INTRODUCTION AND HISTORY OF MS WORD

INTRODUCTION

Microsoft word is a powerful, proven, and professional application software. It


used to make professional quality documents, letters, reports, etc. It has advanced
features which allow you to format and edit your files and documents in the best
possible way. The purpose of the MS Word is to allow the users to type and save
documents. The current word processors are very powerful. You can create any
type of document using the powerful features of the word processors.

HISTORY

Word is a software program designed by Microsoft Corporation. word-


processor software launched in 1983 by the Microsoft Corporation. Software
developers Richard Brodie and Charles Simonyi. They joined the Microsoft team
in 1981. The earlier releases of Word 97 were called Word 7.0, Word 6.0. The next
release of Word 97 is known as Word 2000. After Word 2000, the MICROSOFT
CORPORATION gave a new release Word 2003. The latest release i.e. Word 2007
have a few additional commands and features.
FEATURES OF MS WORD

Home: This has options like font colour, font size, font style, alignment, bullets, line
spacing, etc. All the basic elements which one may need to edit their document is available
under the Home option.
Insert: Tables, shapes, images, charts, graphs, header, footer, page number, etc. can all
be entered in the document. They are included in the “Insert” category.
DESIGN: The template or the design in which you want your document to be created
can be selected under the Design tab. Choosing an appropriate tab will enhance the
appearance of your document.
PAGE LAYOUT: Under the Page Layout tab comes options like margins, orientation,
columns, lines, indentation, spacing, etc. 
REFERENCE: This tab is the most useful for those who are creating a thesis or writing
books or lengthy documents. Options like citation, footnote, table of contents, caption,
bibliography, etc. can be found under this tab.
REVIEW: Spell check, grammar, Thesaurus, word count, language, translation,
comments, etc. can all be tracked under the review tab. This acts as an advantage for those
who get their documents reviewed on MS Word.

HOME TAB
CLIPBOARD BOARD:This has the mandatory copy and pastes
commands. The paste command has additional options to paste
formatted/ unformatted text/pictures. Also, spend time with
Office Word’s special command, “Format Painter,” which allows
you to paste formatting across text blocks.

FONT GROUP:Here, we’ll tell you to highlight text in your


document and have a free play with this group. You can set the
font typeface for text (based on your system’s inbuilt fonts), and
change its look (includes size, bold, italics, underline, superscript,
subscript, color highlight, etc.).
PARAGRAPH:The Paragraph command group allows you to
control the alignment, numbering and line spacing of paragraphs
in your document.

TEXT ALIGNMENT: This determines how your text looks on


your page and is left-aligned by default.

LINE SPACING: This is the space between lines and is a single line spaced

by default.

LINE AND PAGE BREAKS : This determines how a style spawns across

pages. For instance, if you check the “widow/orphan control” option, then

when text with a heading style falls towards the end of a page, it will

automatically be bumped to the top of the next page.


STYLES:Styles are formatting templates used within a document.
Microsoft Word introduction comes in-built with default style templates like
Title, Sub-Title, Heading1, Heading2, Body Text, Normal, etc.  

EDITING: The final command group available in the Home Tab is


the Editing tab. Like any good word processor, Microsoft
Word introduction allows you to easily select, find and find-and-
replace text blocks across your document.
 
INSERT TAB

BLANK PAGE : Inserts a blank page by inserting two page


breaks, one above the current insertion point and one below it .

PAGE BREAK : Inserts a page break instead of displaying the


Breaks dialog box. You can access all the other types of breaks
using the Breaks drop-down on the Page Layout tab, Page Setup
group.

PICTURES: Insert the pictures which are save in your files.

ONLINE PICTURES: Find and insert pictures from online


resources.

CLIP ART: Toggles the display of the Clip Art task pane to let you
insert drawings, movies, sounds, photos etc.

SHAPES : It contains the commands, Recently Used Shapes, Lines,


Rectangles, Basic Shapes, Block Arrows, Flowchart, Callouts and
Stars and Banners.
SMART ART: It lets you choose from the following different
types of smartart: list, process, cycle, hierarchy, relationship, matrix
and pyramid.

HEADER:  This displays a gallery of the built-in headers. The


drop-down also contains the commands Edit Header, Remove
Header and Save Selection to Header Gallery. Also appears on the
Header and Footer Tools - Design contextual tab.

FOOTER: This displays the gallery of built-in footers. The drop-


down also contains the commands Edit Footer, Remove Footer
and Save Selection to Footer Gallery. Also appears on the Header
and Footer Tools - Design contextual tab.
PAGE LAYOUT TAB.

SIZE: By default, a Microsoft Word features document is set to a


letter’s size (8.5” X 11”). You can change this to A4, A3, Executive
or other standard sizes or even define a custom size. Changes will
apply to the whole document.

ORIENTATION: By default, this is set to “Portrait”; you can


alternatively set it to Landscape.

BREAKS: The most commonly used “Break” in a Microsoft Word


features document is a Page Beak. When you insert a page break,
the following text is bumped to a new page; This is immensely
useful when you want to start new chapters/ headings on a fresh
page.
MARGIN: It gives you option to set margin to
Normal,Narrow,Wide,Moderate and you can set a custom margin.

COLUMNS: It gives you option to add One,Two,Three,Left,Right


and as many as columns you want in your document.
THE VIEW TAB

 The “Print Layout” command allows you to showcase your text

page at the center and view it much like how it would appear

when printed on paper.

 In this view, you can further use the “Zoom” command (group)

to increase or decrease the size of your page (impacts only the

view and not the actual page size).

 The Full-Screen Reading view allows you to remove all toolbar

distractions and is best used to review a document. Pressing

the Escape key will bring you back to the (default) Print Layout

view.

 The Web Layout view is typically used to review Blog posts.

 You can additionally toggle views of the Ruler, Gridlines and

Navigation Pane (useful to search key text in your document)

using the “Show” command group.


ADVANTAGES OF MS WORD

1. It is faster and easier than writing by hand.

2. You can store documents on your computer,


which you cannot do on a typewriter.

3. You can review rewrite your documents.

4. There are more formatting choices with a


word processor (the spelling, grammer and
language tools).

5. You can print copies of your documents.


USES OF MS WORD
EDUCATION: It is considered as one of the simplest tools which
can be used by both teachers and students. Creating notes is
easier using MS Word as they can be made more interactive by
adding shapes and images. It is also convenient to make
assignments on MS Word and submitting them online.

WORKPLACE: Submitting letters, bills, creating reports,


letterheads, sample documents, can all easily be done using MS
Word.

WRITING ASSIGNMENTS AND RESUMES:Most colleges and


universities require their students to complete their
assignments using the Microsoft word. MS Word makes it
easy to write and format documents.

CREATION OF ARTICLES AND BOOKS: All the famous book


and article writers use Microsoft word in writing their
documents. Writing a book in MS Word is easy and it
provides you with various features, which allows you to
format and print the document.

CONVERTING, EDITING FILES: Microsoft word allows


you to convert a PDF file into a readable word document
that is easy to access and read. In addition to that, you can
edit your files, insert different features.
