Annexure 1: Details

1. Application Process

a. An employee who is interested in undergoing Post-graduation in India as specified under the policy
shall make an application in a prescribed format (Check the application form) to his/her Manager.

b. A copy of the prospectus giving details of the studies/training viz. subject fees, duration, date of
commencement & other relevant data should be attached to the application (Check the application
form).

c. The manager of the applicant along with the HR Business Partner (HRBP)shall verify the application
with applicable criteria and business relevance which could be:

i. What has been the tenure and performance record of the applicant

ii. Should have served minimum 3 years of continuous employment

iii. Should have been rated A Star/A Plus during last 2 appraisal cycles

iv. Will the education assistance enable the employee to do the current job better

v. Will the education assistance enable the employee to do a different job (subject to
corporate need / requirement of such education / skill which shall have otherwise been
filled by outside recruitment and/or such skills are in constant demand / short supply).

d. If the application meets the above criteria, the HRBP shall forward the same to the Head of
Department (HOD) for approval.

e. The HRBP, post HOD approval, shall send the application to the Chief Talent Officer (CTO).

f. The application for post graduate assistance shall be discussed in a panel consisting of following
members –

i. Chief Talent Officer

ii. EC Sponsor from the Applicant’s area

The Panel shall decide on the candidature of an applicant requesting for Post-Graduation Assistance.
This may involve a meeting with the applicant.

g. On receipt of the final approval for the sponsorship under Post-Graduation Assistance policy, the
concerned HRBP shall give necessary instructions to the Payroll team/Performance & Rewards team
for making the payment of Education Assistance to the employee sponsored.

h. Respective HRBP will update employee’s study leave in the system as ‘Study Leave (50%)’on a
monthly basis.

i. Maintain all relevant details in employee’s personal file.

j. An employee can opt for only one course at a time. The number of courses availed under Learning &
Development policy cannot exceed 3, over a span of 10 years.

k. Acceptance / rejection of the application shall be totally at the discretion of the Management and
the decision shall be binding on the employee. The Management shall not clarify / communicate
reasons for such selection / rejection.

l. On receipt of the complete documents such as application form, supporting documents and requisite
approvals, the Performance & Rewards team and Payroll department shall release the payment
towards Education Assistance to the employees sponsored.

2. Educational Assistance

a. The assistance provided by the organization would be up to 100% (Tuition expenses as listed on the
university / institute website or as demanded by the institute) and 50% of the employee’s gross
monthly salary during the tenure of the program.

b. Employee can be allowed a leave up to maximum of 2 years. This may be extended by a maximum of
6 months or more based on the nature of the course and the discretion of the management.

c. No reimbursement shall be due and payable if an employee fails to clear any of his/her qualifying
examination in first attempt and thereby prolonging his/her period of education. In such an event
the committee appointed shall use its judgment based on the circumstances prevailing whether to
terminate or continue the assistance.

d. The financial assistance by the Company (towards tuition expenses and 50% monthly salary during
course) shall be considered as a deemed outstanding on the incumbent until he/she re-joins and
serves the Company.

3. Separation

In the event of separation, employee will be required to refund the assistance amount to the
Company as per the below table:

Period Refund Quantum

On or before course completion period 100% of amount reimbursed

12 months after course completion date 100% of amount reimbursed

Within 12 – 24 months from course completion date 50% of amount reimbursed

24 months after course completion date, onwards NIL

In case of the unfortunate demise of an employee while in service, the applicable refund quantum
towards the Post Graduate Education assistance reimbursed, shall be waived off.

4. Compensation & Placement on Re-joining

It shall be the endeavour of the company to ensure the following –

a. The employee is so placed in an assignment / level and on such salary that due
recognition is given to his/her acquired knowledge by way of opportunity to application
of such knowledge – and consequent rewards therefore. However the same shall not be
binding on the management.

b. Employee shall not be at an unfair disadvantage because of his/her being an employee


vis-a-vis new applicants with similar profile including additional qualification / knowledge
as acquired by the employee.

c. Employee may, in short run, have to suffer a disadvantage vis-a-vis his/her colleagues in
the department. In his/her absence, it is quite possible that his/her colleagues may have
got an advantage of promotion by their performance during the study leave of the
employee. However, after his/her joining due to his/her enhanced knowledge which shall
reflect in his/her performance, he/she can expect to catch up with his/her colleagues.

d. Employees shall be granted continuity of service spanning their study leave under this
scheme for the purpose of retiral benefits, promotions.

e. Employee shall not be eligible for any annual increment/ variable pay out for the period
of study leave.

f. In case where the additional qualification acquired is in a discipline / area other than the
current function being performed by the employee, placement to the new function in
line with the additional qualification shall be at the discretion of the management.

g. This shall primarily depend upon work exigencies in his/her current functions, and / or
availability of an opportunity in the desired function / area be-fitting the qualification
acquired. For instance, an engineer on completion of MBA in Finance / Marketing may
not be necessarily placed in Finance/ Marketing Division immediately.

h. No employee shall claim a right for such transfer / placement

For any other university / institute outside the list above, the incumbent needs to take HOD approval
citing the case for requesting assistance. All other steps of finalizing and awarding the Education
Assistance shall remain same as detailed in the policy.
