What I Need to Know
This module encourages you to be familiar with the user interface, saving a
presentation and inserting objects in Microsoft PowerPoint. Various activities are
provided for you to perform to strengthen your knowledge and skills regarding the
topic.
At the end of this module, you are expected to:
1. open and close Microsoft PowerPoint;
2. identify the parts of Microsoft PowerPoint User Interface (UI);
3. save a presentation using different file types; and
4. insert objects to Microsoft PowerPoint.

What’s In
Microsoft publisher is an application software that enables the user to create different
publications. It has wide range of commands that emphasizes on page lay out and design.
Directions: Below are screenshots of different command groups found at the Insert Tab
and Page Design Tab. Write #Learned if it is found at the Insert Tab and
#Gained if it is found at the Page Design Tab.

What’s New
At the present time, variety of Application Software can be used to perform different
tasks. In the previous modules, you have gained the skills in using some of this Application
software.
Directions: Rearrange the letters of the words below to come up with the different outputs
you can create using the given Application software.
What is It
Microsoft PowerPoint is one of the applications that are widely used in this present
time. It is utilized by different people for different purposes. It is an electronic presentation
program that helps people present using a collection of slides. A PowerPoint presentation
is a collection of interrelated slides. It is a presentation tool that supports text, shape,
graphics, pictures and multimedia along with other Microsoft Office products like MS Word
and MS Excel.
By default, documents saved in MS PowerPoint 2010 are saved with the .pptx
extension whereas, the file extension of the prior PowerPoint versions is ppt.

Robert Gaskins is one of the inventors of PowerPoint. He developed the first version
with the help of his colleagues at Forethought Inc., Dennis Austin and Thomas Rudkin.
The idea of PowerPoint came up in 1984. In the following years, development started
under the name ―Presenter‖. The first version of PowerPoint for Macintosh came out on
April 20, 1987. Meanwhile, the initial Windows version was released in May 1990.
Microsoft PowerPoint has different versions developed as time goes by. But, there
are many common functions, parts or commands from the versions PowerPoint 2003 up to
the latest version.

Upon opening MS PowerPoint 2016, you will see this window below. You may
start doing your presentation using a blank presentation or your desired template.

Saving MS PowerPoint File
Before you close any window or program, it is important that you save the file since
it is just stored in the computer’s memory temporarily. Therefore, when the computer is
turned off or if a power failure occurred, all the data in the computer’s memory will be lost
or will be erased. When you want your data or your work be saved permanently, it has to
be stored as a file in a hard disk or any other storage media.
To save your data as a file, do the following steps:
1. Click on File menu.
2. Select Save or Save As.
3. On the Save or Save As window, choose the
desired file location
4. Type the desired filename in the file name
text box.
5. Click the Save button.

Opening, closing and saving in MS
PowerPoint is the same as in other Microsoft
Office programs. Now, we are going to proceed
with the MS PowerPoint window that will appear
on your screen right after opening the program.
Different parts of the window will be tackled.
Parts of MS PowerPoint
The PowerPoint window contains many elements that are similar to other Microsoft
Office programs. These elements include the Office button, Quick Access Toolbar, Title
bar, Scroll bars and Status bars.
The following are the various areas in a standard PowerPoint file. It is very important
that you’ll be familiar with these areas as it makes learning and using PowerPoint easier.
1. File Tab

presentations, opens existing
ones and create new

2. Ribbon
The Ribbon contains three components:
a. Tabs – They appear across the top of the Ribbon. Ex.: Home, Insert, Page Layout
b. Groups - They organize related commands with group names appear below the
group on the Ribbon. Ex.: Clipboard, Slides, Font, Paragraph
c. Commands – They appear within each group as mentioned above. Ex.: Clipboard
(a group) consists of the commands Paste, Cut, Format Painter.

3. Title Bar
It indicates the software, the name of the presentation that is open. For MS
PowerPoint, the default name is ―Presentation1‖. Upon opening a MS PowerPoint program,
you will see ―Presentation 1-PowerPoint‖ at the title bar.
4. Slide Area
This is where the actual slide is created and
edited. You can add, edit, delete text, Images,
shapes and multimedia in this section.
5. Zoom Options
This allows you zoom in for a closer look at your text It consists of a slider that you
can slider left or right to zoom in or out, you can click on the – and + buttons to increase or
decrease the zoom factor. 400% is the maximum zoom supported by PowerPoint while
the 100% is indicated by the mark in the middle.

7. Slide Views
The group of four buttons located to the left of the Zoom control, near the bottom of
the screen that allows you to switch between different PowerPoint views.
a. Normal Layout view displays page in normal view with the slide on the right and a
list of thumbnails on the left. This view is used when creating and designing slides.
b. Slide Sorter view displays all the slides as a matrix. This view only allows you to
rearrange the slides but not edit the contents of each slide. Deleting, copying,
pasting and removing slides is easier when you are in slide sorter view.
c. Reading view is like a slideshow with access to the Windows task bar in case you
need to switch windows. However, like the slideshow you cannot edit anything in
this view.
d. Slide Show view shows your presentation in full screen. It can also be used to
check any animations, transitions or timing at the final stage of preparation for your
presentation.
8. Notes Section
This section allows you to write notes for the presentation. These notes will not be
displayed on the screen during the presentation and will serve as guide or reference for the
presenter.
9. Slide Tab
This section is available only in the Normal view. It displays all the slides in sequence.
You can add, delete and reorder slides from this section.

Aside from the parts mentioned,
PowerPoint also offers host tools that will
aid you in creating presentation. These
tools are organized logically into various
ribbons in PowerPoint. The table below
describes the various commands you can
access from different menus.
There are many interesting features of MS PowerPoint that would help you create
good presentations. One way of doing this is by inserting objects.
If you wish to insert objects in MS PowerPoint, you can/may do the steps below:
1. Click on the Insert menu.
2. Choose the object you wish
to insert.
3. Explore the folder where the
object is located.
4. Click the object (preferred
object that you wish to
insert)
5. Click Open.

Most of the standard layouts come with the text box option. However, you can still
add new text boxes that is suitable to your need. You may follow any of the following steps:
1. Home> Drawing> Text box

Note: After doing any of these two, you may now be able to draw a text box to your desired
position and with your desired size of the text box.
