Important Things To Consider When Progressing Through The


Following Sheets And Completing The Spreadsheet

This sheet, "IMPORTANT NOTE (1)", should be read before continuing to the
following sheets of the spreadsheet.

It is important to always download and work with the most current version of this
Asphalt Conrete Mix Design Spreadsheet. The version number is shown at the top
of each sheet within this spreadsheet and is also part of the filename (for example:
ACMIX001-V01.05).

It is important to always download and work with the most current copy of the file
SM_DATA.xls. The file contains data, which is updated daily from SiteManager,
and supplies the data in the drop-down lists within this spreadsheet. The file
SM_DATA.xls must be in the same folder as this Asphalt Concrete Mix
Design Spreadsheet file.

Refer to the 20080707-INSTRUCTIONS.PDF file that is listed in the same place


as this Asphalt Concrete Mix Design Spreadsheet (.xls) file and the SM_DATA.xls
file on the Materials Division website for additional information and instructions,
regarding this Asphalt Concrete Mix Design Spreadsheet (.xls) file, the
SM_DATA.xls file, and naming the Asphalt Concrete Mix Design Spreadsheet file.

The buttons located on the "Cover Sheet" and their functions are as follows:
- Clicking the "Update References" button allows files present on the
hard drive of the computer that allow the proper operation of the buttons, to
be reopened. This is often necessary when using this spreadsheet on a
different computer for the first time.
- Clicking the "Refresh Link to SM_DATA" button allows for the
relinking of this Asphalt Concrete Mix Design Spreadsheet (.xls) file to
the SM_DATA.xls file. This is necessary after this Asphalt Concrete Mix
Design Spreadsheet (.xls) file is renamed, to change the link to the newly
named file.
- Clicking the "Open SM_DATA" button opens and minimizes the
SM_DATA.xls file. This is necessary for the drop-down list data in this
Asphalt Concrete Mix Design Spreadsheet (.xls) file to be visible.
- Clicking the "Clear Spreadsheet" button, deletes of the data that has
been entered into this spreadsheet by the user.
- Clicking the "Paste Results to Another Spreadsheet" allows all of the
results in this spreadsheet, entered by the user, to be copied and pasted
into another identical Asphalt Concrete Mix Design Spreadsheet.
- Clicking the "Copy Results from Another Spreadsheet" allows all of
the results, entered by the user in another identical Asphalt Concrete Mix
Design Spreadsheet, to be copied and pasted into this Asphalt Concrete
Mix Design Spreadsheet.
- Clicking the "Print Report for Specimen Submittal" button prints the
"Submittal For Approval (22a)" sheet, which is to be submitted along with
the molded specimens, to the ODOT Materials Division. The printout is
sent to the computer's default printer. All sheets in this spreadsheet must
be completed, for all of the required information to be visible on the
"Submittal For Approval (22a)" sheet.
- Clicking the "Email Address: hmamixsubmit@odot.org" button starts
an email message in the computer's default email browser, for sending
this completed Asphalt Concrete Mix Design Spreadsheet to the ODOT
Materials Division. This completed Asphalt Concrete Mix Design
Spreadsheet should be attached to an email message and sent to the
email address: hmamixsubmit@odot.org. It is not necessary to send the
SM_DATA.xls file.

The "Table of Contents" sheet has buttons that can be clicked on to navigate to
sheets in this spreadsheet. "Cover Sheet", "Table of Contents", "Next Sheet",
"Previous Sheet", and "Graph" buttons exist on each of the following sheets, to
aid in navigation throughout the spreadsheet.
- Clicking on the "Cover Sheet" button will take you to the "Cover Sheet".
- Clicking on the "Table of Contents" button will take you to the "Table of
Contents" sheet.
- Clicking on the "Next Sheet" button will take you to the sheet that is next in
sequence
- Clicking on the "Previous Sheet" button will take you to the sheet that is
previous in sequence.
- Clicking on the "Graph" button will take you to the graph for the type of
Asphalt Concrete being designed and documented in this spreadsheet
(as selected on the "Mix ID Generation (2)" sheet).

The blue cells are for manually entering data. Data can only be entered in these
blue cells.

Example of cells:

The blue-colored cells, that are outlined with dashed lines, are drop-down list
boxes. The drop-down list arrow will appear when clicking on these cells. In many
of the drop-down list boxes, it will be necessary to scroll upwards to see the data.

All blue-colored cells, including the drop-down lists (blue colored cells outlined with
dashed lines), must be completed with appropriate data in order for the
spreadsheet to show all necessary information. If a particular sheet has not been
completed, an error message will appear when attempting to continue to the
next sheet (by clicking the "Next Sheet" button).

For various purchase orders: on the "Remarks and Information (3)" sheet, leave
the project information blank and then document in the remarks box at the bottom of
the sheet that the mix design is to be used for various purchase orders.

In the spring of 2009, the "Designer Name" cell on sheet "Remarks & Information
(3)" will become a drop-down list including only qualified technicians' names, which
are certified to design asphalt concrete mixes. For now the designer name field is
for typing in the name of the mix designer.

For mix type Asphalt Concrete Type OGBB (Open Graded Bituminous
Base), since the mix only contains one type of aggregate, it is not necessary to
choose a batching option on the sheet "Select Batching Option (6)". The batching
sheets should be skipped and the information will appear on the sheet "Submittal
For Approval (22a)".

It is important to ensure that the percentages of each aggregate used


(% USED), which is to be entered on the sheets "Init. Batching-Option 1 (7)"
or "Init. Batching-Option 2 (7a)", totals 100 percent. If the total % USED does
not equal 100, then the percentages of Comb. Aggr. and Virgin Aggr., if applicable,
will not appear.

Only Materials Technicians, which are currently certified in the specific material
being tested, are shown on the drop-down lists for selecting the certified technician
which performed the testing.

A printout of the sheet "Submittal For Approval (22a)" should be sumitted with the
molded specimens to the ODOT Materials Division. The sheet "Submittal For
Approval (22a)" can be easily printed by clicking on the "Print Report for Specimen
Submittal" button, located near the bottom of the "Cover Sheet" sheet. On approval
of the mix design, the approved design report will be generated by the ODOT
Materials Division and sent to the appropriate parties.
