Brainstorming Session Exchange Year 2022

(Group Task)

Few problems faced by the LC during the previous exchange year and
their solutions:

1) The member pool comprises maximum CS students but when we receive offers from CS/IT fields
very few students apply for it. This pattern is noticed across all departments.
● Put up stories of the offers we received in that country. We can mention the country, the offer
description, and the requirements.
● Online workshops and seminars where we can talk about the offers we received recently.
● Mentioning the department for which we received the offer in the subject of the offer release
mail.

2) More than half of our member pool are not aware that they are a part of IAESTE and are not
checking their emails when offers are released.
● Online workshops and seminars where we can talk about the offers we received recently.
● Create a Whatsapp group for all members and we can send notifications when we send them
offers via email.

3) Student withdrawals from nominated offers.


● Give feedback forms to the students who have once withdrawn from an offer to understand the
reasons behind their withdrawal.
● Convince them about the opportunities of IAESTE work offers.
● We can blacklist the student for some time when they withdraw for no valid reasons.

4) PFA (Placement fees agreement) signing and payment of placement fee getting delayed.
● Send them a WhatsApp text to send the money by this date (sending a strict deadline within 3-4
days)
● The Finance team should keep reminding them to pay the placement fee.
● Giving them an option to split the payment

5) How to target first years for membership drive.


● Add new taglines like, “Exclusively for 1st Years” to attract them.
● Send newsletters via mail describing the past achievements by IAESTE.
● Separate IG Posts targeting Ist years.
6) How to market IAESTE digitally and attract more students to membership drives across all years and
departments.
● Once in a while, send out merchandise or gifts to one of the lucky members from the member
pool. Like a lucky draw and we’ll put that up in social media for other non-IAESTE members to
see.
● Conduct more Q/As in IG stories.
7) Events that can be done for the member pool online/offline which has an outcome or aim similar to
IAESTE.
● Online/live doubt clearing sessions.
● Stating the benefits of being a member and briefing about what the organization is all
about. Workshops where the participants will be advised by professionals on how to
build their CV and enhance their skills to give them an upper hand over others applying
for an internship. Certificates at the end tend to increase the number of attendees to the
workshop, thus enhancing membership
● Example: Improving factsheet/resume workshop with certificate
o Content planning - Preparing an efficient factsheet/resume to ensure it is
appealing to the employers with charismatic and salient features.
o Topic - Certified Workshop for creating effective and noteworthy
factsheets/resumes.
o Expertise in the topic - Bringing in an alumni/professional/keynote
speaker from a particular country to educate the attendees.
o Audience - The students of Karunya Institute of Technology and
Sciences (Both members and non-members [can bring to their attention
about IAESTE and send link to them to join in to use those factsheets in
applying for internships across the globe])
o Workshop objective - To get students to learn how to make their
factsheet/resume more appealing to employers (increase the student’s
awareness of IAESTE and how they can use the created
factsheet/resume in applying for internships in different countries through IAESTE by becoming a
member)
o Paid or free participation - Most likely free to ensure more students join
o Promoting your workshop - Promotion can be done via Kmail, IAESTE
and Karunya social media pages, making the team members post about
it on their social media and WhatsApp stories to their followers to
increase reach to students who do not follow the IAESTE and Karunya
social media pages)
o Platform for hosting the workshop - Google Meet (100 participants),
Zoom (Normal - 500 participants, Webinar (500 to 50,000 view-only
attendees, depending on the size of your webinar license)
o Certificate of completion - A certificate issued by IAESTE with its logo
(an online certificate issued to them based on the email id the student puts
into the feedback form [google form])
