The Problem
Multiple communication channels

• No dedicated system for meetings, we get Zoom account on adhoc basis for Research.
Other meetings are all on different channels. Most of the times we have to separately
add meeting requests to calendar else it can be missed
• Free Tools : Meetings disconnect, No recordings, have to go to channels like slack etc
for quick chats -
• File Sharing is a big issue
• Multiple versions of the same file is shared over email and creates confusion and
wastes time
• Overall scattered communication results in wasting time and missing out on important
things
The Problem
Data Back Up

• We don’t have a system currently to back up our data.


• With more and more people being remote we need a cloud solution to back up our
laptop data
• Also file sharing is a big concern (internal + External) - External file sharing to client
over platforms like WE TRANSFER is risky and already there were data leak cases in
2020.
• We need Cloud storage + Secure File sharing between each other and the client
• Even our emails need to be backed up and currently are primarily on the laptop
The Problem
Collaboration

• We don’t have full fledge directory on any platform - it is incomplete on Slack and
inaccessible via the intranet
• Collaboration is difficult over multiple tools which don’t work in tandem
• Sharing material externally requires it to be converted in to Word / Excel / PPT / PDF
formats as most clients don’t use Mac based softwares

Office Apps

• Office Apps gives use better control and we don’t need to spend time converting files
in to multiple formats. PPT has many advance features which mimic the Photo editor
tools. Familiarity with tools like excel, word etc also improves the speed and
efficiency of everyone.
• It works in tandem with other office apps
• MS Teams is very good for collaboration - solves the problem for Video conference,
Recording, Single channel for chat, File sharing, File storage, Version control for
Documents and having everything for a project in a single place can save a lot of
time effort and frustrations.

How Office 365 helps
Office Apps

• One Drive also provides 1 TB of storage space per user and can auto upload things
to cloud. Serves as a good data backup + File Sharing tool internal & external
• Even handovers become super simple if all data is on cloud
• Email on Outlook are also stored on cloud and backed up.
• Office 365 also has an Active directory + many other collaboration tools
• MS Teams easily integrates with Miro, Trello and other such tools
• Many of our clients use TEAMS, it becomes easy to share files and meeting
recordings with Share Point.
• MS Exchange can manage calendars and events get auto added with reminders.
How Office 365 helps

• Ubiquitous - One can access all the tools on the Go with their mobile as well
• We get Email client with email accounts for all our employees and save on our own
server cost.
• Access to Office Forms - Useful for research - Surveys

Pros Cons
• SSO + Active Directory • Slight learning curve for tools like Onedrive &
Sharepoint for some (not a major Con)
• Familiarity with office apps • Laptop storage space - Would need additional
space close to 6GB -7 GB (not a major con)
• Full Suite with everything that’s
needed - Robust eco-system

• Cheaper than competitors like (G

• Local Software tools included
• Email client
• Many clients use Office 365
• Mobile friendly
