1 Introduction
1.1 What is a Handbook?

A Handbook is designed to serve all New joiners plan & execute joining actions after the onboarding day.

The Activities directed in this book are mandatory & directly synced with the Employee Database, Profile
buildup, employee benefits, Attendance, Payroll & many more.

1.2 To Do List (Day 2 onwards)

• Contact the reporting Manager

• Verify/Update your personal details in PeopleSoft HRMS (PSHRMS)

• Update WFH periodically (Attendance)

• Update the Bank details in PSHRMS within 7 working days from the date of joining

1.3 Login Credentials

A New joiner is estimated to receive the login credentials within 12 hours from the time of employee ID
creation.

If an employee does not receive Password, follow the below instructions.

Step 1: Check SPAM in your mailbox (Proceed to Step 2 if the trigger email is unavailable in SPAM folder)

Step 2: Contact Helpdesk @18001024392 (Global Service Desk)

In IVR

Select STG → Select incidents → Select Speak to next Available Agent

If Issue is not resolved please write to Incident_Managers@hexaware.com.

2 Day 2

What should I do on Day 2?


1. Contact the Reporting Manager
2. Update WFH Regularly (Attendance)
3. Open Salary Account with empaneled Banks (Not necessary if you already have an existing Account
holder of HDFC/ICICI)
4. Update the Bank details in PSHRMS within 7 working days Update your Personal details in
PSHRMS.
5. Update your Personal details in PSHRMS.

2.1 Contact your reporting Manager for your assignments.

New Joiners are requested to contact the respective reporting Manager via email or phone on or before
Day 2 (Working day).
Tip:
Reporting Manager Name & email will be published by the HR.
Incase you need the contact Number of the Manger; you may Look up in Outlook contacts.
Tip:
If the Reporting Manger in HR’s email & Portal are different. Then choose the Manager Info shared by the
HR. The system may map the Unit Head as default selection which can be altered later.
In such scenario, you may reach to Arpana Kumar ArpanaK@hexaware.com for changing to the correct
RM. (Please get concurrence from reporting manager & keeping RM in cc when sending to Arpana)
Please note that Arpana is the Database HR, & will accommodate to change the RM details in Portal
however she is not the point of contact to decide the correct Manager. Manager Info in email is the
correct Manager.

2.2 Update Work from Home in the Portal

2.2.1 Step by Step Instruction

2. Click on “Work From Home Request” tab

3.Click on “REQUEST WORK FROM HOME”

4. Enter the Start Date (Select a Working day) & End Date (Select a Working day)
Enter Remarks (Eg. COVID 19, BCP, WFH etc.)
Click Submit.

Tips:
• All WFH requests require Manager Approval.
• As per Hexaware Policy only 4 WFH is applicable, however due to pandemic the policy is relaxed
to be selected all days.
• You are advised to raise a WFH for 15 days in one go
• The system will deduct leave (EL/LOP) if you do not apply WFH within 4 days.
• If you have missed to update the WFH within 4 days. You may request the Manager to raise the
Request on-behalf of you. (Applicable for only 10 days from the absent date)

2.3 Open Salary Account

For New Account Opening


Contact Bank Representative & open a bank account (Not applicable if you have an existing account with
HDFC/ ICICI Bank)
For Existing Users
If you already have an active account with the empaneled bank, please contact the corporate Bank
SPOC & inform your association with Hexaware for initiating conversion of existing bank account to
Hexaware salary account.

Note: Hexaware is Empaneled with only HDFC Bank & ICICI Bank. Non-empaneled Banks are not
allowed for Salary processing.

2.4 Update Salary Bank Account details (Within 7 Working Days)

Firstly, Select Location: Country (India)

Click Add a New Account

Select BANK Name by blank clicking the search button.

• Marital status (Submit proof to HRSD File Room Executive)
• Passport Info (Submit proof to HRSD File Room Executive)
• Add Dependent/Beneficiary
• Add Education details
• Salary Account (One time only)
