EXECUTIVE SECRETARY

JOB DESCRIPTION

• Being there for the team persistently throughout the whole event.
• One who is very sincere & take responsibility of all the verticals at the
time of event.
• Planning the layout and flow of the events
• Assigning responsibilities to respective verticals for works involved as
per their domain
• Making sure that the preparation go as per planned. Keeping all the
verticals in loop.
• On the event day, checking all the preparation before the start of
event.
• Monitoring different verticals, and managing the event flow, and
improvising the challenges during the events.

• Should be a pre planner


• Should be good with numbers
• Should be a constant team player and coordinator for all events

• Should be familiar with MS Excel and word

• Should be able to foresee event budgets

INTELLECTUAL SECRETARY
JOB DESCRIPTION

❖ Active participation in all strategy-making process like [S.L.I.N.G] calendar,


events planning etc.
❖ Conduct monthly review meeting with team and discuss feedbacks & plans
❖ Good communication and grammatical skills is a must so as to ensure well-
structured written content for all the events
❖ Must possess leadership quality and lead the team to get the best possible output
❖ Must ensure smooth functioning of all the clubs under the vertical with regular
feedbacks, reports, agendas and action plan
❖ Designing rules and regulations for an event by considering inputs from the
respective verticals/clubs involved
❖ Report to Vice President in order to give monthly feedbacks and reports about the
team working and planning
❖ Coordination with anchors for all the events and preparation of script for the same
❖ Ensure proper communication between different verticals and with the vice
president also ensuring smooth flow of information within the team members
❖ Preparation of Evaluation sheets and judging criteria when required in specific
events
❖ Drafting of promotional/invitation e-mails and write ups for all the events
conducted throughout the year in coordination with the respective verticals, clubs
& POCs
❖ Preparation of [S.L.I.N.G] documents in coordination with President &
[S.L.I.N.G] In-charge (Body Rulebook, Vertical duties, etc)
❖ Screen all the written content related to [S.L.I.N.G] before making it publicly
accessible
CULTURAL SECRETARY

SPORTS SECRETARY

❖ Duties and responsibilities


• Plan and craft the strategies for sports and social service activities in
RICS-SBE
• Coordinate with the Amity University ASPES for various sports
activities in Amity University
• Ensure our School (SBE) is participates and recognized in Sangathan.
• Make effective plan and strategies for RICS SBE team selection and
participation in University level events.
• Organize various activities at the School level in different stages.
• Co-ordinate with Social Service club and ensure its effective
functioning.
• Work along with the whole team on the day of the event.
• Ready to work beyond the scope of this vertical.

• Craft strategies for all events, including Digital, Advertising,
Communications and Creative and prepare the digital content
• Coordinate with the RICS marketing team for the smooth functioning
and perform the deliverables asked.
• Ensure our [S.L.I.N.G] message is strong and consistent across all
channels and marketing efforts (like events, email campaigns, web
pages and promotional material)
• Identify opportunities to reach new segments and outreach.
• Lead generation if required for any event
• Work along with the whole team on the day of the event

❖ Requirements

• Should be experienced with working on Graphic designing software
like Photoshop, Corel draw etc.
• Strong creative and analytical skills
• Knowledge about color schemes, compositions, editing etc.

LOGISTICS
JOB DESCRIPTION

❖ Procurement of all the resources needed for any event that include sound

system, catering and all materialistic requirements.

❖ Backstage and event coordination

❖ Setting up the stage in coordination with the events team for any event

❖ Proper flow of communication with the marketing and the treasurer

❖ Quotes from different vendors for different materials

❖ Promptness in making available some on time and emergency requirement

❖ For online events, creation of link and sharing of screen whenever required
HOSPITALITY

• Ushering the guests on the day of event and looking after their
requirements.
• Duly inviting the Faculty and informing the students regarding the
events.
• Communicating and Coordinating with the team members.
• Aiding in the felicitation process.
• Being there for the team persistently throughout the whole event.
• Maintaining communication between guests and the team.
• As for offline events, as a member of Hospitality we are required to
coordinate with the guest themselves and update their arrival status.

SECURITY
JOB DESCRIPTION

❖ Maintain strict discipline in and around an ongoing event.


❖ Monitor participants and audience w.r.t to the assigned place of respective
arrangements made.
❖ Check ID cards or respective identity proof to prevent infiltration of
unexpected people.
❖ Cover charge of the auditorium or the event venue specially entry and exist
points.
❖ Take in charge of attendance if needed and see to it that no proxy is being
marked.
❖ Make sure that no one acts aggressively or destructively and protect property
and equipment from damage and act efficiently for the smooth flow of an
event.
❖ For online sessions, it is mandatory to maintain discipline by ensuring
participants are muted and their cameras are off, until it is not required to do
so.
