Communication Plan Template

Introduction: How to Use This Template


A critical step for building strong stakeholder relationships and acceptance for initiatives is the regular
communication of goals, objectives, progress, and expectations with key stakeholders. Timely and meaningful
communication helps to reduce resistance from the stakeholders, and increase perception of the value of changes.

This template must be used in conjunction with the Stakeholder Analysis Tool (Excel) provided as a part of the
Stakeholder Management Blueprint. This template will guide the completion of the Stakeholder Analysis Tool and
content from the tool may be copied into this Communication Plan Template in order to complete it. Further
information may be found in the Stakeholder Management Blueprint in the Exercise sections.

This communication plan template provides a structure for managing ongoing communications between the project
team and relevant stakeholders. Be sure to consider the following factors:
 Budget time for communications. A time budget should allow for time to prepare the communication, deliver
it, and handle questions or other responses after delivery.
 Avoid scheduling communications in competition with one another. Staggered communications delivered
at the right time are more likely to be acknowledged, thereby increasing their impact.

Record the main messages you want to convey, before considering individual stakeholders. This helps maintain
consistency across all messages.

Record the logistics of carrying out the communication plan for each stakeholder.

Definitions:
1. Stakeholder Identify the intended audience for the communications.
2. Message Describe the key messages/content for the communications.
3. Medium Identify the means to create and deliver the communications, e.g. presentation,
one-to-one meeting, email.
4. Timing/frequency Describe the timing (and dates as established) and frequency for each
communication.
5. Owner Identify who is responsible for delivering the communications.
