those
assignments fully filled by June 15 when we hear how the State of California guidelines are presented.
Your draft letter looks fine.
Hope this helps and again, thank you for reaching out to us.
Respectfully,
David

Subject: OCM~ 2021 Residence Hall Linen Program
Importance: High
Good afternoon David,
I hope you all are well on your end! I am hoping you can help me connect with the right person. OCM
partners with the Residential Housing Association on campus to offer the Residence Hall Linens Program. I
have been trying to connect with several folks I have worked with in the past but not sure if they are still on
campus and in the same positions. I have tried reaching Jonathan Gomez and Jartavious Small with no
luck. We are slightly behind in getting the attached letter approved and the address file to launch the Linen
Program out to families to take part in this service if interested.
Our team here has gone ahead and prepared your 2021 Residence Hall Linen letter. Are you able to review
and let me know if there are any revisions or corrections that need to be made or direct me to the appropriate
folks to partner with?
We are using the same letter as 2020, if that helps.
3
Also are you able to tell me when you might be able to have an initial address file that contains the permanent
home mailing addresses of all new residents (first year & transfer students) that will be living on campus this
fall? We know most of our partners will not have a complete list until a later date, which is not a problem as
we will request updated lists every few weeks.
I very much look forward to hearing back soon.
Sincerely
Melissa
