SCOPE OF WORK

AIM & OBJECTIVE:- The scope of work of E&M Manpower Agency is to maintain at its
best, the General Environment of the entire property. In other words, the Environment
created by the Architect, Interior designer consultants & owners, in a set location to be
maintained in its original intent by the Agency. The scope shall include ensuring zero
down time w.r.t E&M services, desired indoor air quality & uninterrupted with best in
class services.

The areas that falls under its purview, the maintenance of which becomes the
responsibility of the agency & are as following-

The building/s as designed on set property both inside & outside from the Basement to
Terrace, Security Gates & the areas in the immediate vicinity of the perimeters within
the building premises that affect the general environment of the property.

The AIM therefore is to provide:

The highest level of workmanship consisting of :


 Maintenance of product quality
 Prompt & courteous service related to E&M works
 Best quality tools & equipment
 Both Mechanized & Manual mode of cleaning techniques to be adopted as
per requirements
 Personnel deployed by the Service Provider at the Lava International Ltd.
Premises shall carry out the following work on a regular basis.
 To achieve excellence in preventive maintenance programs at site with
highest standards and ensure Repair & Maintenance carried out without
effecting client business operations.
 Assist the Tech Sup in managing M&E scope of services to ensure upkeep of
all the systems and equipment.

Duties /Responsibilities of BMS Operator/MST/Plumber


• Control, assigning of new access card and report fetching as desired by LAVA needs
to be done.
• Monitoring access control system on periodic basis.
• Monitoring of all LV system (CCTV/Fire alarm/Public address/Access control etc.)
as per requirements
• Ensure that all CCTV cameras are working properly & also monitoring the footage
as per LAVA’s process & requirement.
• Maintaining all Log & Complaint Registers.
• Controlling and Monitoring fire fighting system.
• Effectively handling the Building Management System, as applicable.
• Round the clock observation of all the electro-mechanical system
integrated with the BMS System
• Monitoring the alarm calls and rectifying the fault conditions.
• Modify the system parameter as per the complaints / requirements logged in
register.
• Provide data to prepare and update the database for problem escalation
procedures.
• Collect and provide data for daily, monthly & weekly Reports of BMS related
system.
• Coordinate with the AMC vendor (s) for PPMs. Also, during PPM, active
involvement should be there & a proper coordination with the Agency & LAVA to
be ensured. He will be also responsible for smooth carrying out of PPMs as per
norms & industry standards.
• Coordinate and monitor the break down emergency of all E&M systems.
• AC temperature & R-H sheet of Server rooms (every 02 hours) & other places as
per requirements.
• Lux level/TDS/PH measurements through designated instruments as required
needs to be monitored and ensured
• Weekly checking of Fire Extinguishers.
• Periodic monitoring of AHU Rooms w.r.t indoor air conditions
• Managing the reports of Access Control System, CCTV, Canteen management and
Contractual Staff Attendance Machine.
• All cleaning schedules (daily/weekly/monthly) needs to be maintained for all E&M
Equipment.
• HT Meter & Diesel consumption chart needs to be developed on daily basis.
Record performance of HT and LT supply.
• Ensure switching on & off of all Lights & AC’s on timely manner as per
requirements.
• To ensure Daily, Weekly, Monthly, Quarterly, Half Yearly & Yearly records
are prepared and sent to The ADMIN LAVA for all M&E related activities.
• All works shall be done to the satisfaction of LAVA standards.
• Maintain the power factor of capacitor panel as per desired norms or
manufacturers specifications.
• Ensuring sufficient inventory of electro-mechanical consumables like light
fixtures/MCBs/cables/switch/sockets/plumbing & sanitary items like health
faucet/wash basin taps etc.
• Ensure smooth functioning of all the electro-mechanical system installed in
the premises.
• Record operation and performance parameters of D.G. Sets.
• Operation and Maintenance of D.G. set, keeping track of spares required.
• Lubrication management for all the equipment needs to be maintained.
• Maintain calibration records for all the instruments.
• Keeping track of the plumbing layout and inventory of sanitary fixtures &
faucets.
• Any task related to rain water channelization/drainage/water supply/water
distribution network/pumps/pipes etc. needs to be checked & rectified by
plumber.
• Urinal/wash basin floor trap blockage removal / cleaning needs to be done
by plumber. Any plumbing related issue of water cooler needs to be rectified.
• New Installation of plumbing & sanitary fixtures/pipes etc. needs to be done
by plumber.
• Tank cleaning process to be done in presence of E&M staffs.
• Follow safety guidelines during execution of any tasks.
• Any ADHOC or miscellaneous work as assigned by LAVA or as may be required to
ensure stipulated working on all E&M parameters need to be done as per
requirements without compromising the operational activities.
• Any value addition activities noticed w.r.t E & M works needs to be communicated
with LAVA.
• In case of any exigency/emergency, immediate communication to LAVA needs to
be ensured & proper due-diligent & corrective measures needs to be taken.

Miscellaneous Scope of work

 Rewards & Recognition (R&R) of staffs to be conducted on quarterly basis & suitable
reward to be provided for various categories like workmanship/behavioral
traits/prompt service etc.
 Required Tools & Tackles and instruments need to be provided by the agency
 All the staff shall be in their designated uniform which should be neat & crease free.
 Training manual/ calendar for entire year to be provided by the Agency to LAVA post
award of work. Proper grooming of deployed staffs by agency to be done on periodic
basis. All reports needs to be shared with LAVA.
 Personal Protective Equipment like Safety Boots/Gloves/Mask/Helmet- 1 no. each
would be required in the premises to ensure proper safety measures during work.
 All statutory compliances to be strictly adhered to by the agency.
 The agency shall ensure that the complete manpower is present in any given point of
time at Office & 2 or 3 Relievers to be earmarked to cater to absent staffs. Also, I cards to
be carried by them on daily basis which should be linked to bio metric system for
registering attendance.
 Senior Official will visit the site once in the month (minimum) and will share the
monthly report /feedback with LAVA. Night patrolling to be done at periodic intervals
(minimum once per fortnight)
 Performance of Staff (evaluated on various parameters) to be monitored by LAVA on
monthly basis & shared with the Agency for improvement (if any).
