Lesson 6: Packing, Unpacking, Storing, and Preparing of Guest
Luggage Management

This module is designed to acquire knowledge, skills, and attitude in performing the
Housekeeping tasks by providing a series of learning activities to achieve the following learning
competencies: 1) Select and Set-up Equipment and Materials.
Read the instructions below to accomplish the objectives intended for each lesson.

After going through this module, you are expected to:


1. Perform packing, unpacking, storing and preparing of guest luggage management.
2. Observe institutional standards in preparing guest’s cloths and shoes.

You have learned in your previous lesson about the procedures in keeping the
laundry area clean in accordance with establishment standards. The laundry area is one of the
most vital places in the housekeeping department. You also have learned that linens and guest’s
clothes are not the only things that need cleaning. You also need to do a lot of cleaning and
organizing in the laundry room.

To attend to the guest's every need is such a tough,
challenging yet rewarding task by a butler. In a similar manner, the
guest’s luggage is one of the most vital things in a guest’s
possession once they stay in a hotel. The role of the butler is the
wind beneath every guest’s wings during their stay in the hotel
because the butler needs to do anything for the guests including
organizing the guest’s day, book a restaurant, provide a newspaper,
and press it so the ink won’t come off to the guest hands. The person
that is going to be there when the guests wake up and when he goes
to bed. Butlers do the unpacking, storing, and packing of the guest’s
luggage. Hence, to master this art, one must understand the content into making housekeeping
personnel more effective in keeping the guest’ luggage stored into their own liking.

Packing, Unpacking and Storing of Guest’s Luggage.

Butlers will provide Unpacking service upon arrival and Packing service before
departure of guests. The following are the guidelines in unpacking and packing service.
1. Luggage must be treated with care.
2. Obtain the keys necessary to open the luggage and the locks.
3. Ask for permission to unpack the guest’s luggage.
4. Check the outside luggage and clean any marks.
5. Place luggage on appropriate surface in the room to avoid damage.
6. Butlers must be knowledgeable about the steps of unpacking.
7. Butlers must follow guest request and instructions regarding the
unpacking and store of items in their luggage.
8. Comply with all guest request and directions.
9. Some request may include the following:
• Sending clothing to be dry-cleaned or laundered.
• Sending clothing to be pressed.
• Hanging of suit and clothing bags in wardrobes or on hooks.
• Hanging individual cloths in wardrobes in appropriate hangers.
• Brushing clothing to remove lint.
• Need for shoe care, cleaning or polishing.
• Providing and arranging basic cloth repairs.
10. Record all requests in the Daily Needs and Preferences log sheet with accurate time,
type of request, duration and time required to complete.
11. Upon, guest check-out schedule contact guests two (2) hours before departure and ask
if they need Packing Service.
12. Do not start packing until you are fully prepared and aware of what is needed to be
packed.
13. Place clothing and items appropriately.
• Drawers (jumpers, casual shorts, t-shirts, underwear)
• Wardrobe (shirts, trousers, coats, suits, skirts, gown). Hang similar items
together – all suits together, all shirts together.
• Bottom of wardrobe (shoes). Position polished shoes in pairs and stack
according to color and occasions.
• Bathroom or make-up room (toilet bags, make-up cases)
14. The purpose of correctly hanging and folding clothes and other items is to keep the
garments ready for use and wrinkle free.
15. Fold clothes according to venue requirements and properties. Look at the instructions
on how they want items folded and packed.
• Pack shirts in folded pairs, reversed and toward each other.
• Pack the front garments toward the front and top of the
luggage.
• Place shoes into plastic bags inserting shoetrees as
appropriate.
• Pack luggage with heavy items at the bottom and lighter
items on the top.
• Complete the packing with a towel to cover all items.
16. Do not rush. All unpacking must be done properly following Hotel standard.
17 As a butler, you are required to be discrete at all times.

Institutional Standards in Preparing Guest Clothes and Shoes

Clothes

A Valet known as Butler is often required to prepare and present guest’s clothing, ready for the
guest to wear. The more information the valet/butler can obtain, the better.
Before presenting the guests, clothing take note of the following:
1. The clothing is in good condition – no rips, tears, and missing
buttons, loose threads, and split seams.
2. It is clean. No stains, lint, dust, and other marks.
3. It is pressed and looks presentable.
4. Make sure that your guest will not be embarrassed by what you
prepare.
5. Clothes are usually laid out in the sequence in which guests will dress.
• Underwear (socks, bras, stockings, and undergarments).
• Tie
• Blouse
• Dress
• Skirt
• Jacket
• Coat
• Scarf
• Hat
• Gloves
6. Items may be placed on a valet chair, on the bed, or a piece of furniture within
the room.
7. It is not customary practice to lay items out in the bathroom, but if there is a make-up
room, this may be used.
8. Check all items as you lay them out to confirm they are presentable, clean, pressed, and
appropriate.
9. In arranging for the laundering or dry cleaning of clothes, one must count and record the
items to be laundered or dry cleaned.
10. Identify and record preexisting damage or problems with the garments before treatment
to ensure that you are not responsible for causing these problems.
11. Check pockets and remove any items left in the pocket.
12. Complete the necessary documentation for requesting laundry or dry cleaning.
13. Arrange for the collection or delivery of items to the laundry.
14. Specify the time required for the items.

NOTE: In many cases, the guest will not request you to have their clothes laundered or dry
cleaned. As a butler, you are expected by them to initiate and take action to do what
needs to be done.

Shoes
Shoes are most essential to one’s attire. Quite often, the butler will be
required to clean and polish guest shoes.

Given are the standard and effective procedures in polishing the shoes.

1. Place shoe onto shoetree.


2. Remove dirt from the shoes.
3. Remove laces (if there is)
4. Apply the appropriate polish with a polish application brush.
5. Wait for a minute to allow the shoes to dry.
6. Work the polish into the surface of the shoes with a shine brush.
7. Use the soft cloth to polish and buff shoes until they shine all over.
8. Check laces – replace with new ones if needed, re-lace the shoe.

Activity #1
Directions: Role Play with a family member and show the proper procedure in unpacking,
packing guest luggage. Take a video of your presentation.

Activity #2: Practice Makes Mastery.


Directions: Practice at home the institutional standard procedures in preparing guest’s clothes
and shoes. Take pictures of you doing each step, compile the photos by creating a photo collage.

Activity #3: Script Writing.


Directions: Create a short conversation regarding the following services rendered by a butler.
a. Unpacking Guests Luggage.
b. Preparing Guest’s cloths and Shoes.

Guest luggage or property must be handled with caution. Care is needed in transporting
luggage, whether it is packing, unpacking items, and when storing them. Your work must be
characterized by respect for the guest and pride in what you do. It is then the responsibility of the
valet/butler to identify the right clothing and present it for the guest to change into.
In shoe cleaning, remember to use the right polish for the right surface. Never use one
brush for different colored polish. Clean brushes regularly so they do not transfer dirt and so they
look clean to anyone watching the process. And above all keep all shoe cleaning equipment
together for easy access and retrieval.
