LESSON 4: What is Office Productivity Tools?

Office Productivity Tools are applications that allow for the viewing, creating
and modifying of general documents (e.g. spreadsheets, memos, presentations,
letters, personal database, form generation, image editing, etc.) The most popular
office productivity software is Microsoft Office.
What is Microsoft office?
Or simply office, is a family of client software, server software, and services
developed by Microsoft. It was first announced by Bill Gates on August 1, 1998, at
COMDEX in Las Vegas. The popular operating system of MS Office is Microsoft
Windows created by Microsoft Corporation.

Microsoft Word
Microsoft Word is a word processing software developed by Microsoft. The
first version of Microsoft Word was developed by Charles Simonyi and Richard
Brodie, former Xerox programmers hired by Bill Gates and Paul Allen in 1981. The
first Word version, Word 1.0 released in 1983, followed by Word 2.0 in 1991 and
Word 6.0 in 1993. Then it was renamed to Word 95 and Word 97, Word 2000 and
Word for Office XP (to follow Windows commercial names). With the release of Word
2003, the numbering was again year-based. Since then, Windows versions include
Word 2007, Word 2010, Word 2013, Word 2016, and most recently, Word for Office
365.

Microsoft Excel

Microsoft Excel is a spreadsheet developed


by Microsoft for Windows, macOS, Android and iOS. It features calculation, graphing
tools, pivot tables, and a macro programming language called Visual Basic for
Applications. It has the basic features of all spreadsheets, [7] using a grid
of cells arranged in numbered rows and letter-named columns to organize data
manipulations like arithmetic operations.
Microsoft Excel has been around since 1982, first introduced as Multiplan, a very
popular CP/M (Control Program for Microcomputers), but lost popularity on MS-DOS
systems to Lotus 1-2-3. In 1987, Microsoft introduced Excel v2. In
1993, Microsoft released Excel v5.

Microsoft PowerPoint

PowerPoint, initially named "Presenter", was created by Forethought Inc.


Microsoft's version of PowerPoint was officially launched on May 22, 1990, as a
part of the Microsoft Office suite.
Originally designed for the Macintosh computer, the initial release was called
"Presenter", developed by Thomas Rudkin and Dennis Austin of Forethought, Inc. In
1987, it was renamed to "PowerPoint“ due to problems with trademarks, the idea for
the name coming from Robert Gaskins.

LESSON 4.1 Ribbon and Tabs of MS-Word
The Ribbon is a user interface element which was introduced by Microsoft in MS Office
2007. It appears below the Quick Access Toolbar and the Title Bar. It have seven tabs;
Home, Insert, Page layout, References, Mailing, Review and View. Each tab has
specific groups of related commands.

Home Tab
The Home tab is the default tab in Microsoft Word. Home tab has five groups of related
commands; Clipboard, Font, Paragraph, Styles and Editing. It is helpful for edit document
style, font size, adding bullets etc.

Insert Tab
Insert Tab is the second tab in the Ribbon. It is useful to add some extra features on your
documents like add table, pictures, clip art, shapes, page number, bookmark, header,
footer etc. It has seven groups of related commands; Pages, Tables, Illustrations, Links,
Header & Footer, Text and Symbols.

Page Layout Tab


It is the third tab in the Ribbon. It is used for change page size, page color, page margin,
watermark. It has five groups of related commands; Themes, Page Setup, Page
Background, Paragraph and Arrange.

References Tab

It is the fourth tab in the Ribbon. It is useful to enter document sources, bibliography etc. It
has six groups of related commands; Table of Contents, Footnotes, Citations &
Bibliography, Captions, Index and Table of Authorities.

Mailings Tab
Mailings tab is fifth tab in the ribbon. It is least used tab. It has five groups of related
commands; Create, Start Mail Merge, Write & Insert Fields, Preview Results and Finish.

Review Tab
It is the sixth tab in the Ribbon. It is useful for check spelling and grammar, word count etc.
It has six groups of related commands; Proofing, Comments, Tracking, Changes, Compare
and Protect.

View Tab
View tab is sixth tab in the Review tab. It is useful to view your documents in different
different format and it is useful to record and view your macros. It has five groups of related
commands; Document Views, Show/Hide, Zoom, Window and Macros.

LESSON 4.2 Touring the Excel 2016 Interface

If you look below the Quick Access Toolbar, you'll see the Ribbon.
The ribbon is divided up into tabs. These tabs are also menus.   The tabs are File,
Home, Insert, Page Layout, Formulas, Data, Review, View, and Developer. 
Below each tab are commands and tools you'll use in Excel.   The commands and
tools located beneath each tab relate to the tab.   For example, under the Page Layout
tab, you would find tools to design a page layout.

The tools under each are broken down into groups. This is to make it easier to find
what you need.   The tools in each group relate to each other just as the tools under
each tab. In the snapshot above, we're looking at Home.   You can see the group
labels beneath the tools.
The groups within the Home tab are Clipboard, Font, Alignment, Number, Styles,
Cells, and Editing. Below is a snapshot of the Alignment group.

In the Alignment group are all the tools that


are related to alignment.

LESSON 4.3 Understanding the Interface


The PowerPoint interface, including the Ribbon, the Slides tab, the presentation
window, the Notes pane, the Comments pane, the Quick Access toolbar, and the
Status bar.

 The Slides tab shows a thumbnail of each slide in the presentation.


 The presentation window is where you can view and edit the entire slide.
 The Status Bar shows the current slide number, as well as the total slides, as well as
the language setting for proofing. It also has additional tools for making changes to
the view or zoom. If the Notes and Comments pane are not showing, just click on
those icons on the Status bar to show them.
 The Notes pane allows you to add speaker notes to the presentation. You can print
speaker notes to use when delivering a presentation.
 The Comments pane allows you to add comments to a presentation, especially
helpful when working with a team to develop the presentation.
Each Tab in the Ribbon contains many tools for working with your presentation. To display
a different set of commands, click the Tab name. Buttons are organized into groups
according to their function.

The Quick Access toolbar appears at the top of the PowerPoint window. It provides you
with one-click shortcuts to commonly used functions, like save, undo, and redo.

 MS Word: Type a short poem that describes you in your STRAND/SPECIALIZATION

poem. It can be Tagalog or English.
 MS Excel: Type your new normal class schedule in Excel.

Note: You may ask your subject teacher how will you send your copy (printed or soft
copy). If laptop or desktop computer is not available, you may also use some Mobile
App related to MS Applications. This will always vary to the availability of gadgets and
a teacher’s discretion.
