start of the meeting in line with the draft agenda (at 8:00 am.). Please use this time to join the
conference, do not wait until the last minute.

 When signing in for the meeting, please introduce a 3-letter code before your name to help us
to identify country you represent.

 In order to ensure optimal audio quality during the conference, all participants are kindly
requested to mute their microphones and turn off their cameras while in listening mode and
only unmute and turn on camera (if willing to do so) when given the floor.

 The meeting will start with every participant introducing themselves after which all
microphones shall be muted and unmuted when speaking only.

 If you would like to address questions during the ongoing presentations, please use the rising
hand functionality or send a message in the chat box.

 Please start your intervention by announcing your name and country.

 Moreover, to clear voice echoes, make sure the microphone is far enough away from the sound

The purpose of the data processing is to ensure a sufficient organization, logistics and follow up actions of the
ALL-IN-ONE Meeting which will be held on 10.12.2021 online via Cisco WEBEX conferencing application.
Please note that by registering for this meeting, you provide your consent to additionally process your personal
data for the following purposes:

 Communication and networking: dissemination of lists of participants including name, position and
institution among attendees of the meeting.

The Data Controller is the Head of Operational Planning and Evaluation Sector (Field Operations Unit, Operational
Response Division) who is responsible for the overall organization of this event. The controller can be reached at

Your data will be processed by authorised Frontex staff of the Field Operations Unit, Frontex ICT, and a
contractor's staff of Cisco WebEx Meeting Centre for the reason of providing web conferencing functionalities for
this meeting.
Your personal data will be stored for the following time: information on meetings and events materials (e.g.
minutes of the meeting, list of participants and presentation) will be stored in line with Frontex internal rules and
policies, usually two years.
The legal basis of processing up on personal data is the performance of the tasks carried out by Frontex, as per
relevant Articles inter alia Article 36 – 44 of Regulation (EU) 2019/1896) regards this particular meeting, and your
freely given consent.
