Privacy policy for students and participants taking part in

courses that use iBizSim

Our application iBizSim: International Business Simulations is a web-based application used by


business schools and engineering colleges all over the world. Since iBizSim’s primary servers are
based in Germany, our privacy policy has to fulfill the requirements of the EU’s General Data
Protection Regulation (GDPR).

EU’s General Data Protection Regulation (GDPR) requires that institutions are accountable and
transparent about the personal data they hold in their applications on their users, what they use that
data for, and gives those users greater control over whether to allow that data processing to take
place. It came into effect on 25. May 2018.

This document explains our privacy policy as required by the EU’s General Data Protection
Regulation (GDPR).

What personal data do we collect, why are they needed and how do we use them?

1. When you accept or reject our privacy policy during the registration process:

You are required to download, read and accept or reject our privacy policy during the
registration process.

If you reject our privacy policy, you will not be registered for the course and can not take
part in the course. We will immediately discard the personal data that you entered in the
registration form. We will not even record the fact that you tried to register.

If you accept our privacy policy, you permit us to record your personal data as defined in #2
and #3. In addition, we are required by EU’s General Data Protection Regulation (GDPR) to
keep on record the fact that you have accepted our privacy policy, the date on which you
accepted and which version of the privacy policy document you accepted.
2. When you register for the course:

You are required to enter the following data when you register for a course: Your first name,
last name, email address and your student ID, roll number or participant number that
identifies you at your business school or engineering college.

We need this information so that we can verify that you are a person authorized to take part
in the course.

We use the information to send you an email to activate your student account in the course.

3. When you participate in the course:

Every time you log in and out of the course and when you enter decisions for your team
during the course, we record this in a log file.

We collect this information because many instructors of our courses are interested in the
activity of their students during the course.

We use this information to prepare a report for the instructors. This report can only be
accessed by the instructors of your course.

4. When you revoke the permission to store your personal data:

We are required by EU’s General Data Protection Regulation (GDPR) to enable you to
revoke the permission to store your personal data.

If you do it, we will immediately replace your first name, last name, email address and your
student ID or roll number with random characters so that the data on record has no
connection to you. We will also deactivate your student account in the course after which
you can not continue to participate in the course.

In addition, we are required by EU’s General Data Protection Regulation (GDPR) to keep on
record the fact that you have revoked our privacy policy, the date on which you revoked and
which version of the privacy policy document you revoked.

What happens to your personal data after the course is completed?

We do not delete the personal data of students after the course is completed. We do replace your
first name, last name, email address and your student ID or roll number with random characters so
that data on record has no connection to you. This is done automatically 3 months after the course is
completed.
What we will not do with your personal data:

We will never try and contact you by email unless you initiate the contact. We do not use your
personal data for any marketing activity. We also do not share your personal data with any other
institution or company.
