Business reports give detailed explanation of a business activity. Usually business reports are
generated for the monitoring purposes of a business
Choose a topic that interests you. You can write about a favorite hobby or animal, an issue you feel
strongly about or a person you admire.
Decide on the purpose of your oral report. What do you want your audience to remember?
Find out who your audience is. An oral report that you prepare for an adult audience will be different from
an oral report that you prepare for classmates.
Write down questions about the topic that pop into your mind. Chances are your audience will ask the
same questions.
Organize your oral report! You want your oral report to be easy to understand and follow.
Write an introduction. Tell your audience what you will be speaking about. Use a question, a personal
experience or a joke to get your audience interested in hearing your oral report.
Think about the main points of your oral report and write them down.
Once you have finished writing your oral report, be sure to review your writing.
In general when writing a business report the following steps have to be followed
Strong opening
Preparing and using presentation aids. Presentation aids are any audio or visual tools you use to
supplement your message. For example in large room a micro phone can be a significant audio
tool for improving your presentation. And PowerPoint is also a tool for presenting orally the
presentation.
Manage vocal and verbal aspects. The quality of sound and clarity of the words.
Written report:
exceptional writing skills. Business report writing starts with the executive summary that is written in a non-
technical manner.
When readers look at a business report, they see not only the message but also the appearance
of the work. Like the words and illustrations, the report appearance is a part of the
communication they receive; and it affects the messages that readers form in their minds.
Writers, therefore, should use care in preparing and arranging their documents so that they
make a positive first impression. In order to make a good first impression, business report
writers should be familiar with the general mechanics of report layout.

Routine report:
A routine report is one that you will be expected to prepare as a part of your normal work
assignment. Its purpose is to keep people informed of how you are accomplishing you regular
duties. A weekly production report is an example of routine report. Routine report does not
provide extensive search for necessary information. In many situations you will recall from
memory the principal data for the report. Although the data gathering procedure is very simple.
Special report;
1. Special report deals with the an occurrence that is an exception to your daily activities
and duties. Fro example you may be permitted to grant a customer a larger than normal
discount on an initial order. However it is not a normal sales procedure you would likely
write an exception report to notify your supervisor for your action.
