I. ESTABLISH QUORUM - Elly Draper Pendergast (Elly) calls the meeting to order and establishes a
quorum. 4 of 5 trustees present. 1:21 PM 11/27/2020.
II. APPOINT CHAIR - Kim Draper (Kim) appoints Elly as chair. Paul Graycar (Paul) seconds. None
opposed - so moved.
III. APPOINT SECRETARY - Elly appoints Adrienne Draper Olson (Adrienne) as secretary. Lee
Pendergast Gagen (Lee) seconds. None opposed - so moved. UNTIL 1:45 PM WHEN TRANSFERRED
TO ABIGAIL DRAPER (Abby).
Elly appoints Abby as the official OUR HOUSE TRUST Secretary going forward. Barbara Draper
Millett (Barb) seconds. None opposed - so moved.
IV. REVIEW & APPROVE 1/19/2020 Minutes - Elly moves to approve 1/19/2020 minutes. Paul
seconds. None opposed - so moved.
V. REVIEW & APPROVE 8/22/2020 Minutes - Elly moves to approve 8/22/2020 minutes. Paul
seconds. None opposed - so moved.
VI. 2020 & 2021 MAINTENANCE: Elly and Kim reports
WORK COMPLETED IN 2020
West Side - facia boards replaced, reroofed west porch, redid west steps to deck
North Side – able to reroof the back bathroom “crick”

South Side - rebuilt the front stairs facing the south shore. Letting the pressure treated dry out
before painting. Replaced the big pole with a cedar log from McCurdy’s yard. Found a lot of rot in
the sills that went around the porch and replaced them with pressure treated wood. You can see
some support brackets under Bear’s porch.
WORK TO DO IN 2021
EAST SIDE:
The house was reshangled 15 years ago by Norman Stone and Richard’s opinion it does not need
to be reshinged, but windows do. Richard will take a closer look - looks like about 8 windows that
need to be replaced. Richard will replace window sashes/casings with Azac plastic material to
eliminate painting in the future. Currently need to replace 2 doubles in the master, maybe one in
Kenny & Maloo’s room, dining room all windows need to be replaced; 2 outside windows to open
and 2 middle permanently closed. Approximately costs for material/ labor - $1300-1500 per
window, so $8,500-$9,000 to do all the windows on the east side.
Replace the fascia board under Bear’s windows with Azac plastic material to avoid future painting.
NORTH SIDE:
Richard will review what windows/sashes/casings need to be replaced.
Richard will check for possible leaks across the addition along the drip line between roof/outside
wall.
Mother’s Porch; Kim/David will draw up a bench design to build at the end of porch facing the
yard.
Elly will ask Rip hastings (SIA member) what documents are necessary to present to SIA for
approval from the SIA/Board of Overseers to extend porch
SOUTH SIDE:
2nd floor; Epoxy gully, have Richard price out replacing all windows over Gully with plastic
material. 1st Floor; replace bannister sections where needed.
LATTICE
: Think about lattice options as we need to replace lattice under the stairs. Make, color and layout
can all be changed based on what family agrees on.
WEATHERVANE: reattach the metal wind directional
HIGH PRIORITY:
(Richard currently doing) Bear’s porch outside Dining Room. Richard said we won't be able to
walk on it in 2 years. There is only one sill when there should be two in order to carry the weight.
Need to replace cedars posts that are currently supporting the porch from underneath. Richard

will replace rotten floor joists and secure new floor boards to joists rather than use one long floor
board (less expensive).

INTERIOR: Fix floor board outside of nursery.
ELECTRICAL:
5+ years ago an electrician updated for “safety”: installed 2 GF5 exterior floor plugs and wall
GF5’s in Kitchen and 2nd floor bathrooms.
Richard will bring out an electrician to review/prepare a plan to bring the house up to current
Maine codes while considering the increased usage of personal electronic devices. Might need to
add a subpanel to the Circuit breaker Panel. Replace knob and tube under house and replace old
wiring where needed. (pool room light above pool table sparkling)
Consider adding more light plugs? Elly would love one near the kitchen table.

DISCUSSION HOW TO PAY FOR 2021 MAINTENANCE NEEDS:
Adrienne raised the point that the new way maintenance has been done we should go big rather
than piecemeal little projects - we may get overlooked. Kim suggests we get a quote on everything
and borrow money from Bear to do it all and then pay his estate back. Elly worries Bear has given
so much, she doesn’t want to continue to use him. Continued on page 4.
Continued from page 3. Adrienne then suggested a home loan as interest rates are so low.
Katie suggested we open up the search and see if there are other contractors we could use. Kim
suggested her master electrician friend, but we worry about needing permits/licenses/etc. for
insurance purposes. Maybe he can do mother’s porch and an outdoor shower. Kim suggests if we
order the windows we could paint them ourselves to save a little money.

ACTION ITEMS:
1. Adrienne will work with Mark Olson to look into Home Loan to pay for 2021 Maintenance
Expenses.
2. Richard Hallinan (Contractor) will take a look at all of the windows and give us a prioritized
list for replacement/work to be done.
3. Elly will ask Richard Hallinan to give us an estimate for ALL work that needs to be done on the
entire house
4. Abby to figure out how to take a poll on lattice options.

VII. 2020 & 2021 HOUSEKEEPING
Reviewed task items from August 2020 Meeting
Katie loves the new idea of stripping the beds, but it makes them sad that the beds aren’t made.
Smoke alarm and fire extinguishers - Trip says the ladders have been checked, fire extinguishers
were good and the alarms were all full with batteries.
Paul was looking at the meeting minutes and wondered where the money they sent to Elly for the
rocking chairs (it was for Bear’s 89th birthday in 2015). Barb can also look at the statements.

ACTION ITEMS:
1. All family members will strip the beds upon their departure, but make sure to lay the blanket
and pillows so the bed still looks nice.
2. Elly to track down money for chairs that Paul and Bernadette sent for Bear’s 89th birthday in
2015.
3. Trip to add carbon monoxide detectors in the kitchen, dining room and mother’s room.
4. Barbara to change addresses for all billing statements to hers so Elly doesn’t have to forward
them.
5. Adrienne will purchase rocking chairs and carpets in the spring.
6. Barbara will purchase a new freezer to put under the counter in the spring.

VIII. 2020 BUDGET REVIEW
Reviewed the maintenance budget allocated as we were paying for 2019 work completed and
decided to expand the budget for 2020 to support large necessary projects. We expect another
sewer bill to close out the year to bring actuals up to budgeted amounts.
Due to direct deposit of dividends, we will see some overpayments for checks written back to the
Graycars.
Paul asked if we have written off the appropriate portion of the taxes related to the rental. Barbara
confirmed we had.
Kim requested an EOY summary of the expenses to put up on the website – good discussion -
Barbara agreed to look at putting that together for 2020.

IX. 2021 BUDGET REVIEW
1. Entertainment - KEEP AT $900. Agreed to go for the most basic cable package so people can
still watch news, no need to upgrade to a sports package for Bear.
2. Fees & Charges - KEEP AT $800.
3. Home - Expenses - KEEP AT $1000. Elly asked how we spend that money, Barb answered it
goes to reimburse the family for purchases of toilet paper and other items for the house.
4. Home - Housekeeping - ADDED LINE ITEM IN 2020 TO BUDGET. Set to $1,300 (for purchasing
new pillows, rugs, rocking chairs, etc.)
5. Home - Insurance - KEEP AT $3000.
6. Home - Life Insurance - REMOVED LINE ITEM IN 2020. Copeland Mitchell Draper Jr. (Bear) will
be paying for this expense moving forward, all trustees agreed the line item should be
removed from the trust’s budget.
7. Maintenance - DROP TO $5000.
8. Taxes - KEEP AT $14000.
9. Utilities - Electric - has come down a little bit. KEEP AT $800.
10. Utilities - Propane - Set at $750 in 2020, only spent $250. Trustees agreed we should drop the
amount, Adrienne suggests $400 (three big tanks and one small tank). SET TO $400.
11. Utilities - Sewer - KEEP AT $850.
12. Utilities - Water - Kim thinks water should go up as the house had fewer people in it in 2020,
Elly thinks it should go down as we have new, low-flow toilets. KEEP AT $700.
13. Special Projects - Housekeeping Expenses was added as a line item in 2020, so lowered the
amount. SET TO $500.
X. Elly moves to approve the budget. Kim Draper seconds. None opposed - so moved.

XI. 2021 SUMMER DATES
Draper/Munro - June 14 to June 28 (2 weeks) + August 30 to September 6 (1 week)
Maryland Drapers - June 28 to July 19 (3 weeks)
Graycars - July 19 to August 9 (3 weeks)
