BACKGROUND
A technological revolution is sweeping the country, from universities to
primary schools. The days when routine operations like registration, book
purchases, and feeding programmes necessitated an army of administrators to
manage mountains of paperwork are long gone.
In today's history e-books, paperwork is nothing more than a digital page.
21st-century innovation is providing automation and a chance to boost
security to the university campus
Educators at all levels are looking for new ways to use technology to improve
their classrooms,improve instructional quality, make administrative work
easier, and keep kids safe.
Budget cuts, an increase in the number of pupils, and increased per-capita
costs are all factors to consider.Because of the high cost of education, schools
must become more efficient.

PROBLEM STATEMENT
There exists a Customer-driven service design and standards gap
between the administration and the requirements of the
stakeholder.
CLIENT PROBLEMS

Entry and Exits at hostel gates (token system) - Due to an existing token system,
students are required to submit and receive their token every time they go out or
come inside the premises. This is a very hectic process as students commute
frequently.

Bus schedule - It becomes very difficult for students to check for the bus slots
from the printed bus schedule and because of this they sometimes miss their bus
and then they have no option left but to commute by public transport.

Mess data - The information regarding mess timings and menus are updated on
WhatsApp groups, printed physically and also get mailed to students. But it
becomes difficult for students to track them. Thus, there is a need for one platform
for it.
Laundry - The laundry process in the hostel is slow, because the check-ins and
payments are processed manually. Thus, there is a need for automation.

Library Ins & Outs - Everyday various entries have to be made in the library
relating to book check Ins and outs, student registrations and other tasks. There is
a need for automation of all these activities under one head.

Cleaning - The cleaning staff has to informed like which clasess are operating
regularly. They can be updated regarding their schedules and the mode of the
class (Online or Offline). Also, their is a gap regarding complaint registration like
where to direct them, who is going to answer.

Support Assistants - The administration of the institute needs support assistants


which can help in shortening communication gaps like classes reschedule, faculty-
assistance, exam department assistance, etc.

To make operations on campus more digital and precise
It is possible to lessen the amount of paperwork done
manually.
It is necessary to conduct a more thorough data
analysis of the entry and exit processes.
Faster library transactions and a reduced risk of
misplacing items
There is a need to shorten the communication gap
between administration and students.
There is a need to digitize and automate administration
activities in both the campus and hostel premises .
What Do We Propose
Biometrics: In this, a biometric device
will be installed at the hostel entry
and the campus entry.
Whenever a student will pass through
the gate, he has to put his fingerprint on
the device, which will be having his
identification.
The duration of the student’s out time
will be recorded automatically starting
from his check-out stage.
The data will be live updated on our
application.
What Do We Propose
Application: We will make an application that will help the administration in
many ways. At the first level, this application will be connected to the
biometric device and will perform the task above mentioned. Other than that
these facilities will be made available in it;

1. Support Assistant - The application will have a separate category as a support


assistant.
2. Problem & Complaint - There will be a feature for raising any problem and
complaint faced by students or faculty. Like, if there is some maintenance issue in
the hostel room or any classroom-related issue.
3. Bus Schedule - The bus schedule will be present in the application. If there will be
any updates regarding the time slots, the students will be notified of the
application.
4. Faculty Feedback - There will be a feature for uploading regular faculty feedbacks
in the application.
5. Mess Menu - Any changes in the mess menu will be
uploaded to the application.
6. Laundry - Students will be able to check-in and check out
their laundry in this application.
7. Cleaning - Services related to cleaning will be updated in
this app.
Users can put feedback and check the timings and vice
versa cleaning staff will be helped by this.
8. Library Entry/Exit - There will be a feature for library
services. In which students can check-in and check out.
Entries will be updated and will assist the administration.
9. Book Issue - Using this application, students or faculty
can issue the books. Users will be required to enter the
unique ID of the book and its period of it. Admin will
receive the notification.
