Lesson 3: Advanced Word Processing (week 3)

This module is an important part for completing the subject of Empowerment


Technologies: ICT for Strand. It has 4 lessons that you must learned. You are in Lesson 1 for
Introduction to ICT.
In this module, you will encounter some parts:
1. Learning Outcomes
2. Definition of Terms
2. Discussion
3. Evaluation
4. Learning Activity

To understand this module, you need to do the following:


1. Read each direction to understand the process of the lesson. Your teacher will guide you to
any queries.
2. You need to answer each activity to determine your understanding about the lesson. However,
any form of cheating will not be recorded rather you will have a low grade on your behavior.
3. Keep in mind the parts you may encounter along the way that will help you to finish the activities.
4. All the assessment will be done by yourself, so you need to comprehend all the content of this
module for your progress.
5. After answering all the given assessments and activities please submit your answer to your
teacher.
6. This module will not only determine your knowledge but your manners also on how honest you
are about yourself.

LEARNING OUTCOMES
At the end of the lesson, students are expected to:

• Uses common productivity tools effectively by maximizing advanced application


techniques
• Creates an original or derivative ICT content to effectively communicate or present data
or information related to specific professional tracks

DISCUSSION
The simplest solution for sending multiple letters to different people is to create a document
and just copy and paste it several times then just replace the details depending on whom you
send it to. But what if you have hundreds or thousands of recipients? Would not that take too
many hours? What if you have small database of information where you can automatically
generate those letters.

ADVANCE WORD PROCESSING


-the production of typewritten documents (such as business letters) with automated and usually
computerized typing and text-editing equipment
MAIL MERGE

-Allows user to create documents and combine or merge them with another document or data
file. It is commonly used when sending out advertisement to various recipients.
TWO COMPONENTS OF MAIL MERGE:

1. FORM DOCUMENT
• Contains the message.
• Generally, the document that contains the min message we want to convey or send.
• The main body of the message is the part of the document that remains the same no
matter who you send it to from among your list.
2. LIST OR DATA FILE
• Contains the list of names and address.
• Where the individual information that needs to be merged to the form document is
placed and maintained

Place holders – referred to as data fields or merge fields. Marks the position on the form
document where individual data will be inserted.
Label generation
Included in mail merger that print individual address to a standard from that it has already
preformatted. Simply put, it creates a blank form document that simulates either a black label or
envelope or pre-defined size.
Steps in creating a Simple Mail Merger
26. Save the main document
27. Choose Finish and Merge to edit, print or send your merged document through email.
28. Or you may want to choose Preview Result to check your work before sending it.
29. Choose All to print your document. Alternatively, you can specify which records to print. Click
OK.
30. Save and close your document.

Integrating Images and External Materials


KINDS OF MATERIALS
1. PICTURE - Electronic or digital pictures or photographs you have saved in any local storage
device.
A. .JPG
- short form of “.JPEG” OR Joint Photographic Experts Group. It identifies the kind of data
that compression process that it uses to make it more compatible and portable through Internet.
-It odes not support transparency and therefore images of this file can be difficult to
integrate in terms of blending with other materials.
B. .GIF
-Graphics Interchange Format. Capable of displaying transparencies. It is also capable of
displaying simple animation.
-Not compatible in a printed document but will work in sending email electronically.
C. .PNG
-Portable Network Graphics for transporting images on the Internet at faster at faster rates.
Supports transparencies but it cannot display animation.
-It allows the control of he transparency level or opacity of images.
2. Clip Art - Line art drawing or images used as generic representation for ideas and objects.
3. Shapes - Printable objects or materials that you can integrate in document to enhance its
appearance.
4. Smart Art - Predefined sets of different shapes grouped together to form ideas that are
organizational in nature.
5. Chart- Allows to represent data in graphical manner characteristics and trends.
6. Screenshot- Display the part that exactly like to capture on the screen.

IMAGE PLACEMENT
1. In Line with Text - Default setting for images that are inserted. Usually used when need to
place the image at the beginning of a paragraph.
2. Square - The settings allows the image inserted to be placed anywhere within the paragraph
with text going around the image in a square pattern.
3. Tight - Conforms to the general shape of the image. Allows to get a more creative effect on
the document.
4. Through - The settings allows the text on your document to flow even tighter, taking the
contours and shapes of the image.
5. Top and Bottom - Settings that pushes the text away vertically to the top and/or the bottom of
the image so that the image occupies a whole text line on its own.
6. Behind Text - Allows the image to be dragged and placed anywhere on the document but the
text are floating in front of it.
7. Infront of Text - The settings allows the image to be placed on the top of the text as if the
image was dropped right on it.

FOR OFFLINE STUDENTS:

Direction: Do the following instruction.
1. Read and understand the usage of Mail Merge.
2. Create your own Letter thru mail merge steps.
3. In your paper/digital app, explain your understanding about the advantage of using the
mail merge for students, employee/worker, and a businessman.

Movies/Documentary/Series/Book.
3. Present each in Microsoft Word using 3 chosen Image Placement.
