• Accountable for ordering employee meal voucher monthly – Ticket Restaurant Passes/cards

• Managing AMC’s of company assets, Housekeeping services, fixed assets and Stationary procurement. Supervision
of infrastructure facilities, fire safety.
• Handling office maintenance services like; Power supply, Air conditioning, cleanliness, pest control, Print
stationery, cafeteria and pantry services etc.
• Management of Guest houses, Ensure optimum utilization of each Asset of company along with its safety &
security.
• Coordinate with outsourced IT services provider for maintenance of IT equipment’s, internet connection in the
office and warehouse.
• Cost control and optimization of resources.
• To finalize and execute all Property agreements, insurances, all service contracts and annual maintenance
contracts within the Region in consultation with Legal bodies.
• Managing company Biometric Access control system & related issues, also issuance of access control cards.
• Handling purchase and issuance matter for all type office stationary & general printing items.
• Maintenance of Health & safety measures along with HSE department.
• Ensures operation of vehicles by completing preventive maintenance requirements and taking care of all kind of
document like (Vehicle Taxes, Road Permit & Insurance)
• MIS and Handling petty cash for reimbursement of employee’s local expenses and records keeping for all expenses
etc.
• Domestic and overseas travel arrangements, manage training venue & related arrangements, Hotel for guests etc.
• Responsible for Virtuous administration support related to budget limitations and wherever possible while
maintaining quality standard.
Strategic Planning & Budgeting
• Proven ability to provide strategic direction, to exercise sound judgment as well as to enforce necessary control
and accountability on all admin functions.

• Preparation of MIS pertaining to Manpower, Organograms, MIS on personnel & HR.

• Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, layout and
seating arrangement, personnel requirements; implementing changes.

Contract & Vendor management

• Responsible for Contract management services, work, procurement and other facilities.
• Work on reducing cost by better negotiation with vendors/suppliers.
• Seek approvals from management and execution of agreements.
• Vendor creation and dealing with them for procurement of material and services.
• Bill processing of routine & contract payments with F & A and resolution of Audit queries.
• Ensuring statutory compliances involved in contracts / services being taken from contractors.
• Handle routine queries /problems of contractor and consultants.
Reports & Records

• Preparation of MIS/ checklist pertaining to Administration & Facility Department


• Preserve employee’s personal dossier in their personal records along with history of particular.
• Fixed assets verification individually & during audit and preserve records (Fixed Asset Register).

• Proper record keeping pertaining to Statutory compliances, certificates, licenses, permissions, original lease deeds
and other documents related to Admin department.
Welfare and Team Management

• Organise office programme, staff welfare, get-together events, employee tours etc.
• Collection suggestion and ideas of employees and share with management along with handling & publishing
monthly HR magazine.
• Taking care of Group Health cards & Personal Accident insurance policies for all employees.
• Play the lead role in ensuring timely support in case of an accident to any employee whilst on duty.
Organising annual health check-up for all employees and highlight health problems & treatments.

Compliance/ Liaison
• Ensuring compliance according to Govt. Statutory rules & regulation i.e. Establishment licenses, Wages, OT, ESI,
PF/Medical.

• To develop excellent rapport and liaison with all the statutory authorities in the state / central governments for
various legal requirements / approvals. Also with external agencies e.g. Telephone/Police/Electricity
department/fire officials. Managing company union issues, Court cases etc.

EDUCATIONAL QUALIFICATIONS

• Master in Business Administration from Swami Vivekanand Subharti University, Meerut (U.P.).

• Bachelor Degree in commerce from Vinayak MIssion University, Sikkim (Guwahati).

• Senior Secondary Education / XII from Haryana Board.
